Becoming an administration volunteer is just one way you can help improve the lives of cats in your local community. Our administration volunteers help provide vital admin support to our volunteer groups and teams across Cats Protection. They help keep up to date records of the number of cats that have been rehomed, collate supporter details and send out newsletters. What we need from you

You’ll be:

• Recording relevant information related to your volunteer group
• Signposting enquiries to the relevant teams within Cats Protection
• Sending information to supporters, volunteers and to our Head Office

Time expectation

Our administration volunteers usually spend 2 to 3 hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.

Overview:

The Administrator will play a vital role in supporting the smooth and efficient running of the organisation. This position involves handling administrative tasks, maintaining records, supporting communications, and assisting with event coordination. The role requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

General Administration:

• Maintain and update records, databases, and files.

• Handle correspondence, including emails and phone enquiries.

• Prepare reports, documents, and presentations as required.

• Support meeting coordination, including scheduling, agenda preparation, and minute-taking.

Financial & Office Support:

• Assist with processing invoices, expenses, and financial records.

• Monitor office supplies and place orders when necessary.

• Support the Head of Operations with budget tracking and financial documentation.

Event & Programme Support:

• Assist in organising events, workshops, and meetings.

• Coordinate logistics, including venue booking, catering, and materials.

• Support volunteer and participant communications.

Communications & Stakeholder Engagement:

• Maintain mailing lists and support donor communications.

• Assist in preparing newsletters, social media updates, and website content.

• Liaise with stakeholders, including funders, partners, and volunteers.

Qualifications & Skills:

• Previous experience in an administrative role.

• Strong organisational and time-management skills.

• Excellent written and verbal communication skills.

• Proficiency in Microsoft Office and cloud-based tools

• Ability to work independently and manage multiple priorities.

As a Volunteer Administrator, you'll bring your office experience and IT skills to support Racing Welfare’s daily operations. You’ll be comfortable using Microsoft Office programmes like Outlook, Word, and Excel and able to work independently with flexibility. All volunteers must maintain confidentiality and follow Racing Welfare's confidentiality policy and procedures.

Time Commitment: Approximately 1 day per week, flexible based on availability.

• Photocopying and scanning documents
• Responding to general enquiries via email and telephone
• Contacting external organisations/suppliers for quotes
• Processing card payments over the phone, including donations
• Sending letters and cards
• Compiling attendance lists/ coach registers for events
• Maintaining accurate, up-to-date records according to organisational guidelines and procedures
• Participating in supervision and ongoing training as required
• Helping with other miscellaneous office duties such as tidying/sorting the offices, stock checks and stationary orders etc.

Main responsibilities

·Welcome families, visitors, and professionals to the Family Centre in a friendly and professional manner.

·Answer telephone calls and take messages accurately.

·Assist staff with administrative tasks such as photocopying, filing, and preparing resources.

·Input data into systems, ensuring accuracy and confidentiality.

·Help maintain an organised and tidy reception and office space.

·Support the preparation of publicity materials, newsletters, and information displays.

·Signpost visitors to the appropriate staff member for further support.

·Uphold safeguarding, confidentiality, and health & safety policies at all times.

Volunteers are an essential part of our team, making sure that clients are able to  access the right service. Our Reception Volunteer will welcome clients and visitors at our office in Deptford. You will also deal with basic enquiries (in person, over the phone or by email), assess what support clients need and help them access the right service.

Our Volunteer team is integral to the smooth running of LRMN. Without them our advisors wouldn’t be able to provide life changing support to the people who access our services. 

Our Volunteer Receptionist will be the first person that clients will talk to so it is essential that we offer a  safe, welcoming and non-judgemental space and give them the right information about the services we offer. Given the demand that we face, volunteers help us do that. 

What activities will you be involved in? 

As part of our volunteer team, you will work with staff and fellow volunteers to: 

• Welcome clients to our office and Advocacy Drop-In Service, speaking with them to understand their needs in a professional and compassionate manner
   

• Respond to queries from clients and members of the public via phone and email
   

• Support clients to complete our online referral form
   

• Help clients and referrers understand the services we offer and how to access them
   

• Respond to new referrals and upload them onto our case management system
   

• Contact clients to book appointments and follow up on referrals
   

• Take messages for staff and volunteers and ensure they are passed on promptly
   

• Log incoming mail and post outgoing mail for staff and volunteers
   

• Help gather feedback from clients to support service improvement
   

• Undertake other administrative tasks as required

As you become more experienced, you may be involved in giving basic advice, providing  support letters and other duties.

Yes, we provide a comprehensive induction to all new volunteers. This covers roles and  responsibilities, safeguarding, record keeping and use of our client management system  (Advice Pro).

You will be provided with the training needed to perform the role and will have the opportunity to join training with the whole LRMN team.

What commitment do you need to make? 

We ask volunteers to commit to volunteering at least 4 hours (9.30am -1.30pm) for at least six months.

Prison-based volunteers are the backbone of Fine Cell Work (FCW). Supported by the Fine Cell Work programmes team and by other staff at the FCW office, they teach and administer FCW stitching groups in prisons.

Prison volunteers work in teams to organise classes and teach our stitchers, as well as providing groups information to the prison and to the FCW office. The precise mix of skills will vary from prison to prison.

Volunteering in prison for Fine Cell Work requires ideally a good level of needlework skill (or a willingness to learn), some teaching experience and/or experience of working with socially-excluded groups. Volunteers must be patient and non-judgemental in order to work effectively. As a prison volunteer you will:

• Developing skills and confidence
• Teach prisoners to stitch FCW products within the framework of our training programme
• Encouraging and supporting prisoners to volunteer as class coordinators and peer mentors
• Encouraging and helping prisoners who wish to undertake their own creative projects
• Teaching prisoners to stitch FCW products within the framework of our training programme

It is essential for volunteers to support FCW ethos, believe in rehabilitation, be an excellent teamworker, observe personal boundaries, be reliable and patient to ensure cell groups run smoothly, and have record-keeping skills and have at knowledge of tapestry/needlework. . 

Volunteers work in prisons around the UK dependant on where groups are based, therefore it is requred that volunteers will be able to travel to the relevant prisons. Travel expenses will be reimbursed by the charity.

Our prison volunteers work in small teams to teach our stitchers’ embroidery and needlepoint, organise their group sessions, and liaise with the prison and FCW office.

What you will do as a prison volunteer:

• Teach people in prison how to stitch and support the completion of our premade kits in our cell groups, which consist of around 10-15 stitchers.
• Communicate with staff at our hub in Battersea to receive kits and supplies for your group and send back completed work for your stitchers to be paid.

• Develop stitchers’ skills and confidence by encouraging them to take responsibility as peer mentors.

Commitment: our stitching groups run for 2 hours every fortnight, so with travel time and some admin work after groups we ask prison volunteers to set aside a morning or afternoon every 2 weeks.

You must be over 18 for this role with the ability to travel to the prison. Travel expenses will be reimbursed by the charity.

Why we want you
As branch secretary you help coordinate a range of activities and a calendar of events to help spread the word about SSAFA within your community. To ensure that our Armed Forces community know that SSAFA are here to help and that we need the public’s support to continue offering our services.

What you will be doing

• Communication with branch volunteers
• Providing timely reports and information to SSAFA’s central office
• Co-ordinating a programme of meetings including an AGM, branch meetings, committee meetings, training etc..

• Strong administration skills
• Great written and verbal communication skills
• Basic IT skills
