Provide reception and general office support for our busy team

• Be the first point of contact for members of the public contacting Glass Door, answering the phones and logging all calls; dealing with incoming enquiries by telephone, email, website feedback or voicemail; passing on queries to colleagues as appropriate.
• Manage enquiries from guests and either responding to these or referring them to caseworkers as appropriate.
• Be responsible for day-to-day management of the office by dealing with incoming and outgoing mail (including franking and delivery to the post office).
• Manage the meeting rooms and meeting room calendars.
• Monitor office equipment to ensure functionality and report any breakages or repairs needed (including IT) and re-ordering office supplies, etc.
• Be responsible for monitoring parking in front of the office and ensuring management and safe storage of keys for the charity’s motor vehicles.
• Assist the Office Manager with organising volunteer help for appropriate office tasks.
• Keep our offices organised and tidy (including storage of office materials, tea and coffee etc.).
• Carry out ad hoc tasks as requested by the Office Manager.
• Provide ad hoc support to the casework team e.g. keep in touch.

Support our Fundraising, Communications and Volunteering functions

• Help to process deliveries of physical donations; scan cheques and ensure cash donations are recorded, secured in the safe and the Fundraising and Communications (FRC) team are notified.
• Provide ad hoc support to the FRC team such as ordering stationery / supplies, sorting equipment / doing stock checks and assisting with mass mail outs. 

The purpose of this role is to provide administrative support for Global Black Thrive involvement in the Culture of Care Programme liaising with the Lived Experience Advisors, the Race Equity Lead, Neurodiverse Connections, the Royal College of Psychiatrists and NHS England. 

This will include HR, Operations and Admin functions relating to the Culture of Care (CoC) Programme and will include managing systems to efficiently run the business and achieve strategic objectives agreed by Black Thrive Board of Directors. 

The role will be the first point of contact for our CoC team, organising travel and accommodation, managing HR and office queries. 

You may be involved in managing onboarding and offboarding, preparing employment contracts (Full-time and/or part-time, zero hours and/or fixed terms contracts), checking and following right-to-work in the UK, and administrating DBS checks. 

You will be working with the HR and Admin Manager in Global Black Thrive and may be required to assist in wider team activities where required.

We are looking for a new team member to provide full administrative and programme support to the Employment & Careers team. The role will involve supporting the team in the day to day running of the service including the preparation of contract documentation (such as registration forms, as well as specified supporting evidence: ID proofs, Proofs of Address etc.) for submission to funding partners, uploading data spreadsheets and CMS systems, and supporting the team with promotion, outreach and engagement of our services. This includes conducting follow-ups and answering queries (by phone, email and in person) from both current and prospective participants on the programmes being delivered by High Trees. They will also be responsible for the preparation of finance related performance evidence for monthly/quarterly submission.

The Role:

This role will cover a wider area of executive support including governance, meeting management, senior leadership team support, managing on-line gatherings, travel management, diary management, correspondence management and relationship management.

The post-holder will be key in supporting the WWP in this, and also, with both WWP and CEO, in mapping out the key events and activities over a 6 year cycle, so that there is a clear structure for the new WWP (and ultimately successor to CEO ) to come into and work with. They will also assist the CEO in “standard agenda planning” for the board, for example, the induction of the new Board in early 2025.

Whilst the role is for 3 days per week, ideally this would be flexible, with the individual working more days at certain times (for example during the Board week) and less at quieter times.

MU is a small team, (about 25) and there is an expectation that all will show flexibility in helping out on areas not explicit in their role descriptions, when time and their expertise and ongoing workload allow

The ideal candidate should be proficient in handling the Microsoft suite, zoom, familiarity with handling databases and finance systems. They should be confident in taking minutes in board meetings, experienced in acting as a project manager, able to use a project tool to facilitate planning of schedules for SLT, Board and committees throughout the year, and possess excellent relationship skills, confident to liaise with board members and provincial presidents from around the Globe.

Work Location

This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays.

Haringey Migrant Support Centre is a community-based organisation, with over a decade of experience supporting migrants in Haringey and neighbouring boroughs.  We provide free and professional advice, casework, referrals and signposting on issues relating to immigration, housing and welfare.
