The Programme Administrator is a fast-paced, varied, and exciting role where you will play a key role supporting the IBAHRI Director and five IBAHRI Programme Lawyers and provide logistical, administrative, and financial support to IBAHRI projects worldwide.
The Programme Administrator will organise the practical arrangements for project events and activities, as well as book and co-ordinate all project travel arrangements. The postholder will also play an important role in budget management and ensuring all financial tasks are completed for the projects, as well as provide general IBAHRI logistical and administrative support. About the role:
The Finance Administrative Assistant will play a crucial role in supporting the delivery of effective transaction processing within MAG’S Corporate Finance Department. The role holder will efficiently manage the finance inbox and phone, responding to queries promptly, and escalating issues to the Corporate Finance Manager when necessary. In addition, you will manage the purchase and sales ledger, including registering and posting supplier invoices, maintaining supplier and donor details, raising sales and donor invoices, and ensuring accurate allocation and reconciliation of transactions. Preparing supplier payments, including international payments and BACS payment runs, and liaising with the bank on issues such as recalled payments and compliance investigations are integral parts of this role. About you:
The ideal candidate will have proven administration experience and the ability to prioritize work to meet tight deadlines, approaching tasks methodically and thoroughly, remaining calm under pressure and collaborating enthusiastically as part of a team. They should possess basic knowledge of double-entry bookkeeping and demonstrate strong numerical and analytical skills with a high level of attention to detail. Responsibilities and Duties
General Administration

Ensure an effective and friendly reception service, including for in person visitors, email and telephone enquiries.

Ensure the smooth running of the office so that all services are operating optimally (IT, broadband, telephone, other utilities) and that supplies like stationery are kept replenished.

Providing management team support – for example, managing diaries, booking travel, booking key event and minute staff meetings

Provide sickness and annual leave cover for our Money Advice Service Support Officers

Ensure parcels and mail received, are handled in an efficient and timely manner.

Ensure the office is kept tidy, organised and welcoming
Financial Administration
Provide support to the Finance Lead:

Complete general finance admin tasks in an effective and timely manner including, downloading, collating, and filing electronic and paper invoices and bank statements

Ensure regular reconciliations of petty cash and donations ensuring cash is counted in an accurate and timely way

Set up bank payments for authorisation ensuring accuracy
HR Administration
Provide support to the management team:

Lead the administrative induction/leaver process for all staff including liaising with IT provider, pension provider, staff benefit providers, and line managers

Support the recruitment process for new staff including advertisement of jobs, collating applicant details, issuing interview invitations, and compiling recruitment packs.

Ensuring staff training is up to date including booking courses, updating records, and filing certificates

Support the recruitment of volunteers including checking references, sending welcome emails, and allocating training

Ensuring policies and procedures are issues promptly and updated on various systems

Ensuring staff timesheets, annual leave, and sick days are processed in accordance with EFP’s policies and procedures

The Admin Support and Assistant role:
An interesting and varied role. Employed by Coeliac UK to provide administrative support for the International Society for the Study of Celiac Disease (ISSCD) and assistance to the ISSCD Board, the Executive Officer and the ISSCD committees.
The general objective of the ISSCD is to promote scientific knowledge, education and quality of care in the field of coeliac disease and gluten-mediated human diseases in general and everything related or conducive to this in the broadest sense.
Coeliac UK supports the work of the ISSCD as objectives are aligned.
Key responsibilities of the Admin Support and Assistant:
- Processing new ISSCD Membership applications and update the ISSCD membership database
- Drafting copies for the ISSCD members’ e-newsletter and other communications
- Preparing the ISSCD email schedule working with the Executive Officer and the ISSCD’s support agency based in the Netherlands
- Monitoring the ISSCD generic email accounts and respond accordingly
- Arranging ISSCD meetings
- Preparing agendas and papers for ISSCD Board meetings
- Drafting minutes of ISSCD meetings
- Providing admin support to the ISSCD committees as required
- Assisting with filing and record keeping of ISSCD activities and key documents
Essential experience, skills and knowledge required for the Admin Support and Assistant role:

- Educated to GCSE standard including Grade C or above in Maths and English
- Confident speller with good command of the English language

- Familiar with the different social media channels and creating posts for engagement, desired but not essential
- CRM and website content management experience desired but not essential.

About the team
In Norfolk we have provided housing advice for over 25 years, with offices in Norwich and Kings Lynn as well as Court Desks in Norwich, Kings Lynn and Great Yarmouth County Courts. We work within communities to understand and respond to the housing issues they have and work in partnership to deliver our priorities: supporting people with additional needs, combatting discrimination and disrepair in the private rented sector and fair access to and delivery of social housing throughout Norfolk.

You will be the first point of contact for in-person and telephone callers to the service which involves taking client details, providing information and working with advisers to direct enquiries to the right people. You will provide administrative support functions and have responsibility for designing and developing office systems and processes, data input, extraction and analysis and finance administration.
