Donor Care Specialists x 2

Responsible to: Head of Donor Care

Status:Full-time (40 hours per week), Permanent

Working hours: Two roles available: 10am-6pm or 1pm-9pm

Salary:£26k-£29k (dependent on experience)  

Location: Birmingham (office-based)

Islamic Help is a UK-based international relief and development organisation that has developed rapidly since being established in 2003 and has provided support and assistance in 49 countries. Our programmes aim to help and empower disadvantaged communities in the UK and abroad; some of the key areas we work in are emergency response, WASH, education, livelihood and environment conservation.

As part of our continuing commitment to improve and enhance our relationships and communications with our donors and supporters, we are currently seeking 2 x Donor Care Specialists to join our team in our Birmingham office.

The postholders will be responsible for strengthening relationships with Islamic Help’s donors (existing and new) through exceptional communication, accurate data management, and proactive engagement to support fundraising campaigns and compliance.

THE ROLE

The Donor Care Specialists will be responsible for communicating with our donors and supporters to raise awareness about, and fundraise for, our worldwide projects. Duties include, but are not limited to making outbound calls, answering incoming calls; handling callers’ inquiries and complaints; taking and accurately recording donations on secure systems; preparation and disbursement of feedback reports and other materials to donors.

KEY RESPONSIBILITIES

Donor Communication & Engagement

  • Provide professional, empathetic, and high-quality service to donors via phone, email, and written correspondence.
  • Make outbound calls to promote campaigns, process donations, and update donors on projects.
  • Handle inquiries, complaints, and concerns promptly, adhering to service-level agreements.
  • Identify and escalate priority issues or concerns to management.
  • General support with administrative duties.
  • Working with other Islamic Help departments to deliver an effective and efficient response to enquiries and complaints.
  • To operate in accordance with and show commitment to the organisation’s mission, values, policies and procedures in all interactions.
  • Cover team duties during peak periods and participate in training.
  • Undertake any other duties required by your line manager appropriate to your position within the organisation.

Data & Compliance

  • Accurately record and update donor information on secure systems.
  • Ensure compliance with charity regulations, fundraising standards, and data protection laws. 
  • To act in a safe manner which safeguards the health and safety of yourself and others.
  • To participate in all training workshops and take responsibility for your own learning and development.

Campaign Support

  • Assist with annual campaigns (e.g., Ramadan, Qurbani, Emergencies), including preparation of feedback reports, proposals, and donor summaries.
  • Flexibility to support team cover during critical campaigns. 
  • Collaborate with other departments to address donor needs efficiently.
  • Quality monitoring, updating and distributing a variety of documents (Emails, letters, project proposals, feedback updates, donor summaries etc) to new and existing donors.

SPECIFICATIONS

Essential

  • Minimum 5 GCSEs** (or equivalent), including Grade 4/C or above in English.
  • A high standard of verbal and written communication skills
  • Exceptional verbal and written communication skills – confident, articulate, and well-spoken.
  • Demonstrable experience of customer service, donor care, or call-centre environments.
  • Proficiency in IT systems and data entry with high accuracy.
  • Familiarity with Microsoft Office
  • Ability to handle complaints sensitively and resolve issues professionally.
  • Professionalism, customer focussed with attention to detail.
  • Able to multi-task, high organisational skills and prioritising of workload.
  • Team player and positive attitude when working with others.
  • Adaptable and flexible in working style.
  • Problem solver.

Desirable

  • Knowledge of Islamic principles and charity sector regulations. 
  • Experience of working in a multi-cultural environment. 
  • Commitment to Islamic Help’s mission and values.
