BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

Battersea is undertaking a transformational data strategy programme (known as Launchpad) aiming to transform how we collect, store and use information and data about our animals and supporters. The role

The role is a 12 month fixed term contract and sits in our people team, supporting the charity by providing a professional, comprehensive and proactive recruitment service. About the role

£18,975 for 22 hours, FTE salary is £31,051

In this varied and rewarding role you will develop and coordinate our team of volunteers and Sessional Workers (zero hours youth workers).  You will be instrumental in defining our volunteer strategy moving forward and identify other participation opportunities such as work experience placements, university placements, internships and apprenticeships.

You will also help develop internal engagement activities and participate in external awareness raising and fundraising activities, to support both volunteering and fundraising.

This role is for 22 hours per week, which will ideally be worked over 4 days.   There is the option of hybrid working.   We provide a surrey wide service, so the successful applicant will be willing to travel across the county to meet volunteers and sessionals as  well as participate in engagement opportunities.

Key responsibilities

Full duties are included in the job outline, key responsibilities include:

• To coordinate the recruitment and induction process for volunteers and sessional workers.
• To coordinate, develop and deliver appropriate induction, training and supervision activities.
• To act as a central point of contact for volunteers and sessional workers
• To embed good practice in every aspect of the volunteer & sessional worker journey.
• To develop and manage partnerships with external stakeholders including Universities/volunteering hubs, local businesses and community groups to encourage a range of opportunities.
• To organise and attend community events and organise recruitment workshops and talks, across the county.
• To support the HR Manager by organising engagement activities and forums for our own staff, sessionals, volunteers and other stakeholders.
• To undertake ad hoc work for our fundraising function, to support our community fundraising efforts.
• To coordinate sessional work opportunities.

About you

You must:

• Have proven experience of recruiting and managing volunteers
• Have experience delivering information or training
• Have experience with having difficult conversations with volunteers or workers
• Have experience of working across different teams, networking and developing links with other agencies
• Be an effective communicator, with strong written communication skills
• Be able to multi-task, plan a workload, set priorities and manage time effectively, working without direct supervision
• Have a good professional knowledge of standard Microsoft packages and databases
• Ideally, have a driving license and use of own vehicle. Mileage expenses are paid.

The Reward Manager will play a key role in developing and delivering a reward & remuneration strategy in line with the people strategy, that enhances the organisation’s ambition to be regarded as an employer of choice and supports the organisation’s future growth and development plans, as well as ensuring the effective application, review and ongoing development of process and policy.

To develop and deliver pay, reward, benefits and performance strategy and policy which meets the ongoing and future organisational needs, in relation to the pay and reward agenda.

The Reward function is responsible for developing and maintaining pay and benefit frameworks to ensure competitiveness and equity, as well as the design and implementation of performance frameworks that encourage retention and reward high performance.

• Lead, support and deliver the design and development of the Reward & Remuneration strategy, ensuring that policy and practice is aligned to the business and people strategies
• Create a total Reward approach, combining a range of different pay and benefits offerings into a flexible framework which meets the diverse needs of employees
• Lead on the implementation of new and existing Reward programmes and initiatives, providing advice and direction to senior management and the People team

What we are looking for;

• Significant experience in a reward specialist role, operating with a high degree of autonomy
• Excellent report writing and data presentation skills, including the ability to explain complex matters accurately and clearly
• Experience of effectively communicating reward frameworks to staff and other key stakeholders (such as Senior Leadership Team)
• Ability to work effectively at both the strategic and operational level
• Excellent task leadership and management skills, with the ability to deliver projects to plan, cost and quality
• Demonstrable success of building good relationships and partnerships with key influencers across the organisation
• Ability to develop reward strategies and plans and communicate the benefits and risks options to key stakeholders
• Experience in extracting and analysing data from HR systems, in order to inform decision making and fulfil statutory reporting obligations
• Ability to present data and qualitative and quantitative data and management information clearly and in an insightful way
• Sound numerical skills and attention to detail to be able to compile and check statistical reports
• Strong skill-set in using Excel and other software, to undertake complex performance and reward modelling

Community Advice Works is an established community charity based in New Cross in South
East London. As the only charity in the London Borough of Lewisham offering a general
drop-in advice service, we are a critical source of support to vulnerable residents. We have
built a strong reputation within the Borough for providing high quality, independent, person-
centred welfare and housing advice. The organisation employs several part-time staff and
has a team of volunteers. In addition to providing advice we currently deliver a domestic
violence project at Guys and St Thomas’ Hospital.

looking for an experienced and community-driven individual with a strong set of managerial
and interpersonal skills, preferably with a background in advice work, to maintain the strong
structures and reputation for excellence that we have developed.

As service manager, you will work with our friendly staff and trustee team to deliver our vital

Key duties

• Staff and volunteer management
• Line manage staff by providing support and supervision as needed, conducting regular performance reviews, and identifying staff training needs
• Oversee recruitment, training, and management of volunteers to ensure they are properly supported and equipped to help meet CAW’s service goals

Service delivery

• Ensure high quality and timely service delivery in line with the Service Level Agreements with our various service partners
• Identify any issues with service delivery and help develop cost-effective solutions to them as appropriate
• Compile and maintain accurate statistics on service performance to share with funders and CAW trustees
• Develop and maintain positive relationships with our key service partners through regular engagement, including attendance at regular service partnership meetings
