Personal Assistant to Senior Director

London (Hybrid)
Up to £16.00 per hour

Job description

Your new role

  • Provide comprehensive administrative support to the Senior Director in a professional, responsible and timely manner;
  • Manage enquiries to the team, being proactive and alert to the Senior Director's daily workload;
  • Manage the Senior Director's diary, handling diary conflicts, and exercising sound judgement in prioritising appointments;
  • Assist the Senior Director in managing their outlook inbox, responding to queries or actioning work in their absence (as required) and monitoring progress;
  • Support timely and efficient distribution of papers, and other tasks required for meetings and decision-making;
  • Book travel, accommodation, meeting rooms and refreshments as required; meet and greet external visitors;
  • Assist the Senior Director in processing work expenses;
  • Work closely with the Business Manager supporting with business and workforce planning and budgeting, recruitment, business continuity and establishment lists;
  • To build influential relationships with a wide range of internal stakeholders;
  • Arranging team meetings, hybrid awaydays and scheduling agenda items; and supporting in the production of agendas and minutes;
  • Provide support to both the management team and Project Directors as required;
  • Providing cover for other PAs as required.


What you'll need to succeed

  • Demonstrable experience of excellent organisational and working in an administrative support capacity including, but not limited to, diary management, prioritising heavy workflow and working proactively in a busy environment.
  • Strong interpersonal skills with experience of contributing through working as part of a team and building relationships across departments, inside and outside the organisation, across varying levels of seniority.
  • Experience of working collegiately at PA level and supporting senior stakeholders.
  • Excellent communication skills both written and oral with experience of tailoring to the needs of different audiences and experience of representing organisations to stakeholders.
  • A strong knowledge of Microsoft Office packages, particularly Teams, Outlook, Word, SharePoint and Excel.
