Key responsibilities:

• Develop strong working relationships with key stakeholders and work in partnership with other teams providing data and analysis relevant to the business strategy.
• Use data from various data sources to understand historic trends and use this information to create financial models and presentations to inform budget decisions.
• Create income and cost Key Performance Indicators and research other organisations to measure performance.
• Provide timely and accurate monthly management accounts including income and expenditure, balance sheet reconciliations and Key Performance Indicators.
• Prepare budgets according to timelines in discussion with the team and Chief Financial Officer.
• Prepare monthly rolling forecasts of income and expenditure, working closely with other members of the Team,
• Undertake monthly reviews with budget holders to review income and direct costs  and feedback to key stakeholders where necessary.
• Take an active role in aiding senior managers and team members understanding of their financial responsibilities.
• Working with the Financial Accounts Team, ensure complete and accurate transaction processing.

As Finance Business Partner, you were regularly advise Communications and Fundraising leaders and senior leadership to inform decision making and maximise fundraising income and support in key decisions on how it is spent. You will develop a systematic forecasting process for the directorate and ensure robust 3 year income and expenditure plans are implemented as well as producing multiple year income and expenditure budgets to tie into the charities multi-year operational plan and strategy. • Work with Communications and Fundraising department heads to produce their multiple year income and expenditure budgets

• Evaluate performance against plans and apply business insight to enable fundraising strategies to be delivered successfully.

• Use analysis to identify trends from across the department and ensure optimal financial decision-making.

• Collaborate with the wider organisation to ensure that financial management information is complete and accurate.

• Use Business Intelligence Tools to develop insightful dashboards that inform decision making and encourage self service.

• Identify operational and financial risks, and determine the method of mitigating the risk with relevant stakeholders.

• Contribute to the delivery of a successful audit, and use business insights to support the production the financial statements.

• Support the restructuring and prioritisation of resources within the directorate in line with strategy ambitions

• To perform any other duties commensurate with the post as requested by the Head of Management Accounting.

Working alongside the Business Change Lead, you’ll develop and implement a comprehensive change management strategy for the Salesforce programme rollout, and actively engage with Salesforce programme stakeholders at all levels regularly to understand their needs, address concerns, and foster a positive attitude towards Salesforce.

• Design, analyse and create mechanisms in order to collect ongoing feedback from users and stakeholders and have ways of identifying resistance and managing it.

• Create and deliver clear, consistent change communication plans to keep all relevant parties informed and engaged throughout the transition process.

• Provide ongoing support and coaching to users, helping them navigate the new system, and manage and address risks and issues as they arise, and regularly monitor and report on the progress of CM activities, analyse its impact, provide opportunities for feedback and suggest improvements.

• At the end of the programme, lead the CM retrospective, ensure benefits and adoption metrics are identified, tracked and measured to demonstrate success. Lastly, provide the handover to the Business Change Lead.

The Responsibilities

• Process regular updates to the financial software (Dimensions) for the Financial Controllers (referred to as Mtab updates) and linking to the Power Apps for each Entity

About the role

Up to date knowledge of charity tax rules including VAT and partial exemption, experience of using MS Dynamics, Netsuite , report writing skills and experience of system change/integration will be desirable.

Inter Mediate

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Manager will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.
• Manage day-to-day HR functions and queries, including leave recording systems.
• Conduct staff remuneration and salary benchmarking exercises with the Deputy CEO.
• Update and maintain the employment handbook policies and procedures.
• Oversee office operations, equipment and facilities management.

C) IT, Security and Risk Management

• Ensure that the IT and communications systems are optimally configured for effectiveness and security, and that staff can operate them as necessary.
• Ensure Inter Mediate has robust risk mitigation systems and training for staff.
• Ensure Risk Assessments and security plans are completed by staff prior to staff travel.
• Ensure Inter Mediate has a viable business continuity plan.
• Maintain and review the Risk Register for the organisation with the Deputy CEO.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

Working at Inter Mediate

A normal working week consists of 35 hours (or pro rata for part-time). Our office operates between 8am and 6.30pm with core hours from 9.00am to 5.00pm. Inter Mediate operates a hybrid working model, with at least 2 set days per week in the office in London.

Key Objectives for the Elders Core Service Manager Role:

1. Team Leadership: Lead a team of dedicated part-time paid staff and volunteers, including a cook, support worker, minibus driver, and sessional workers.
2. Day-to-Day Management: Manage the day-to-day operations of the Elders Core Service, including the lunch club, transport, social sessions, and overseeing the one-to-one work of the core team.
3. Collaboration: Work collaboratively with the wider team to provide a hands-on program that builds on older people's strengths and potential.
4. Monitoring and Evaluation: Support the monitoring and evaluation of the project in collaboration with the Head of Programme.
5. Budget Management: Ensure the program operates within budget constraints.
6. Member Engagement: Support the planning of the core program with input from elder members and the wider team.
7. Recruitment and Support: Recruit and support new and existing members (service users).

Main Duties & Responsibilities:

1. Delivery

• Planning and Oversight: Ensure that all service output aligns with KLS' vision, mission, values, and charitable objectives. Organize and promote one-off activities throughout the year.
• Transport Management: Manage the transport offer, including route planning and pick-up schedules.
• Record Keeping: Maintain accurate activity records, registers, and casework notes for the core team.
• Outreach and Support: Conduct outreach work with older people in the community, oversee home visits, and manage a small caseload.

2. Staff and Volunteer Management

• Recruitment and Line Management: Recruit and manage the Outreach and Support Workers, Lunch Club Cook, and relevant social activities workers and volunteers.
• Performance Management: Use performance management and quality systems to monitor and evaluate the project's work and processes.

3. Relationships, Communication, and Networks

• Member Engagement: Build and sustain strong relationships with elder members.
• Communication: Oversee communication for the Core Programme, including newsletters, activities calendar, annual reports, and social media platforms.
• Meetings: Attend meetings on behalf of the Core Programme as required.

4. Finance

• Budget Management: Manage project areas to budget and maintain financial records as agreed with the Head of Programme.

5. Other Duties

• Professional Development: Participate in regular management supervision and annual appraisal. Identify job-related development and training needs.
• Professional Conduct: Professionally undertake roles, maintaining a high-quality standard of work in line with KLS's aims, values, and ethos.

The Role

This role will support the Financial Controller to deliver a high-quality payments and cash management service. The role of the Cash and Payments Manager is to oversee the Operational Finance team (3 people) and be responsible for managing, monitoring, and reporting on all cash transactions. You will manage cash management systems and processes, recommending and implementing any improvements to current processes and controls.

You will review and approve bi-weekly supplier/expenses payment runs ensuring that there is sufficient cash available and review, sample check and provide second stage approval for payment run files on the banking systems to ensure accurate payments.

The postholder will have strong leadership skills, a positive attitude and will take pride in getting a job done to the highest standards.  You will have the personal motivation to work in a fast-paced environment and be responsive to changing demands. 

What you will need to succeed

• A strong background in transactional finance – particularly accounts payable
• Experience of managing a small team
• Experience of process improvement

About the role 

We're looking for a highly motivated and skilled Bid Manager who can actively craft commercial tender submissions and work with the team to ensure we submit high-quality, winning bids within UK government procurement rules.

You will sit in the Business and Strategy directorate and lead bid-writing across the organisation, line-managing a team of Bid Writers and working closely with other colleagues across Business Development, Marketing and Operations.

This position is a full-time, 35 hours a week, permanent contract with a starting salary between £44,500 - £50,000 per annum depending on skills and experience.
