The Role

The People & Culture Advisor role is an exciting opportunity to ensure the People & Operations Team deliver a consistent employee experience to both our existing and potential employees. Reporting to the Head of People & Operations, you will be responsible for helping to develop and enhance the employee experience for our team members. This will include the embedding and delivery of effective people operations, policy and advice. This includes recruitment and onboarding, updating policies, supporting engagement.

Avon Wildlife Trust are looking for a Head of People and Resources to shape the development of our workforce and ensure that our staff and volunteers have everything they need to fulfil their roles.

Like many organisations, we have recently moved to a hybrid working approach including homeworking and operational hubs throughout our area. We have embraced collaborative online working through Microsoft Teams and are making the transition to fully cloud based IT systems. The Head of People and Resources is a new role in the Trust, introduced to help make and maintain this transition. You will also support the operation of our Board and the governance of the Trust.

Overall Purpose of Job :
To manage the people and resources operations of the Trust, ensuring that our staff, volunteers and Trustees are supported by the systems, facilities and culture they need to fulfil their roles safely, effectively and inclusively.

Main Responsibilities :

• Develop our HR systems to attract, support, develop and retain talented people, including leading our systems and culture around equality, diversity and inclusion, performance management, volunteering, learning and development and internal communications. 

• Provide oversight and supervision of the Trust’s buildings, operational facilities, vehicles and other shared assets, ensuring that our people have the facilities and equipment they need to fulfil their roles. This includes the landlord responsibilities associated with Folly Farm Centre.   

• Ensure the effective development and maintenance of IT systems and infrastructure that supports our digital transformation, knowledge management and effective functioning of the Trust’s day to day operations.  
• Continuously develop the Trust’s Health and Safety, safeguarding and data protection systems, monitoring and driving compliance to provide assurance of a safe environment for people involved in the Trust’s activities. 

• Continuously develop systems to support the Trust’s effective operations, including project management and resource management systems, and monitor and report on implementation of the Trust’s Strategy Delivery Plan. 

• Support the effective governance of the Trust and the operations of the Board, including organising and supporting meetings, co-ordinating our annual report and AGM and managing the recruitment process for new Trustees.  

• Support the Trust’s procurement and contracting processes, including commissioning legal advice.

BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

The role

The role is a 12 month fixed term contract and sits in our people team, supporting the charity by providing a professional, comprehensive and proactive recruitment service. About the role

£18,975 for 22 hours, FTE salary is £31,051

In this varied and rewarding role you will develop and coordinate our team of volunteers and Sessional Workers (zero hours youth workers).  You will be instrumental in defining our volunteer strategy moving forward and identify other participation opportunities such as work experience placements, university placements, internships and apprenticeships.

You will also help develop internal engagement activities and participate in external awareness raising and fundraising activities, to support both volunteering and fundraising.

This role is for 22 hours per week, which will ideally be worked over 4 days.   There is the option of hybrid working.   We provide a surrey wide service, so the successful applicant will be willing to travel across the county to meet volunteers and sessionals as  well as participate in engagement opportunities.

Key responsibilities

• To coordinate the recruitment and induction process for volunteers and sessional workers.
• To coordinate, develop and deliver appropriate induction, training and supervision activities.
• To act as a central point of contact for volunteers and sessional workers

• Have proven experience of recruiting and managing volunteers
• Have experience delivering information or training
• Have experience with having difficult conversations with volunteers or workers
• Have experience of working across different teams, networking and developing links with other agencies
• Be an effective communicator, with strong written communication skills
• Be able to multi-task, plan a workload, set priorities and manage time effectively, working without direct supervision
• Have a good professional knowledge of standard Microsoft packages and databases
• Ideally, have a driving license and use of own vehicle. Mileage expenses are paid.
