The role

The Supporter Care Officer plays a vital role in ensuring our supporters and volunteers feel valued, inspired and motivated to continue their involvement with MS Trust, by delivering exceptional supporter care and stewardship. As a key member of the Events and Community Fundraising Team, you will provide essential support for third-party events and individuals fundraising within their communities, ensuring every supporter receives the guidance and encouragement they need to succeed.

This role is vital to the growth of our charity and represents an exciting opportunity for the right candidate to join our small but dynamic team.

You will work closely with the Director of Fundraising and Events Manager on events, corporate, trusts and foundations, community, and individual fundraising efforts.

Main duties and responsibilities

As Fundraising Officer, you will:

• Develop and maintain positive relationships internally with colleagues and externally with stakeholders, donors, and funders. 
• Create marketing materials, including content for social media and our website. 
• Work with the Director of Fundraising and Events Manager, to deliver a series of high-quality, high-profile fundraising events, including assisting with logistics and supporter engagement. 
• Take initiative to explore new areas of fundraising and contribute to innovation. 
• Own and manage delegated tasks or parts of projects, ensuring successful and timely delivery of work. 
• Provide administrative support to the fundraising team, including sending fundraising packs, processing donations and fulfilling orders from our e-shop. 
• Respond to supporter queries via phone, email, and web with professionalism and empathy. 
• Maintain accurate supporter data in the CRM (Customer Relationship Management) system. 
• Create quarterly Gift Aid claims reports via the CRM system and liaise with the finance team to ensure timely submission to HMRC.
• Prepare thank-you letters, certificates, and merchandise to support fundraisers and events. 
• Manage incoming post for fundraising and donors, process Gift Aid declarations, and maintain stock levels for shop and event materials. 
• Produce monthly reports on income, donor activity, and progress against target.

Essential

Qualifications

• While there are no specific essential qualifications, the successful candidate will need to demonstrate a good standard of numeracy and literacy and proficiency in MS Office Suite.

Experience

• Knowledge of and/or personal interest in autism and current issues relating to autism and community preferences.
• At least one year’s experience in a similar role within a charity or nonprofit organisation.
• Experience in using CRM (Customer Relationship Management) systems.
• Track record of managing multiple tasks autonomously and meeting deadlines.
• Experience in building strong relationships, managing expectations and engaging confidently with a range of stakeholders.

Skills

• Organisational and administrative skills, including the ability to manage your own time and multiple priorities to achieve high-quality outcomes.
• Ability to maintain systems for data management and keep accurate records of fundraising activities and donor interactions.
• Confident communicator, able to explain ideas clearly in writing and in conversation.
• A reliable team player who can prioritise work effectively and manage tasks under pressure. 
• Good numeracy skills and the ability to work on simple budgets. 
• High level of accuracy and attention to detail.
• Ability to contribute to team discussions and work collaboratively with colleagues.
• Demonstrate an awareness of, and commitment to, inclusion, equality, and diversity.
• A good working knowledge of MS Office 365 and ability and willingness to learn new IT systems (with support/training where needed).

Experience

• Knowledge of data protection and General Data Protection Regulation (GDPR) compliance for handling donor information. 
• Experience of process mapping and CRM migration projects.
• Experience of digital content creation and donor engagement.
• Experience of remote and/or hybrid working.

Skills

• Able to apply basic marketing skills across different channels, such as emails, social media posts, or printed materials.
• A proactive learner with a passion for exploring new areas of fundraising and developing professionally.

About The Role

Overview:

• Working as part of the Trusts and Foundations department, you will help to deliver the objectives and income targets through your work with Trusts and Foundations.
• Reporting to the Head of Trusts and Foundations, you will work as part of a high-achieving, small but busy department.
• You will be able to develop relationships with colleagues in the wider teams, senior staff, Hearing Dogs trustees, external trusts and foundation managers and administrators.
• To be able to make bids and write applications to maximise financial support from charitable trusts and foundations, philanthropists and major donors.
• A good knowledge of Trusts and Foundation fundraising and experience of delivering excellent stewardship with external stakeholders.
• The Trusts and Foundations team has a target of £1.3m in 2026-27, growing to £2.1m by 2029-30.

Key Responsibilities:

1. Support the Head of Trusts and Foundations to achieve annual targets, including meeting a personal income target each year.
2. Create and deliver high-quality applications for grant funding for Hearing Dogs for Deaf People and Hearing Link Services, creating a synergy of combined applications to maximise income for both areas of our work.
3. Investigate new projects that may be funded by applying for new restricted grants.
4. Develop relationships with colleagues in fundraising, dog operation team, senior staff, Hearing Dogs Trustees, external Trusts and Foundation managers and administrators.
5. Research the market and develop market knowledge. Establish new partnerships with Trusts, using all relevant and appropriate research techniques to understand their grant-giving criteria.
6. Write and produce compelling trust applications and update reports; to ensure all trusts funding applications are relevant, timely and produced to the highest standard.
7. Record all information on CRM, maintain records and keep records up to date, ensuring future actions are also recorded.
8. Excellent knowledge of database processes and ability to support the team with statistical information.
9. Create reports for income and ensure all templates are up to date.
10. Provide comprehensive funding information to Head of Trusts and Foundations and Director of Income Generation, and regular reporting and recommendations on future funding opportunities.
11. Account manage Trust and Foundation relationships, ensuring the trust receives updates and reports on time.
12. Work collaboratively with colleagues in the Corporate Partnerships and Philanthropy departments to identify opportunities to secure new donors, for example where a major donor may have their own family foundation or where Trusts can attend major donor events.
13. Work closely with the Prospect Research Manager to build a personal pipeline of new Trusts and Foundations.
14. Work closely with the Case for Support and Impact Manager to develop tailored cases and proposals and high-quality reporting with a focus on outcomes and impact. 

About You

The following attributes are considered essential for the job:

• Minimum 3 years' experience in Trusts and foundations fundraising
• Experience of working in the charity Sector
• Excellent and persuasive writing skills and a sharp eye for details
• Excellent interpersonal and verbal communication skills
• Experience of large-scale bid writing for specific projects over multiple years

• Formal training or a qualification in fundraising
