Job purpose:

 The role has two distinct areas of responsibility:

  Provide administrative and logistical support for the smooth running of the London office (70%). Administrative assistance for the general operations of the Trustees, including coordination of Board meetings (30%), although this may vary on a day-to-day basis.

Roles and responsibilities:

Office Administration and logistical support (70%)

· Proactively ensure that the office functions well and efficiently, maintaining office equipment and stocks of office supplies within budget.

· Act as the primary contact for visitors and phone inquiries. Manage the general inquiries email inbox and other shared email accounts.

· Be the main point of contact for office maintenance, security, and building management. Communicate with the landlord to promptly and efficiently address any related issues.

· Ensure office procedures are kept up-to-date and communicated to staff.

· Coordinate the preparation and production of business cards and ID cards for staff

· Develop and uphold Saferworld (UK)’s list of trusted suppliers, regularly reviewing and adjusting as necessary in alignment with Saferworld’s procurement policy.

· Add, update and maintain the UK Asset online asset register

· Identify opportunities to improve administrative systems and processes and proactively collaborate to redesign them.

· Collaborate closely with the Global People and Operations teams and ICT to assist in the onboarding and offboarding processes for new staff in our London office.

· Plan staff events, including annual summer and winter socials.

· Assist with renewing global insurance policies and provide administrative support for handling claims, including coordinating with staff and the insurance claims team as necessary.

· Coordinate with the IT team to set up new employees, ensuring the provision of company IT equipment aligns with internal policies.

· Provide administrative support to staff when visiting the UK, including providing visa support letters and making travel bookings in the UK for visiting staff and partners.

· Provide support with the organisational Travel Management Company (TMC), including setting up staff profiles and offering booking guidance.

· Monitor staff travel plans for ICT equipment movement.

· Manage Saferworld's organisational contacts database, including contact import, tagging, and deduplication, in compliance with UK GDPR legislation.

· Maintain an organised and effective filing structure within the internal SharePoint sites where relevant

Management team administrative support (30%)

· Provide administrative support to the Chief Executive Officer when required.

· Assist in preparing and coordinating management team, UK and Saferworld Europe Board meetings, and other committee and leadership meetings. This includes handling documentation, logistical arrangements, ICT setup for remote participation, and supporting travel bookings and expense claims.

· Manage the global Saferworld calendar, ensuring everyone is informed of events and meetings as necessary.

· Undertake miscellaneous tasks as requested by the CEO, demonstrating flexibility and adaptability to support organisational needs effectively.

The role

The Customer Support Executive role is responsible for assisting both internal and external stakeholders through out every action taken. This role is required to have in depth knowledge of all FareShare Go, and FareShare Uk’s policies and procedures, our various systems and platforms, excellent communication and analytical skills and a can-do attitude. The Customer Support Executive is the face of FareShare to our partner organisations, answering inbound queries to identify not only the issue but the root cause of the problem, and are responsible for seeing this through until the underlying cause has either been resolved or escalated to a stakeholder to investigate. This role goes beyond looking at these issues on a case-by-case basis, being responsible for highlighting trends across the issues that come across the support teams' desk to identify overarching themes and suggesting improvements to address these.  Effective use of CRM

About the role

We are seeking a professional, caring and sensitive Positive Behaviour Practitioner to join our committed Therapy Team. Following the therapeutic model of positive behaviour, you will work as an autonomous practitioner to support our children, learners and residents with epilepsy and complex learning difficulties across St Elizabeth’s.

This rewarding role will see you be responsible for the formulation of individual behaviour support plans, ensuring your caseload is effectively managed at all times. You will liaise closely with families and other professionals involved in the persons care and support, therefore excellent communication skills are a must. You will work closely with the wider MDT, to ensure a holistic and high quality approach is adopted.

You will predominately work Monday – Friday 9am – 5pm, with one late shift per week to meet the needs of the service.

About You

To be considered for this position, you must have a Bachelor’s degree in a relevant field or equivalent professional qualification but also experience of working with young people with varying degrees of learning disabilities and who have complex diagnosis.

You will have a motivational approach and able to influence your fellow colleagues in working with young people who present behaviour that is challenging. The successful candidate will have excellent knowledge of best practice in positive behaviour support, de-escalation, crisis management and physical interventions, with the ability to plan and work through complex issues.

The Senior Finance Officer will sit at the heart of our Operations Team, reporting to the Head of Operations and the Co-CEOs and playing a crucial function in ensuring the efficient day-to-day management of the organisation’s financial functions.

This will include all day-to-day management of our financial systems and banking, including our accountancy software (Quickbooks) and our internal financial spreadsheets. This involves recording and tracking the income expected from funders, processing invoices and payments, preparing payroll and producing monthly reconciliations and termly budgets. You will also work with our teams to ensure compliance with our financial policies, process expenses and work with our external accountants each year to provide the information needed for our accounts.

You will also research, advise and steer on both necessary changes to our processes, policies and procedures and standalone project work which may involve tasks such as reviewing our pensions processes or any savings and investments. You will understand and enjoy the challenge that working at a charity with multiple complex funding streams brings.

You will have experience of similar work, ideally in the charity sector and will be familiar with the use of both accountancy software and managing cashflows and budgets using Excel. You will have excellent communication and people skills as well as a proactive approach to problem solving and be methodical with a very keen attention to detail.

• Demonstrable experience of working in an individual giving, community, events or major donor fundraising role within the charity sector 
• Experience of implementing stewardship journeys within any income stream. 
• Experience of supporting campaigns within an individual giving, community, events or major donor fundraising role within the charity sector. 
• Proven ability to manage a wide range of fundraising projects and campaigns involving multiple internal and external stakeholders, and to ensure activities are delivered within budget and to deadline.
• Excellent written and verbal communication skills, including the ability to write compelling copy for fundraising campaigns and an understanding of the power of storytelling.
