Job description

Location: Central London
Hours: Full-time, 35 hours per week
Contract: Temporary, until December 2026
Pay: £20.51 per hour (+ holiday pay) (circa £37,400 salaried equivalent)
Start Date: ASAP

Prospectus is delighted to be supporting a leading London university in the search for a temporary Programme Administrator to join their team.

This is an excellent opportunity for proactive and dynamic professional to support the delivery of prestigious Master's programmes within a busy academic environment and contribute to an exceptional student experience.

Responsibilities:

  • Provide comprehensive administrative support for careers consultations, practice interviews and student appointment bookings.
  • Manage complex appointment schedules, consultant timetables and booking records using Excel and internal systems.
  • Coordinate student communications, including appointment confirmations, reminders and booking updates.
  • Support the administration of careers services through Moodle, including appointment sign-up processes and engagement tracking.
  • Maintain accurate records of student attendance, bookings, cancellations and programme engagement data.
  • Support coursework assessment processes, including preparation of mark sheets, grading records and liaison with academic staff.
  • Maintain accurate student records and assessment data using databases and Excel.
  • Monitor attendance and assist with participation tracking and reporting.
  • Act as a key point of contact for student enquiries, providing accurate information and guidance on programme processes.
  • Support the production of programme materials including handbooks, cohort profiles and yearbooks.
  • Assist with the planning and delivery of orientation activities, programme events and student engagement initiatives.
  • Work collaboratively with Programme Managers, faculty members and professional services colleagues to ensure the efficient running of programmes.

Requirements:

  • Previous administrative or office experience.
  • A strong academic background, including a degree from a highly ranked university.
  • Strong IT skills, including advanced proficiency in Microsoft products, particularly Excel.
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines effectively.
  • Strong communication and interpersonal skills, with the confidence to engage with a wide range of internal and external stakeholders.
  • Proven ability to work under pressure while maintaining a high level of accuracy and attention to detail.
  • A collaborative and proactive approach to managing a varied workload, with the capacity to work both independently and as part of a team.
