OPERATIONS MANAGER - ROLE RESPONSIBILITIES

The Operations Manager is a key support for the church’s leadership and heads the staff team providing management over key operational and missional areas of the church’s activities.

This leadership role supports the ethos and ministries of the church and its mission to be a church for the community - discovering Jesus, sharing God’s love, and caring for those in need.

A vital aim for our church’s work in the local community is that our staff relationships, our Venue ministry, our Christian hospitality and how we use and share our building should all reflect God’s character - showing compassion, generosity, and kindness.

The role has a lot of different components, so we’re looking for someone who sees all aspects of this job as an expression of the church’s mission to proclaim the Good News and will facilitate and serve the congregation, the staff and the volunteer teams as they creatively explore ways to express our Christian ethos through the life and ministries of the church. This therefore requires that they are someone who has a mature Christian faith.

They will need to be a “servant“ leader who is mentally agile, energetic, able to schedule and prioritise, a good delegator, a team player, a quick learner and capable of taking initiatives, with a healthy understanding of self-care - we’re not looking for a “hero”, but someone who can work sustainability.

Leadership:

• Work closely with the church leadership team to support the trustees, staff and congregation in the development of church vision, ethos, mission and ministries.
• Create a positive, Christian work environment, and cultivate supportive team working relationships and working practices that align with the church’s mission.
• Lead the staff team, providing effective leadership, management, administration, recruitment, and staff development. Facilitate the team as they represent the church’s values in the day-to-day open house ministries of the church.
• The Operations Manager must be able to represent the church and the church’s Christian ethos in the absence of the Minister.

Building Management:

• Support and develop initiatives that enable every aspect of the building's use, welcome and presentation to be missional.
• Provide effective management, administration, organisation, maintenance, and development of the WGC church buildings and equipment.
• Coordinate with the Estate Manager to develop long-term maintenance plans for the common parts areas of the building.
• Provide the Trustees with regular building management reports.

Compliance and Legal Administration:

Provide effective management, administration, organisation, and compliance with UK laws, for:

• The maintenance of a safe and healthy working environment.
• Safeguarding, equality and inclusion.
• HR matters including safe recruitment, induction, training and employee development.
• GDPR
• Matters relating to Westbourne Grove CIO charity’s Trust Deeds, Constitution and Church Rules, and leasehold responsibilities.
• Requirements as a registered charity (CIO) including timely submission of reports to the Charity Commission.
• Develop and implement policies, risk assessments and safe working procedures and keep them regularly updated and reviewed. Ensure policies and safe working practices are adhered to.
• Provide adequate information, training and supervision to ensure employees and volunteers are competent to do their work.
• Lead in communications with the freeholder, the management company, the estate manager, and church tenants. Oversee any necessary legal input for decision-making and work closely with the WGC Trustees, and external organisations on decisions relating to the common parts of the building.
• Keep administrative records. Provide reports for the Trustees.

Administrative Services and Support:

• Provide administrative support for the Ministers. Develop and maintain administrative, organisational, communications systems and record keeping procedures for the church’s general administration. Maintain membership and constitutional records.
• Administrate the church's IT infrastructure, broadband, phone systems, and utilities accounts and ensure they meet the operational needs of the building and its ministries.
• Assist the Venue Manager to develop and maintain suitable and effective systems, strategy, pricing, communications, contract management, staffing and customer relations.
• Develop the church’s visibility and profile in the community using the church’s website, social media, ArtSpace, and missional displays and exhibitions, ensuring these align with the church’s ethos and mission.

Financial Oversight:

• Oversee provision of financial management information to Leadership team and Trustees, including budgeting, salaries, financial reports, end-of-year statements. Support them in developing financial strategies and policies.
• Oversee the accurate functioning of church financial systems, controls and procedures. Monitor and administrate reserves and investments.
• Ensure WGC's financial practices comply with UK charity regulations. Assist with the filing of the accounts and annual report to the Charity Commission.

Provide financial oversight, management, and support for:

• Venue ministry finances, pricing and strategy
• Finance Administration - ensure all financial records, payroll, pension administration, invoices, and reports are accurate and timely. Authorise payments.
• Manage the buildings budget including liaising with the Estate Manager regarding common parts expenditure.
• Financial interactions with lease and licence holders including new leases, rent reviews, break clauses and lease renewals, insurance contributions.

PREFERRED WORK EXPERIENCE

Candidates should be able to demonstrate either experience in the following areas of responsibility and/or the skills needed to carry out these responsibilities.

Preferred leadership experience – preferably in a church or other Christian organisation:

• The ability to contribute to the management decision making process.
• Understanding of the church and charitable sector.
• Leading and managing projects of a diverse and complex nature in a team-oriented workplace and of delivering operational excellence in challenging environments.

Salary £32,400 to £36,000 depending on the competencies and experience of the successful candidate. The package also includes 28 days’ leave + Bank Holidays, and a workplace pension (with 4% employer contribution) following the successful completion of probation.

Role Summary

Beyond Sport is seeking a dedicated Grants Manager to lead our end-to-end grant-making process across our global programmes. This partner-facing role will lead all grant application processes, including due diligence, approvals and agreements as well as grantee relationship management through the life cycle of the grant.

This is a fantastic opportunity to work in a truly global organisation. The successful candidate will collaborate closely with the team in both the US and the UK, reporting to the Senior Programme Manager (UK). The position will support the strategic programme implementation and work alongside specialists in the team on Monitoring and Evaluation and Events & Capacity-Building.

Key Responsibilities:

Grant Management

• Lead on all communication with grantees (and award recipients) across programmes.
• Manage grantee payment and reporting schedules with clear expectations and communications.
• Build and own the organisation's system of communicating with grantees (and award recipients).
• Collaborate with Finance on grantee bank account details, payments, and invoicing.
• Coordinate with the team to support grantees through marketing, events, and capacity building opportunities. Work cross-team to support grantees to fulfil monitoring and evaluation of grant requirements, insight surveys and financial reports where needed.
• Maintain the grantee CRM database, ensuring data is accurate, up-to-date, and easy to use.

Grantee Selection Process

• Manage the grant application process from start to finish for funding and award programmes.
• Lead the preparation of all grant applications including fund design, funding criteria, design of application and review scoring process.
• Responsible for supporting potential applicants during the open application period.
• Lead on all tasks required once the application process is closed, including collating and summarising applications, scoring and recommendations and due diligence.
• Coordinate with external expert advisors, judges or participatory panels with transparency around roles, timelines and compensation.
• Draft and process the signing of grantee approvals and agreements engaging with the Board of Trustees in grantee approvals where needed.
• Collaborate with the Monitoring and Evaluation Lead on key data from selection processes to inform the Beyond Sport Measurement Framework and learning.
• Manage the system of storing relevant up-to-date application information in our CRM database.

Miscellaneous

• Where required manage and support specific global programme or awards including partnerships management and design.
• Advise and support the development of the Beyond Sport Awards.
• Understand new trends in grant-making and recommend new approaches to processes.
• Contribute to organisational strategy and objectives.
• Support with agreements for consultants, advisory groups and judging panels for experts supporting grant-making for both UK and US programmes.
• Support business development with opportunities which rely heavily on grant-making or award-making.
• Support back donors and key stakeholders' relationship management across Beyond Sport’s funded programmes.

You will have:

• 4 years’ experience working in a charity or foundation with focus on grant management and application processes.
• Experience with diverse grant-making approaches such as participatory grant-making or grant-making to social enterprises.
• Excellent written and verbal communication skills

Financial Wellbeing and energy advice worker

Salary:   CHAS DC level D £32,385 - £36,210 per annum, pro rata.

Location:  Aberdeen / Inverness

Contract:  37.5 hours per week.  Fixed term until end of March 2026.

Caring for a child with a life shortening condition can bring with it unexpected financial responsibilities which may lead to poverty and hardship. These include increased care costs, increased energy costs and the possibility of a parent needing to stop working to become a fulltime carer.

Children’s Hospices Across Scotland (CHAS) was awarded a two year grant funding from British Gas Energy Trust (BGET) to develop a team who will support families across Scotland during the cost of living crisis. Scottish Gas Network (SGN) have added further to this funding, and we are looking to expand our team.

Recruitment to this exciting new post will further enhance the support CHAS provides at an extremely difficult time families.

We are currently recruiting financial a wellbeing and energy advice worker, who will work directly with families to provide comprehensive financial wellbeing advice (including energy), to maximise the money available to them.

As a Financial Wellbeing Advisor, you will be joining an enthusiastic, energetic, experienced, and supportive team, with a collaborative and hardworking culture. Last year the team brought in over £1.7 million in financial gains for CHAS families You will work primarily with our teams in Inverness and Aberdeen as well as our Family Support Teams in our two hospices (Rachel House and Robin House).

The role

The role of the financial wellbeing and energy advice worker is to maximise the money available to families of children with life-shortening conditions. The post holder will do this through 1-to-1 support for individual family members, covering income maximisation, benefits advice, money advice and energy advice, which will maximise the money available to the families, ensuring that their financial wellbeing is being addressed. They will provide information about the benefits systems, undertaking casework, supporting applications to benevolent societies and trusts, advising and providing families with impartial advice and information on energy efficiency and signposting to specialist services where required.  This will be done through;

• Service delivery

• Key contact with external organisations and partners
• Volunteer engagement

How are staff supported to work remotely? 

VoiceAbility has a small number of offices. Employees including Team Leaders are homebased for Administration and meetings will be held online as well as in person in the relevant community.

About the Role

The weekend Studio Assistant supports visitor engagement in the Studio and Ground Floor Gallery at Modern Art Oxford. You will create a safe and friendly welcome, to support a lively, social atmosphere within the Studio which plays a significant role in building lasting relationships with visitors and families. The Studio Assistant will encourage reflective conversations with visitors as they arrive, providing context for the space and resources by demonstrating their use with the prompts provided. This is a practical role, and you are encouraged to develop your own creative skills while keeping the space tidy and presentable throughout the day.

Duties

• Facilitate activities in our Studio on Saturdays and Sundays, utilising the materials provided. 
• Encourage visitors to take part in the current programme activities and upcoming events. 
• Support Modern Art Oxford Producers with delivery of weekend workshops. 
• Maintain accurate records on attendance..
• Set up and pack down workshop activities with the guidance of producers. 
• Engage families with Activity Backpacks, maintain materials, and record feedback.

• Assist all visitors in accordance with MAO’s Equality, Diversity and Inclusion Policy 
• Ensure the Ground Floor Gallery and Studio are kept clean and tidy throughout the day.

Person Specification
