Main purpose of role
The Programmes Administrator will be in charge of the smooth running of 1MM Mentoring Programmes in London, including the supporting of mentors & mentees through their journey. By ensuring a fast and effective onboarding process, timely communication, and ongoing support for our participants the Programmes Administrator will assist the Regional Manager with maximising the positive impact of 1MM’s mentoring programmes. This role reports to the Head of Delivery.

The role
This is an exciting opportunity for an experienced Executive Assistant and Office Manager to leverage your experience in this dual role. You will provide high-level executive and administrative support to the Chief Executive Officer (CEO) and work closely with the Senior Leadership Team (SLT) and liaise with the Board of Trustees. You will also manage and ensure the efficient operation of our office, currently located at the Dorfman Centre near Regent’s Park, London.
Supporting the CEO, you will be responsible for the daily management of the CEO’s diary, ensuring meetings, itineraries, and reservations are coordinated and managed promptly, ensuring timely updates and details are provided to the CEO, in addition to administrative support and minute-taking at meetings. About you
You will have extensive experience supporting CEOs, senior staff and Boards, with the ability to maintain and develop systems and processes that enable effective and timely workflows. As a self-starter, you will possess excellent organisational skills developed within a fast-paced environment and significant experience in diary management, meeting organisation and managing multiple travel itineraries. You will be a strong oral and written communicator with excellent interpersonal skills and the ability to adapt your communication style to diverse audiences both in the UK and internationally, in addition to maintaining high levels of confidentiality, discretion and diplomacy at all times. Being conversant in Microsoft Office at an intermediate or advanced level is essential, as is the ability to manage budgets. Hope Place is a new supported accommodation service located in Slough comprising 10 self contained rooms with a staff office on site. The service accommodates and support people who experience moderate to high complex mental illness, many of whom will also have a range of additional and complex needs, for example drug and alcohol misuse issues and personality disorders.
Hope Place provides care and support for 24 hours a day, 7 days a week, including Bank Holidays. The service is covered at night by designated Waking Night staff. Support Workers will be required to work on a rota basis, covering early and late shifts, including at weekends and Bank Holidays.
The service has a focus on enabling and utilise customers' skills. About the team
In Norfolk we have provided housing advice for over 25 years, with offices in Norwich and Kings Lynn as well as Court Desks in Norwich, Kings Lynn and Great Yarmouth County Courts. Job purpose:
The role has two distinct areas of responsibility:
Provide administrative and logistical support for the smooth running of the London office (70%). Administrative assistance for the general operations of the Trustees, including coordination of Board meetings (30%), although this may vary on a day-to-day basis.

Roles and responsibilities:
Office Administration and logistical support (70%)
· Proactively ensure that the office functions well and efficiently, maintaining office equipment and stocks of office supplies within budget.
· Act as the primary contact for visitors and phone inquiries. Manage the general inquiries email inbox and other shared email accounts.
· Be the main point of contact for office maintenance, security, and building management. Communicate with the landlord to promptly and efficiently address any related issues.
· Ensure office procedures are kept up-to-date and communicated to staff.
· Coordinate the preparation and production of business cards and ID cards for staff
· Develop and uphold Saferworld (UK)’s list of trusted suppliers, regularly reviewing and adjusting as necessary in alignment with Saferworld’s procurement policy.
· Add, update and maintain the UK Asset online asset register
· Identify opportunities to improve administrative systems and processes and proactively collaborate to redesign them.
· Collaborate closely with the Global People and Operations teams and ICT to assist in the onboarding and offboarding processes for new staff in our London office.
· Plan staff events, including annual summer and winter socials.
· Assist with renewing global insurance policies and provide administrative support for handling claims, including coordinating with staff and the insurance claims team as necessary.
· Coordinate with the IT team to set up new employees, ensuring the provision of company IT equipment aligns with internal policies.
· Provide administrative support to staff when visiting the UK, including providing visa support letters and making travel bookings in the UK for visiting staff and partners.
· Provide support with the organisational Travel Management Company (TMC), including setting up staff profiles and offering booking guidance.
· Monitor staff travel plans for ICT equipment movement.
· Manage Saferworld's organisational contacts database, including contact import, tagging, and deduplication, in compliance with UK GDPR legislation.
· Maintain an organised and effective filing structure within the internal SharePoint sites where relevant
Management team administrative support (30%)
· Provide administrative support to the Chief Executive Officer when required.
· Assist in preparing and coordinating management team, UK and Saferworld Europe Board meetings, and other committee and leadership meetings. This includes handling documentation, logistical arrangements, ICT setup for remote participation, and supporting travel bookings and expense claims.
· Manage the global Saferworld calendar, ensuring everyone is informed of events and meetings as necessary.
· Undertake miscellaneous tasks as requested by the CEO, demonstrating flexibility and adaptability to support organisational needs effectively.

About Us
The Bristol, North Somerset and South Gloucestershire (BNSSG) VCSE Alliance launched in January 2024. It aims to influence and facilitate greater collaboration between the regional health system (BNSSG Integrated Care System) and the Voluntary, Community and Social Enterprise Sector (VCSE). It seeks to do this by enhancing the role of the VCSE sector in the delivery and transformation of wellbeing and health, and cementing our sector’s role as a key strategic partner in the planning, design and delivery of health and care, in its widest possible definition.
The co-design of a new ‘VCSE Brokerage Framework’ with colleagues from the Integrated Care Board (ICB) and System (ICS) is a key priority for the VCSE Alliance in 2024-25. The aim of the Brokerage Framework is to provide a clear, fair, inclusive and proportionate way for health and social care system partners to reach a diverse range of VCSE organisations. The intention is that will be a new process by which grants and opportunities can be distributed to the sector.

The Role:
The VCSE Brokerage Administrator's role is to support the further development, piloting, and preparation for launch of the VCSE Brokerage Framework. The role will work closely with the soon to be recruited VCSE Brokerage Manager and the current VCSE Alliance team. Ensuring that we have a clear, efficient and effective administrative process for the Brokerage Framework will be fundamental to its success.
