DETAILS 

  • Contract type: Fixed term contract, 2 years. Full-time, 35 hours a week (Monday to Friday).
  • Salary: GBP 27,000 – 32,000 per annum, dependent on experience (the range is aligned to London cost of living and would be adjusted according to the appointee's location).
  • Location: Hybrid. 4 days remote but must be able to travel to London office once a week (every Wednesday). Location in London may be an advantage.
  • Closing Date: 31 January 2025
  • Start Date: 01 April 2025
  • Reports to: Finance Officer

Responsibilities 

The Bookkeeper/Finance Assistant is responsible for managing and recording financial transactions for the organisation. This includes maintaining accurate financial records and reconciling accounts. This role plays a crucial role in supporting the financial health of the organisation.

 

1. Record Financial Transactions: Accurately record daily financial transactions, including purchases, sales, receipts, and payments.

2. Reconcile Bank Accounts: Perform regular bank and credit card reconciliations to ensure that all financial data is accurate and up to date.

3. Prepare Payment Schedules: Preparation of payment schedules across three entities in multiple currencies. Ensure that all financial practices comply with the organisations internal policies.

4. Accounts Payable and Receivable: Track outstanding invoices, process incoming and outgoing online payments, ensuring invoices are accurate and payments are made on time. Follow up with clients or vendors as needed.

5. Expense Reporting: Review and verify employee expenses and ensure compliance with the organisations policies.

6. Maintain General Ledger: Manage the general ledger and ensure that all transactions are posted correctly to the appropriate accounts.

7. Month end Journals: Create journal entries for financial transactions, if required. Knowledge of accrual and prepayment journals is beneficial.

8. Assist with Audits: Provide necessary documentation and support during financial audits.

9. Maintain Financial Records: Ensure all financial records are stored properly and accessible for future reference.

10. Maintain Finance inbox and emails: Communicate with other team members across the organisation on financial queries. Maintain and organise the finance inbox daily.

11. Preparation of VAT returns: Assist finance officers with preparation of quarterly VAT returns.

12. Supporting the Finance team: Ad-hoc support may be required during project audits and activities.

13. Finance Administration: Manage weekly finance-related postal mail, occasional bank visits and petty cash management.

 

Key Experience and Qualifications

  • Proven experience as a bookkeeper or in a similar role; experience with accounting software (e.g. Iplicit, QuickBooks, Xero, Sage).
  • Good understanding of accounting principles.
  • Proficient in Microsoft Excel and other accounting tools.
  • Proficient in online banking and other payment platforms.
  • Attention to detail and accuracy.
  • Good organisational and time-management skills.
  • Strong communication skills. Must be fluent in English.
  • Strong understanding in foreign currencies and conversions.
