We are looking for a self-motivated and results driven Head of Finance and Administration to join World Horse Welfare in a newly created role reporting to the Director of Finance, IT & Administration, line managing three members of the Finance and Administration team.

In this vital role, you will ensure strong financial controls across all areas of the charity, manage income and expenditure, and lead on statutory accounts preparation, payroll, VAT, pensions, and tax compliance. As a key business partner, you will work closely with budget holders of all levels, providing data and analysis on the performance of charity operations, including the four Visitor Centres, to ensure excellent financial foresight and planning, as well as enabling the senior leadership team to make timely strategic decisions. You’ll also oversee governance responsibilities such as annual statutory filings, insurance, fleet management and reporting on the annual carbon footprint.

We are looking for a qualified accountant who has experience of charity finance at a similar level, an in depth understanding of charity VAT and experience running in-house payroll processes. You will have the ability to explain financial information and produce financial reports for a wide variety of audiences. High level of IT skills particularly around data manipulation and Microsoft Excel is essential. As a line manager to three members of staff, you’ll have previous experience in managing a team in a supportive and effective manner. Experience of a retail environment, familiarity with fundraising methods and regulations, and experience of finance system implementation is highly desirable.

The role is based in Norfolk and is currently a hybrid split of 2 days in our head office in Snetterton and 3 days at home. You may be required to attend events around the UK so the ability to travel occasionally is necessary.

Finance & Operations Manager

We are looking for a Finance & Operations Manager to provide effective financial management, accurate financial reporting and oversee the facilities management of the Trust’s offices. The Finance & Operations Manager will manage a team of 2 and be part of the Trust’s People Manager Team.

Summary of key duties:

Financial Management and Reporting

· Develop, implement and operate monitoring systems for financial forecasting and re-forecasting to support sound decision making.

· Lead on and co-ordinate the annual budgeting and planning process ensuring that information is collected, compiled and reported in a timely manner to the Leadership Team for review and recommendation to the Finance & Audit Committee.

· Produce quarterly and annual internal finance report and management accounts for reporting to the Leadership Team and Finance & Audit Committee, which summarise budget trends, analyse and report variance.

· Ensure compliance with all financial regulations, through liaisons with the Trust’s external auditors for preparing of the SORP financial statements.

Policy and Procedures

· Lead the development, implementation and monitoring of effective procurement policies, procedures and systems ensuring best value is achieved across all activities.

· Lead on the annual insurance renewal process, ensuring appropriate cover is in place and general administration of the Trust’s insurance policies is enacted.

Payroll

· Maintain payroll processing system and run the monthly payroll.

Facilities Management

· Support the development of a 5 year planned preventative maintenance plan for the Trust’s premises, to support budget and resource planning.

· Oversee the management of the Trust’s premises ensuring contracts are in place and appropriately managed to ensure the smooth running and maintenance of the building and that all health and safety requirements are met.

Line management responsibilities

· Provide line management to the Finance Co-ordinator and Workplace & Facilities Manager, enacting the Trust’s management processes to ensure that all employees are motivated, supported and enabled to give of their best.

· Contribute to Trust-wide people management policies, procedures and team culture as a member of the People Manger Team.

Essential Knowledge and Experience 

· Qualified ACA, ACCA, CIMA or experience to this level (E).

· Practical knowledge and understanding of management accounting principles and techniques.

· In-depth knowledge of budgeting and financial forecasting and preparation of financial reports for senior management and compliance purposes.

· Line management experience to foster a productive and supportive team environment.

This role requires someone with excellent administrative, organisational and financial management skills, and the ability to coordinate multiple workstreams with care and precision. 

You will work closely with the Clinical Director, Board, and other stakeholders to deliver high-quality therapeutic services, manage projects, support fundraising and communications, and ensure our facilities meet the needs of both clinicians and the community. The Centre Manager must be able to work independently and take initiative, whilst also being a collaborative member of a small team. As the face of the organisation, you will be based on-site and have excellent interpersonal skills to be able to communicate with people from all walks of life. 

Key Responsibilities are as follows:

Strategic Leadership: Work with the Directors and Advisory Board to support long-term planning and strategic development. Creatively implement systems and structures to maximise service delivery, productivity, and income. 

Operations and Facilities Management: Oversee the booking and management of clinic and event rooms, maintain high standards of customer service for building users and visitors, liaise with contractors regarding building maintenance and manage the general upkeep of facilities to maintain a high standard of health and safety. Respond to issues in a timely manner and maintain relationships with building users. 

Financial Management: Lead the financial management of the organisation, monitoring project budgets, invoices, licences and debtors. Chair a monthly finance subcommittee meeting and maintain an overview of the entire organisation’s cash flow and projection. 

Governance: Act as the main point of contact for the board of directors and advisors. Prepare and attend monthly board meetings. 

Programme and Event Delivery: Coordinate internal and public events including lectures, film screenings, and workshops - providing logistical and operational support including ticketing, promotions and managing event staff/volunteers. 

Clinical Project Management: Lead operational delivery of funded projects including two subsidised psychotherapy schemes: tracking budgets, collating outcome measures, writing reports, managing timelines and liaising with clinicians and patients. This also includes managing referral pathways, responding to enquiries from patients, sharing referrals with clinicians, and line managing an administrator who supports these tasks. 

Outreach Programme Management: Coordinate our multiple outreach programmes such as two Therapeutic Playgroups, one of which is for refugees and asylum seekers. This involves acting as the main point of contact for programme staff, reporting on their activities and progress to the board, and maintaining the operational frameworks necessary to allow the programmes to thrive. 

HR: Manage all HR elements of the organisation including but not limited to: advertising and recruiting roles, drafting contracts, keeping an up to date log of internal policies, and handling any staff concerns with discretion and professionalism.

Development and Fundraising: Support grant research, writing, and application processes in collaboration with the Development Coordinator. You will be required to liaise with key funders and maintain records, reports, and track project outcomes.

Communications: Lead on internal and external communications, including newsletters, social media and website content.

The Role:

The Finance & HR Lead

We are looking for a Finance & HR Lead to take charge of the financial health of our charity by administering a high quality and effective financial management service to The OutHouse. • Generate (or work with our managers to generate) engaging and accessible content for the charity across a range of digital and social media platforms.
• Lead on the collection and development of stories, as well as other content showcasing the quality of our work and its impact for those using our services.
• Work with colleagues to plan and coordinate communications around key milestones, launches, campaigns and events.
• Coordinate general communications and engagement planning with corporate and operational managers.
• Support the development and implementation of a communications and influencing plan as part of the charity’ corporate planning and strategic review process.
• Work closely with the charity’s corporate leadership to align messaging and communications activity across the business to help shape our working culture and values-based approach.
• Create compelling stories about what the charity does and the difference it makes in the lives of people who benefit from its services.

Analysis and data interpretation

• Provide overview and reporting on performance analytics related to the charity’s digital and social media outputs. Particularly against any benchmarks set at the commencement of any given financial year.
• Identify opportunities and development priorities for targeted and/or generic media output against any valuation of our performance metrics as reported above.
• Provide access and guidance on analytics and data metrics for departmental managers and leads to help shape future messaging and content generation.

Development Support

• To work closely with the charity’s leadership, its managers and operational leads in shaping our communications messaging and output.
• To design training and support to grow internal capacity across the charity in how to get the best out of our communications and social media tools.
• Monitor departmental social media and communications output and help shape their approaches to messaging what their services do and to whom.
• Develop plans, campaigns and promotional activity based on an understanding of the charity’s values, it target audiences and its strategic priorities for growth and sustainability.

About The Role

We’re seeking a dynamic individual to support Medair UK’s engagement with trusts and foundations in the United Kingdom. Over the last 5 years income from trusts and foundations has gone from strength to strength increasing by 230% and the successful candidate will be part of the small team responsible for increasing this key area of funding. You will be an integral part of this growing Christian charity. You will enable support for the life-saving work Medair delivers to some of the world’s most vulnerable people by driving forward our relationships with UK trusts and foundations.

About You 

You will be a positive and solution focused fundraiser, ready to take initiative and embrace challenging targets. Ideally you will have experience in growing income from trust and foundations from both longstanding and new potential partners, or be able to demonstrate highly relevant transferable experience. You will be capable of compiling strong fundraising proposals; produce high quality reports; partner with financial colleagues in preparing complex budgets and financial reports. A compelling written communicator, you will have a keen understanding of the humanitarian sector, and of what motivates trusts and foundations to support this work. 

Key Activity Areas  

Lead Generation  

• Be responsible for account management of caseload of mid-range Trusts & Foundations.

• Work collaboratively with the Engagement Manager, Engagement Support Officer and volunteers in the identification, approach and management of UK Trusts and Foundations.  

• Regularly research and review opportunities for building potential relationships with prospective Trusts and Foundations and progressing relationships and applications with them through compelling communications. 

• Work with existing networks and contacts to identify and approach potential trusts and foundations and develop relationships with key decision makers there 

• Identify and pursue opportunities to increase income from existing Trust and Foundation relationships 

Communications and Management  

• Work towards an agreed target each year of engaged trusts and related income, both restricted project and unrestricted funds.

• Write compelling cases for support and proposals in order to secure grants 

• Effectively work with internal contacts throughout the global Medair organisation in the preparation of approved proposals, reports and supporting financial and impact information 

• Manage Medair’s engagement plan, initiating and delivering creative touchpoints throughout the year for all of Medair’s trust and foundation partners, as well as building relationships with trustees and representatives through video, online meetings, events and face-2-face opportunities 

Planning, monitoring and pipeline management  

• Maintain a good record of the application pipeline and CRM (salesforce), monitoring application output, income targets, fund allocations and reporting deadlines.

• Ensuring all grants from trusts and foundations are correctly allocated to Medair programmes, with the appropriate grant card on Medair’s project management platform and maintaining good contact with country programmes and finance partners throughout the lifecycle of Medair UK co-funded projects.

Internal Liaison  

• Liaise with Medair’s Heads of Country Programmes, Country Directors and Communications Officers in order to gather information and data for the purposes of applying and reporting to funders 

• Work collaboratively with finance colleagues in the preparation and approval of budgets and reports.

• Foster dynamic and mutually beneficial relationships with other fundraisers within Medair international and the affiliate offices, readily sharing proposals, reports and information.

This role is an Account Management and New Business split and would suit someone with great communications skills, who is bursting with energy and creativity, and unafraid to try new approaches. In this role you will:

• Build and manage a fast paced and highly effective new business pipeline for opportunities within a 25-150k threshold
• Prospect, engage, pitch and win new business opportunities with high value corporates at a partnership value between 25-150k
• Manage, steward and relationship build with our current partners to ensure partnership uplift
• Work with project teams to collate accurate reporting and impact data for the partnership accounts you manage and look for impact opportunities for your pipeline prospects
• Collaborate with teams across Carers Trust to build pitch decks, proposal toolkits and engagement tools for the corporate team to deliver to partners and prospects
• Work with the Corporate Manager and Head of Corporate to sell and scale our new employability offer to corporate prospects

• Will have a good track record of securing new business opportunities in a charity or sales role
• Will have experience in account managing relationships
• Strong interpersonal and pitch building skills
• Capacity to take initiative and identify opportunities
• Financial literacy sufficient to present project budgets and corporate partnership costings
