Key Responsiblities:
General Administrative Support:
- Monitor shared email inboxes – acting as first point of contact for external enquiries and logging, fielding, and actioning requests as appropriate.
- Maintain organised documentation for programme activities, including meeting notes, contracts, and correspondence within our cloud-based filing systems.
- Help keep membership/contact information updated within the CRM.
- Support team travel plans including transport, accommodation, and visa arrangements.
- Occasional assistance with scheduling of meetings.
Finance Administration:
- Look after the day-to-day processing of invoices, credit card statements, expenses, and advisory fee payments.
- Assist in monitoring expenses according to allocated budgets.
- Assist with the drafting and processing of contracts for consultancies.
Event Administration:
- Help organise events, workshops, or meetings related to the programmes (most of these are online).
- Coordinate logistics, including Zoom bookings, participant registration, interpretation and translation arrangements, supporting the coordination of speakers and participants, access needs.
- Assist during online events with light tech and administrative support.
- For occasional in-person events, assist with venue booking, catering and travel arrangements and risk assessments.
- Assist with the preparation of emails, presentations, and other materials related to events.

o Understand, maintain and run some routine month end journals with high accuracy.

We are looking for a Fundraising Assistant to join the small but mighty fundraising team at Day One Trauma Support and do just this, could that be you?
The Role
As Fundraising Assistant, you will be a pivotal part of the team – helping to raise the profile of the charity, growing their supporter network and generating income. This is a varied role and a fantastic opportunity to develop your experience and skills working in the charity sector.
Main duties include:
- Delivering exceptional donor care and stewardship.
- Dealing with enquiries and administrative tasks efficiently and accurately.
- Managing the supporter database, ensuring records are kept updated and that data policies and procedures are adhered to at all times.
- Supporting the fundraising team with planning and delivery of events, as well as attending events to assist on the day as required.
- Creating engaging content for Day One’s social media channels.
The Person
We are looking for someone with exceptional customer service skills, and experience of working in a customer facing role. You must be enthusiastic, passionate and hard working. We are also looking for someone who has experience working towards and meeting/exceeding set targets. A knowledge of using social media and great attention to detail is key.

About the role
As Community & Events Team Coordinator, you will be the first point of contact for a range of community fundraisers and eventers, providing an exceptional supporter journey. Your role will include supporting the team on projects such as TCS London Marathon, London Landmarks Half Marathon and our flagship event, Icebreaker, gathering valuable supporter insight to grow our portfolio. You will work closely with the Data Imports and Finance team to coordinate income, event administration and reporting to ensure accurate and up to date records.

We're looking for an Assistant Financial Accountant to join our finance team located at our Head Office in Caledonian Road.

Reporting to the Financial Accountant, the Assistant Financial Accountant will be involved with all financial accounting and treasury activities for the organisation which includes Look Ahead Care & Support and its subsidiaries. Activities include the day to day monitoring and administration of Look Ahead's bank account, posting journals, producing monthly balance sheet reconciliations and assisting with the management of the outsourced payroll function.

What you'll do:
Assist with the production of the management accountants and annual financial statements for Look Ahead Care & Support (LACS) and its 3 subsidiary companies.
Assist the Financial Accountant with the annual year end audit process for the organisation including liaison with the external auditors.
Prepare the quarterly VAT return for Look Ahead and Look Ahead Developments.
Post all fixed asset journals, reconciling relevant balance sheet accounts monthly.
Prepare and post monthly journals and complete monthly balance sheet reconciliations for other general ledger accounts as required.
Ensure that Look Ahead's bank accounts are reconciled on a daily basis. Prepare and post daily journals for cash receipts, direct debits, and manual payments.
Assist with the preparation of payroll journals and the reconciliation of relevant payroll accounts e.g. payroll control, PAYE, pension, attachment of earnings etc.
Assist with the monthly payroll processing, including processing of overtime and payroll sample checking.
Assist with the administration of Look Ahead's pension scheme, including processing new joiners and leavers.
Assist the Financial Accountant with the development and day to day management of the SUN financial system across the whole finance team in order to achieve efficiencies and continuous improvement.

The Role

This role is for someone who can support the Finance Systems Manager and Finance Systems Analyst to provide robust, reliable finance systems and applications for use by the organisation, ensuring the security and integrity of all financial data held. This role contributes to the Finance Systems Team vision to support and encourage an environment of continuous improvement. You will be responsible for routine tasks and the first point of contact in the team for non-Finance users’ support queries.
The Responsibilities
• Process regular Supplier updates following the completion of the Supplier Engagement Process
• Process regular Project and Cost Centre updates following the completion of the Project Maker App
• Produce Supplier reports to the teams for their action
• Process regular updates to the financial software (Dimensions) for the Financial Controllers (referred to as Mtab updates) and linking to the Power Apps for each Entity
• Checking, refreshing and syncing App Libraries – Checking that automated scripts have run and initiating others that are not covered by automation or other routine tasks
• Data cleansing associated with the above processes and other datasets
• Monitoring and triaging user support requests
• Diagnosing user support requests, allocating them to correct tasks and monitoring progress where needed.
• Monitoring and updating approval routes, financial data, supplier records, and SharePoint documents
• Setting up and maintaining users in the finance systems and applications
• Assisting users in navigating the finances systems and applications
• Training users in the finance induction and for ad hoc needs
• Provide support to the Processing Team with pay run queries and other controls
• Provide support to the Reporting Team (for example, journal processing, fixing reporting issues) as agreed with your line manager
