You will support the whole organisation with a range of administrative tasks which will include:
· Completing minutes for key meetings.
· Processing of Expenses on behalf of the Senior Leadership Team.
· Arranging room bookings both internally and externally.
· Support with co-ordinating organisation wide meetings i.e., monthly staff meetings, away days, including booking venues and arranging catering.
· Supporting with governance committee cycles, preparing documents and reports as required.
· Support with the administration of our grants programme, including preparing and issues letter to grant applicants as instructed, updating and maintaining grant budget spreadsheets.
· Inputting data into relevant systems accurately and in a timely manner
· Dealing with enquiries from patients, donors, supporters, service providers and volunteers as required in a timely and effective manner.
· Provide general administrative support to the wider team as required.
· Taking donations in any of the Weston Park Cancer Charity locations
You will work on time limited ad hoc projects, which could include:
· Creating and implementing new processes, including building templates / documentation / matrixes.
· The build-up to / during and/ or after a campaign / or event.
Cover Support
You will provide cover on the front of desks of both our sites: Cancer Support Centre, Northumberland Road and our Charity Hub, Whitham Road which will include:
· Meeting and greeting visitors including supporters and patients and acting as their first point of contact for any queries.
· Dealing with telephone, email and postal enquiries across the organisation
· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.
· Booking in and logging patients onto the relevant records and databases to provide accurate data.
· Sending appointment reminder calls/texts/letters to clients as required
· Co-ordinating the Transport service, including supporting and co-ordinating the volunteer drivers.
· Managing the consumables within this patient space and ordering replacement stock as and when required.

We are seeking a Wellbeing Service Administrator to join our committed CYP Wellbeing service based in Brighton & Hove. In delivering the role, you will provide efficient administrative and organisational support to a high standard for YMCA DownsLink Group, The Wellbeing Service and YMCA Dialogue Therapeutic Services, supporting the team of counsellors and therapists. You will be part of a dynamic team, tasked with supporting on all aspects of the administration of service delivery and be flexible in providing support to adapt to the requirements of the service, including working on reception at our Hove sites.
This role is based on site, working from various YMCA DownsLink Group sites when required within the Brighton & Hove area, with a working pattern between Monday and Friday, working pattern detailed below:
Monday 12pm - 8pm, Tuesday 12pm - 8pm, Wednesday 11am - 7pm, Friday 10am - 6pm

Do you have a track record of delivering accurate, reliable, administrative and project support in a fast moving environment?
We are looking for someone with experience of working in a collaborative way to join the Marketing and Brand team as Project Administrator on a 12-month fixed term contract basis. You'll support the day-to-day running of the team by providing effective administration and project planning.
This role is varied and the successful postholder will be responsible for scheduling external and internal meetings, liaising with key internal and external stakeholders, preparing reports, setting agendas and minute taking for meetings and financial administration. You'll also work with the Project Lead to provide project support to achieve implementation of key improvement projects.
We would like you to:
- Support the Marketing and Brand Director and Project Lead with managing project workflow (for example task tracking, updating and delegating tasks), sourcing and collating feedback and reporting as required.
- Manage the Director Marketing and Brand’s diary including booking meetings, setting and minute-taking for key meetings.
- Organising regular team meetings and events such as away days (booking meeting spaces, agenda, refreshments, liaising with attendees, etc)
- Process our credit card costs and keep our budget tracker updated.
Working in a hybrid way, you’ll be attached to either our Birmingham, London or Manchester office and will report to the Project Lead. In line with our current ways of working, you’ll be expected to be in the office at least 1 day a month, in addition to team days and this may be reviewed by Ambition.
Skills, Knowledge and Experience
To succeed in this role you'll have an helpful attitude, with the ability to take initiative to lead or support on projects as required, and you'll identify opportunities to improve operations. Our ideal candidate will have the ability to manage multiple, competing demands, prioritising as appropriate.
Whilst an interest in Marketing and Communications is desirable, it is not essential for applying to this role. Rather, you'll have proven experience of minute taking, preparing reports and PowerPoint presentations.

The Executive Management Administration team of 5, headed by the MD, run the organisation on a day-to-day basis. The team is supported by the REB board and committees, together with 3rd party providers for accounting, payroll, banking, media & public relations, website hosting and IT services.
Role and Responsibilities
DUE TO THE INCREASE IN REB MEMBERSHIPS, NETWORKS AND ACTIVITIES, AN EXCITING OPPORTUNITY CROSSING BOTH ADMIN AND EVENTS SUPPORT, IS BEING RECRUITED.
TIME AND WORKLOAD WOULD BE DIVIDED BETWEEN BOTH ADMIN AND EVENTS SUPPORT AT AN AGREED SPLIT, BASED ON BUSINESS NEEDS.
Key Tasks –
Admin Assistant Role
· Work with the MD to provide services to the Board, the Patrons Group and Network of Networks (where required) including:
o Booking meeting rooms
o Setting meeting dates and sending calendar invitations (For MD and Executive team on an ad hoc basis)
o Circulating agenda & papers
o Attending meetings and taking minutes, predominantly with MD- both in person and virtually
o Maintaining the Terms of Reference
o Updating Board
o Main point of contact for Next Gen and NofN committees -updating membership on the CRM and webpages for both and attending meetings
o Provide admin support to MD as required including setting up meetings, preparing presentation slides and uploading meeting notes to Sharepoint
Events Assistant Role:
· Support the Events Administrator in the delivery of the REB events programme including:
o Event logistics planning and delivery
o Venue liaison
o Contributor liaison
o Event marketing and booking support
o Event materials preparation
o Event set up and set down
o Maintaining CRM records
o Supporting with event comms and marketing on Dynamics Marketing system and website
KNOWLEDGE & EXPERIENCE
1. Administrative and organizational skills

3. Knowledge (preferably working knowledge) of Microsoft Dynamics and Marketing
4. Knowledge (preferably working knowledge) of current best practices and trends in ED&I, including familiarity with key concepts (e.g. allyship, unconscious bias, intersectionality, etc.)

Summary of the role:
This role will provide day-to-day administrative support and project support to the department head and the overall team to ensure the successful delivery of the organisation’s operations in an efficient manner. This role will focus on generating reports, tracking progress, and ensuring all the necessary processes relating to compliance, finance and HR are completed in a timely and accurate manner.
About the Role:
- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.
- Develop, maintain and review administrative systems to achieve maximum efficiency and to have high-level exposure across the organisation including admin, finance, IT, HR, supporter services, IP, comms etc.
- Prepare purchase orders and document payments according to Muslim Aid’s financial procedure and in conjunction with the Finance team to ensure speedy payment of invoices for internal / external stakeholders.
- Assist the Head of Income Generation and Marketing with the preparation of PowerPoint presentations, documents, briefing papers, action points and reports as requested and to track work across all relevant departments to ensure the nominated Manager undertakes action within the agreed timeframe.
- Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.
- Be the gatekeeper and first point of contact to stakeholders, assessing priorities, redirecting calls, enquiries, and face to face meeting appointments.
About You:
- To be successful in this role you will need:
- Educated to Bachelor’s degree level.
- Experience of organising and coordinating meetings and events.
- Ability to manage your time and prioritise tasks to meet deadlines and maintain a structured workflow.
- Ability to utilise task management tools to track progress, set reminders, and monitor completion of tasks and projects.
- Ability to effectively communicate with team members and all stakeholders to relay information and ensure alignment on goals and objectives.
- Provide excellent customer service to internal and external stakeholders, ensuring their needs are met promptly and efficiently.
