Administration and Systems Manager 

£35k p.a. 

Location: initially remote working but to be hybrid based in W/NW/SW London.

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Key responsibilities

Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.

Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities. 
Systems management.

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

This is an exciting opportunity to provide clinical leadership and supervision to a number of therapeutic services within Richmond Borough Mind. Our developed and respected Psychotherapy and Counselling Service has been providing long-term counselling interventions to local residents since 1988. The service is self-funded and offers a range of therapies which aim to provide individuals with the support and opportunity to work through their difficulties in depth with a skilled and experienced trainee or fully qualified therapist. Sliding scale rates are offered to make sure that we are accessible to all. We also run a number of therapeutic, psychoeducational, support and peer-led one to one sessions and groups, training workshops and other activities.

We are looking for a skilled and qualified (or in advance training) counselling supervisor to provide clinical supervision, leadership, management and service development of our Psychotherapy and Counselling service. Knowledge and understanding of a number of modalities would be an asset.  Part of the role will be to help us achieve and maintain BACP or equivalent service accreditation and to grow the service.

As well as having an empathy with the core values of RB Mind, the successful applicant will be a confident and versatile communicator with outstanding relationship-building, organisational and problem-solving skills, and have the ability to provide empathy and guided support to staff, volunteer counsellors, administrators and clients. We have a vacancy for a Hospital Mental Health Outreach Worker to join our team. This is a full-time position.

About the Project

Herts Mind Network (HMN) has formed a partnership with Hertfordshire Partnership Foundation Trust (HPFT) to deliver a one-to-one outreach service for people who are in hospitals across Hertfordshire.

We have two existing arms of the project – one based at Kingfisher Court and Albany Lodge facilitating discharge to the community from inpatient settings, and the other based at Watford General Hospital & Lister Hospital supporting those who have attended A&E in mental health crisis and have a dual diagnosis.

This is a new arm of the project focused on serious violence, with one worker based at Watford General Hospital and one worker based at Lister Hospital working in A&E departments and wards facilitating discharge for people aged 16 - 25 who have been admitted to hospital due to being a victim of serious violence.

About the Role:

The aims of the Bounce Back service are: to provide up to 16 sessions of emotional and practical support, advice and information to patients. We will visit patients on the ward and continue the sessions in the local community and in patients homes once discharged. We will facilitate a smooth and timely hospital discharge and focus on re-integration back into the local community.

The Bounce Back Worker will work with the HMN Community Outreach Teams and the hospital staff to ensure patients are offered advice, information, and holistic support. The Bounce Back worker will use a recovery orientated approach working with patients on the ward, and in the local community, including in people’s homes.

The recovery approach includes empathy, warmth, acceptance, authenticity, compassion and humanity.

Key Responsibilities

• Provide practical and emotional support to encourage patients to develop their independence within their local community.
• Facilitate a smooth discharge from hospital back to the community.
• Have a solid understanding on the impact of serious violence on an individual’s mental health.
• Have a working knowledge on the areas of serious violence including knife crime, cuckooing and county lines.
• Monitor outcomes and evaluate the service.
• Ensure that the safety and wellbeing of patients using the service is monitored and reviewed regularly.
• Embed a person centred and recovery orientated approach in all aspects of the roles and responsibilities.

• Annual leave entitlement of 25 days per year pro rata, rising in increments to a max. of 29 days pro rata after 5 years employment (plus 8 days Bank Holidays)

About the role

We're looking for a highly motivated and skilled Business Development Manager with a passion for relationship building and service sales. Someone who can actively engage and work with our existing client portfolio and win new business through formal tendering opportunities to ensure VoiceAbility remains a provider of choice.

In this new role, you will sit in the Business and Strategy directorate working proactively with external stakeholders and colleagues from across the organisation to ensure that we grow our portfolio of contracts, re-win existing business and advise clients of new services. Recovery Workers also develop your leadership skills by taking on lead areas and extra responsibilities. The support work at our service varies a lot so not every day or support session is the same. Advocacy 1st is a free, independent service provided by advocates who specialise in the Care Act, Mental Capacity Act and the Mental Health Act.

Hours: 35 hours per week

Location: Hybrid based in Oxfordshire

Key duties:

· Provide independent representation of young people’s wishes and views and ensure their voices are heard when key decisions are being made

· Empower children and young people to make effective use of local authority policies or complaints procedures

· Complete advocacy plans and work according to the agreed outcomes

· Take responsibility for individual caseloads, ensuring that visits and case recording is completed

· Contribute to and maintain effective working relationships with relevant stakeholders and professionals

Our ideal candidate:

· Holds a relevant advocacy qualification or intends to work towards this

· Has experience of working with children and young people

· Can travel independently to meet client

· Is aware of legislation such as Care Act 2014, Children and Families Act 2014, Children Act 1989, United Nations Convention on the Rights of the Child (UNCRC)

Our friendly team in Hammersmith help people living with mental health problems to develop a sense of independence, purpose and fulfilment and gain the skills they need to return to work or simply live a more fulfilling life. But, we need your help.

As a Befriending Coordinator, you will support individuals with lived experience of mental health issues one on one through befriending to help reform and improve their lives. You will also help recruit, support and match volunteers to work with our clients and develop befriending networks that will empower service users to improve and sustain their mental health and wellbeing. Along the way you might support other areas of our service such as peer support groups, workshops and social events for local clients.

To succeed, you’ll need:

• Communication skills, written and verbal, to confidently consult, liaise and work effectively with clients, volunteers, colleagues and a wide range of organisations.
• Self-motivation and professional integrity.
• Time management skills, prioritising and planning work.
• Problem solving and decision making skills.
• A genuine desire to help others.
• Ability to travel locally within Hammersmith and Fulham (though this is a Hybrid role so 1-2 days in the office/community per week)

It would be a great bonus if you have:

• Experience of recruiting and/or supervising volunteers
• An understanding of holistic support for people with mental health issues
• Relevant IT skills (General Microsoft Office use, client record management system experience and an ability to utilise Zoom and schedule befriending matches to meet remotely)
• Some flexibility over working hours may be helpful to accommodate befriending sessions out of hours.

This is a permanent full-time role requiring the post holder to work 37.5 hours per week.

I disseminate our messages and information to key audiences through clear and engaging social media posts that are tailored for different networks. I monitor the performance of our posts and I am proactive in incorporating best practice to ensure that our posts are well received by our audiences, and that our presence on our social media channels grows.

I regularly collaborate with colleagues across both charities, and the other founding charities of Mental Health UK, and key partners to create compelling and inspiring content.
