The Role

We are looking for a coordinator to carry out the delivery of our Vocational Qualifications and Funded Modern Apprenticeship Programmes.

The role includes course and funding administration, communication with students and teaching staff, registration with external bodies, and maintenance of student records.

This post requires essential knowledge of IT with a clear understanding of data input and good data management principles, attention to detail and the ability to follow strict timelines in accordance with our funders, as well as adhering to contract requirements. You must be knowledgeable in using Microsoft office packages, be keen to learn various administrative procedures and to use database systems, both internal and external. We also require good communication and organisational skills.

We continuously recruit students for our various programmes throughout the year, so the successful candidate will have a flexible approach and the ability to prioritise. We are a small organisation so the ability to work independently and to self-motivate is essential, as well as being a supportive member of a small admin team.

LGBTQ+ Heritage Project Worker

Responsible to: Communications and Engagement Manager

Q:alliance provides support, information and representation for the LGBTQ+ people who live, work and play in Milton Keynes and Bedford. We have detailed knowledge of the issues and challenges that organisations and individuals face locally. It’s our goal to create more safe spaces and resources to ensure the LGBTQ+ community is well represented and supported.

This exciting new role will help deliver the directives of a history and heritage project funded by the Heritage Lottery. The project will support the erudition of LGBTQ+ heritage in Milton Keynes, advancing local communities’ understanding of Milton Keynes’ LGBTQ+ history and inspiring a commitment to encapsulating, celebrating, and feeling connected through shared heritage. This post will be key to extending our reach into seldom asked communities, as well as securing relationships with founding community members. This role will support our Communications and Engagement Manager to develop safer spaces for LGBTQ+ local communities through collaboration with partner agencies and delivery of LGBTQ+ cultural competency training to a range of stakeholders involved in the wider project.

You will work cross-departmentally and participate in effective monitoring systems to ensure robust reporting.

Main Responsibilities

• Project Development - Develop and implement the directives of the funded project, supporting key partners in their collaboration with Q:alliance. Communicate project aims with communities and stakeholders and establish meaningful engagement in the concept of encapsulating heritage and celebrating differing LGBTQ+ identities in Milton Keynes. Support the gathering of audio histories and the collection and succession of community artefacts through the archive. Evaluate and analyse impact.

• E-book creation – Support the Communications and Engagement Manager on the development of an E-book to capture the outputs of the project, including key heritage findings and personal stories.

• Event coordination – Plan, organise and support the delivery of history clubs in line with the project plan, ensuring accessibility for a wide range of invested community members. Support the curation of associated exhibition events.

• Stakeholder and community engagement – Work with the Communications and Engagement Manager to plan engagement and outreach activities in line with the directives of the funded project. Forge and support enduring relationships with key partners, strengthening our commitment to building an alliance of cross-sector compassionate advocates for the LGBTQ+ community in its diverse forms.

• Training – Support the development and delivery of LGBTQ+ cultural competency training to a range of stakeholders involved in the project.

• Data capture and intelligence - Support Q:alliance’s commitment to sustaining a contemporary data and monitoring mechanism, guaranteeing we can deliver thorough evaluations of our services and competent feedback to our funders and stakeholders on the efficacy of our work.

You will serve as a prominent point of contact for the LGBTQ+ Heritage Project and encourage long-term advocates of our organisation and the community’s engagement in history, heritage and legacy work. You will improve the ways in which our team communicates and responds to the needs of seldom heard members of the LGBTQ+ local community, inspiring innovation in our engagement with heritage concepts.

Job Summary: The Recruitment & Engagement Coordinator is responsible for the recruitment and engagement of new volunteers across Wales, ensuring they have a positive experience with us throughout their volunteering journey.

Specific Duties and Key Responsibilities

Attraction of Volunteers

• Post opportunities and develop relationships with national volunteering partners, including but not limited to, Volunteering Wales, WCVA and Careers Wales.
• Develop and maintain a stakeholder map of volunteer involving organisations across Wales, working with localities on managing and maintaining these relationships.
• Ensure local areas have the required resources to attract volunteers locally. Working with the Head of Marketing to facilitate this.

Recruitment and Induction

• Manage the volunteer recruitment mailbox
• Act as a first point of contact for all volunteer enquiries
• Work with colleagues to conduct volunteer interviews over the phone /on teams
• Process DBS checks and references as required
• Work with the Safer Recruitment Lead (National Volunteer Manager) to ensure volunteers are approved as active.
• Work within the volunteering team to streamline recruitment processes, providing a quick enjoyable experience for new volunteers
• Work with local managers to support effective matching of new volunteers
• Ensure all volunteer communications follows brand guidelines

Training and Engagement

• Book volunteers on mandatory training, including sending reminders to increase engagement and retention on sessions

As an administrative role with a strong customer service element, you will work in support of the SBP Compliance Manager, managing the independent audits approved on companies under the Leaping Bunny and other programmes.

Transition Together is seeking to continue the work of deepening connection and growing the voice of the Transition Movement in England and Wales through the freelance engagement of three Network Weavers. This exciting project will see this team, supported by Transition Together staff, co-design an in person Transition Assembly early next year to guide the future of our Movement in the UK as well as build relationships with Transitioners across Wales and England and connect to emerging and established networks across the UK. Principle Duties:

• Venue Hire Management: Lead for all hire enquiries and bookings from initial conversations through to event delivery and after-care.

Overview of job

We are hiring a Finance and Grants Assistant to support financial and grants operations processes. Responsibilities include participating in the operational and administrative activities of the finance function, leading to the accurate recording of financial information for accounting purposes, as well as managing financial records, and supporting our grant-making processes.

Responsibilities of the role

Finance – approx. 40%

Day-to-day financial management of the charity and its Trading subsidiary including, but not limited to:

• Process all day-to-day transactions on the finance system, Xero, including income received from fundraising platforms, ensuring a full audit trail of data processing.

• Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

• Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

• Process purchase invoices and expense claims, ensuring appropriate authorisation, in line with delegated authorisations.  

• Set up weekly payment runs for approval by the Head of Finance.

• Monitor all financial processes, ensuring finance policies are complied with and deadlines are met, including electronic and physical filing of finance and legal documents.

• Complete month end tasks, enabling to the Head of Finance to close the month, including selected balance sheet reconciliations.

• Keep Gift Aid records up-to-date and assist the Head of Finance with the preparation of Gift Aid claims.

• Assist with the year-end audit, ensuring all relevant paperwork is tidily filed.

• Collaborating with the fundraising team, exploring fundraising and donation collection mechanics, identify new developments in the sector and helping to embed any system changes.

• Train and support the charity team on the charity’s finance processes.

• Provide cover for the Governance & Team Co-ordinator in periods of absence.

Grants – approx. 60%

• Support the Grants Team to process charity applications for funding, including communicating with interested parties, summarising applications, compiling relevant information, conducting research as required and helping to organise related meetings and Grants Panels.

• Preparing and processing funding agreements, reporting forms and other associated paperwork for grants.

• Working with charities to collect and develop storytelling information such as quotes, pictures and case studies, and support sourcing participants and contributors for radio interviews and other editorial pieces as needed.

• Supporting the team in the organisation, planning and delivery of our skills training programme for charities.

• Writing copy for our website and newsletters, and ownership of our communication planner for our charities.

• Managing the Grants Team inbox and being the first point of call for queries.

• Leading on the management of data and uploading of information on our database (Salesforce), complying with GDPR requirements.

• General administrative tasks across the both the Grants and wider charities team, undertaking adhoc projects and supporting initiatives and events as requested.

• Assisting the Grants Managers in all administrative aspects of support.

• Provide cover for the Governance & Team Co-ordinator in periods of absence.

The Role:

This role will cover a wider area of executive support including governance, meeting management, senior leadership team support, managing on-line gatherings, travel management, diary management, correspondence management and relationship management.

The post-holder will be key in supporting the WWP in this, and also, with both WWP and CEO, in mapping out the key events and activities over a 6 year cycle, so that there is a clear structure for the new WWP (and ultimately successor to CEO ) to come into and work with. They will also assist the CEO in “standard agenda planning” for the board, for example, the induction of the new Board in early 2025.

Whilst the role is for 3 days per week, ideally this would be flexible, with the individual working more days at certain times (for example during the Board week) and less at quieter times.

Work Location

This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays.

Development / Fundraising Assistant

Citizens Advice Hounslow is a well-established charity operating in the London Borough of Hounslow, supporting over 10,000 clients a year. We’re looking for two self-starting team members who will help coordinate our JUMP befriending project for unaccompanied asylum seekers and refugees.

You’ll be responsible for half of the befriending pairs (currently 28, increasing to 50 in the coming months) and undertake tasks such as working with our partner organisations, managing referrals for young people, recruiting volunteer befrienders, and setting-up and sustaining pairs. This includes leading an initial training day.

You’ll also provide JUMP young people with casework support, help organise our group events and facilitate support from our Hardship Fund.

Main functions

Supporting young people and the JUMP Community

1. Managing a caseload of young people; including offering casework support; arranging and attending appointments with the young person where necessary and signposting to available support.
2. Helping plan and organise quarterly group events.
3. Conducting initial assessments with young people to understand their needs, and once paired with a volunteer, hosting befriending initial meetings.

 Supervising and supporting volunteers

1. Recruiting, interviewing and onboarding new befrienders, including organising and delivering training.
2. Supporting befriending volunteers through regular supervisions, meetings, emails and phone calls, and responding promptly to any safeguarding concerns raised.
3. Ensuring that volunteers uphold JUMP’s policies and boundaries for befriending.

Publicising JUMP, and engaging with key stakeholders

1. Publicising the project to existing and potential referral agencies, and establishing and maintaining excellent working relationships with them.
2. Representing HIAS+JCORE and JUMP in the refugee sector as required, for example at the Refugee and Migrant Children’s Consortium (RMCC) meetings.

Project monitoring, evaluation and record keeping

1. Working with experts and the JUMP Project Manager on supporting the project and its evaluation, and keeping accurate records in JUMP’s database.

Other Duties

1. Ensuring that JUMP informs our campaigns, communications and education work. As the project develops, there will be opportunities for the post-holder to contribute to and support these areas of our work.

We're looking for candidates who have

• Ability to support, develop rapport and trust with, and motivate both young people and volunteers from a range of backgrounds and ages in challenging circumstances, including the ability to facilitate and engage in cross cultural communication.
• Knowledge of issues facing separated asylum seeking and refugee children and young people, and the rights and entitlements of ‘Looked After’ children and young people.
• Understanding of the current context surrounding immigration, asylum and welfare issues facing children and young people in the UK today.
• Understanding of Child Protection and Vulnerable Adult Safeguarding, and ability to communicate this to volunteers.
• Understanding of youth work principles and methods, including the benefits and challenges of befriending and other participatory methods.
• Ability to network in the refugee sector and develop strong working relationships.
• Ability to work independently and to self-motivate.
• Commitment to HIAS+JCORE values, social justice and antiracism.
• The ability to communicate in languages other than English, in particular Arabic, Spanish and French (desirable)

Experience required

Essential

• A track record of working directly with asylum seeking and refugee children and young people.
• Experience of social work, youth work, or other relevant methods of supporting people in challenging circumstances.
• Experience of training, coordinating and supporting volunteers.
• Experience of juggling commitments and responding to relevant stressful situations.

Desirable

• Educated to at least undergraduate degree level, or equivalent background or experience.
• Working knowledge of Local Authorities’ responsibilities for Looked After Children and Care Leavers.
• Experience of project management including administration, monitoring, evaluation and report writing.
