About the role 

This vacancy is for a University Access Officer to work in one or two schools in the West Midlands area; exact school location(s) to be confirmed at interview. Our schools are shown on a mapThe Access Project schools on our website. Access to own transport or reliable transport would be ideal.

The University Access Officer works with school staff at all levels, volunteer tutors, and with the rest of The Access Project’s team to ensure that the delivery of the programme is optimised. 

Role responsibilities 

• Engage with students in school and enrol them onto the programme
• Match students with volunteer tutors
• Monitor student attendance to tutorials and devise innovative solutions to encourage attendance
• Assess student progress towards being able to make successful university applications
• Upload information onto the Salesforce database (training is provided)
• Monitor the impact of tutorials, and intervene as appropriate
• Build and manage relationships with volunteer tutors to ensure they have a positive experience of the programme
• Manage tutor relationships and attendance to tutorials through weekly monitoring of systems, emailing and making phone calls
• Work with school staff to ensure their cooperation and timely completion of activities contributing to the smooth running of the programme
• Chair and present at termly school meetings with Senior Management to report on programme progress.
• University Access Officers support the volunteering team by helping to deliver tutor training sessions, which take place on occasional Saturdays and weekday evenings (paid time off is provided).
• Any other responsibilities reasonably deemed necessary by The Access Project’s Programme Managers or Director

There is support from your line manager (Programme Manager), as well as guidance from more senior University Access Officers and the wider University Access Officer team across The Access Project. There are opportunities for progression, including several additional responsibility roles which are available for UAOs to apply for once they have completed their probationary period successfully.

About the role 

This vacancy is for a University Access Officer to work in the West Midlands across up to 4 schools (maximum) along with working remotely; exact school location(s) to be confirmed at interview. Our schools are shown on a map of The Access Project schools on our website. Access to own transport or reliable transport would be ideal. The University Access Officer works with school staff at all levels, volunteers, and with the rest of The Access Project’s team to ensure that the delivery of the programme is optimised. 

Role responsibilities 

Some of our schools undertake our Accelerate model, which includes mentoring and coaching. Other schools also have tutoring included on our Accelerate Plus model. Depending on the model in the schools you are based in, role responsibilities will include: 

Accelerate 

• Engage with students in school and enrol them onto the programme
• Assess student progress towards being able to make successful university applications
• Upload information onto the Salesforce database (training is provided)
• Support the Volunteering team with the management of volunteer coaches to ensure they have a positive experience of the programme
• Work with school staff to ensure their cooperation and timely completion of activities contributing to the smooth running of the programme
• Chair and present at school meetings with Senior Management to report on programme progress.
• University Access Officers support the volunteering team by helping to deliver volunteer training sessions, and attending university site visits, which take place on occasional Saturdays and weekday evenings (paid time off is provided). 
• Any other responsibilities reasonably deemed necessary by The Access Project’s Programme Managers or Director

Accelerate Plus 

All the above responsibilities, with the addition of: 

• Driving student attendance to tutorials and devise innovative solutions to encourageattendance in partnership with school stakeholders.

• Manage students’ relationships with tutors and attendance to tutorials through weekly monitoring of systems, emailing and making phone calls

The University Access Officer works with school staff at all levels, volunteers tutors, and with the rest of The Access Project’s team to ensure that the delivery of the programme is optimised.

As Fundraising Executive, you will be responsible for ensuring our supporters receive a positive and rewarding experience, as well as providing administration support for the fundraising team, including assisting on events and campaigns.

We are looking for a motivated, confident individual with strong organisational skills and an impeccable attention to detail, who is passionate about fundraising and our ambition and purpose. The successful applicant will be expected to have a broad understanding of a range of income generation methods and communication styles, and the charity sector.

You will play a key role in attracting, building and managing relationships with a range of supporters including individual donors and fundraisers, community groups, local businesses, and volunteers. From initial enquiries to fundraisers and doners, to taking responsibility for our thanking, you will look after our complete supporter care journey and ensure that the Foundation provides an exceptional experience for our supporters.

Key responsibilities 

• Act as main point of contact for supporters and donors, responding to enquiries in a timely manner

Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Rooted in the work programmes that the research team are working on, events are opportunities for us to discuss the themes of our work with other experts and senior decision-makers, and to communicate our messages to the media and wider public. All our events, whether in-person, hybrid or entirely online, are produced to a very high standard and often include high-profile speakers and audiences. Our Events Officers work with colleagues across the Institute to deliver our range of public events, roundtables, workshops and conferences.

As part of the events team, within the wider communications team and reporting to the Head of Events, you will:

• Support the design and co-ordination of the Institute’s programme of public and private events, including panel discussions, conferences, receptions, workshops and roundtables.
• Manage all logistics and marketing for timely, professional event organisation and delivery.
• Help prepare for and deliver Institute events outside of London, including our party conference programme.
• Share management of the busy events email inbox and deal with internal and external event enquiries.
