In this varied and rewarding role you will develop and coordinate our team of volunteers and Sessional Workers (zero hours youth workers).  You will be instrumental in defining our volunteer strategy moving forward and identify other participation opportunities such as work experience placements, university placements, internships and apprenticeships.

You will also help develop internal engagement activities and participate in external awareness raising and fundraising activities, to support both volunteering and fundraising.

This role is for 22 hours per week, which will ideally be worked over 4 days.   There is the option of hybrid working.   We provide a surrey wide service, so the successful applicant will be willing to travel across the county to meet volunteers and sessionals as  well as participate in engagement opportunities.

Key responsibilities

Full duties are included in the job outline, key responsibilities include:

• To coordinate the recruitment and induction process for volunteers and sessional workers.
• To coordinate, develop and deliver appropriate induction, training and supervision activities.
• To act as a central point of contact for volunteers and sessional workers
• To embed good practice in every aspect of the volunteer & sessional worker journey.
• To develop and manage partnerships with external stakeholders including Universities/volunteering hubs, local businesses and community groups to encourage a range of opportunities.
• To organise and attend community events and organise recruitment workshops and talks, across the county.
• To support the HR Manager by organising engagement activities and forums for our own staff, sessionals, volunteers and other stakeholders.
• To undertake ad hoc work for our fundraising function, to support our community fundraising efforts.
• To coordinate sessional work opportunities.

About you

You must:

• Have proven experience of recruiting and managing volunteers
• Have experience delivering information or training
• Have experience with having difficult conversations with volunteers or workers
• Have experience of working across different teams, networking and developing links with other agencies
• Be an effective communicator, with strong written communication skills
• Be able to multi-task, plan a workload, set priorities and manage time effectively, working without direct supervision
• Have a good professional knowledge of standard Microsoft packages and databases
• Ideally, have a driving license and use of own vehicle. Mileage expenses are paid.

The Role

We are looking for a coordinator to carry out the delivery of our Vocational Qualifications and Funded Modern Apprenticeship Programmes.

The role includes course and funding administration, communication with students and teaching staff, registration with external bodies, and maintenance of student records.

This post requires essential knowledge of IT with a clear understanding of data input and good data management principles, attention to detail and the ability to follow strict timelines in accordance with our funders, as well as adhering to contract requirements. You must be knowledgeable in using Microsoft office packages, be keen to learn various administrative procedures and to use database systems, both internal and external. We also require good communication and organisational skills.

We continuously recruit students for our various programmes throughout the year, so the successful candidate will have a flexible approach and the ability to prioritise. We are a small organisation so the ability to work independently and to self-motivate is essential, as well as being a supportive member of a small admin team.

Main duties and responsibilities:

IT

· Ensure all staff have IT equipment from their first day of work, ensuring that they are able to access the IT support they need with minimal interruption to daily tasks.

· Keep a record of all IT equipment, key information and renewals due.

· Be the first point of contact for IT provider, leading on Cyber essentials & annual IT audit.

· Lead on the implementation of strategic IT goals.

Data

· Maintain organisational databases, ensuring all data is accurate, meaningful, and compliant with the requirements of current and potential funders, as well as Upbeat’s policies and procedures for data.

· Liaise with Data consultants to manage workflow of data requests.

· Present data in a useful manner for stakeholders.

· Play a key role in the organisation around GDPR and Data Protection.

· Be responsible for the confidential maintenance of service user records and other relevant documents in line with Data Protection legislation (e.g. data protection impact assessments).

Facilities

· Support with office management processes (ordering stationery and equipment).

· Support in the efficient use of premises (organise key holder rota, complete regular checklists).

· Support with risk management and Health and Safety compliance (risk assessments, checklists, PAT checks).

Administration

· Provide administrative support to the charity’s projects (topping up payment cards, phone lines, donation admin).

About the role

In 2013, Upbeat Communities launched Derby Language School (DLS) which is a social enterprise that provides language courses to individuals and organisations in the East Midlands. The two social enterprises (DLS and Upbeat Clean) have grown substantially over the last two years with a combined expected turnover of around £700,000 in 2024/25 and more rapid growth ahead. We have over 30 employed cleaners and 20 freelance teachers and interpreters, with over 40 corporate contracts and 100 private clients.

Main duties and responsibilities

Strategy, Analysis & Development:

 • Continuously focus on balancing fast social enterprises growth while pursuing excellence for our customers.

The Felix Project

The Felix Project is London's biggest food redistribution charity and the largest end-to-end food redistribution charity in Europe.

Our vision is a London where no one goes hungry and good food is never wasted.

We rescue surplus food from businesses, supermarkets, restaurants and farms. This food is nutritious, in-date, and safe and includes a high proportion of fresh vegetables, fruit, meat and fish. If we did not rescue this food, it would be at risk of going to waste. Instead, we deliver it free of charge to London charities, schools, food banks, food hubs and other organisations serving people in need. Our food is a vital lifeline for children and families, people on low incomes, people who have lost their jobs, the homeless, refugees, domestic abuse survivors, the elderly and keyworkers.

We are a very ambitious and dynamic young charity and we haven’t stopped growing since we were founded in 2016 in memory of Felix Byam Shaw, by his father, entrepreneur Justin Byam Shaw. We recently ran a very high-profile media campaign with the Evening Standard and Independent, raising £10million to feed London. We have celebrity endorsement from Reece James, Phoebe Waller-Bridge and Jack Whitehall, Steven Fry, James May and many others.

Last year we delivered enough food for 30 million meals to help people in need. Because nearly all the food we receive is donated by the food industry and volunteers, every £1 of expenditure redistributes £10 worth of food.

Purpose of the Job

The role is subject to a degree of flexibility but initially, the Team Leader will be involved with the following activities:

• Managing a team of staff and volunteers to run a warehouse of chilled and ambient food 
• Customer relations management of the community organisations we work with
• Proper use of our Warehouse Management System
• Physically moving stock around on warehouse on a pallet truck or by hand
• Ensuring the warehouse is clean, safe and efficiently run

 We are recruiting a Project Coordinator to oversee the delivery and development of a flagship Community Wellbeing Project, which operates in partnership with Brent Council. The project is a Community Hub hosted in a community space in Stonebridge (not in Sufra’s existing premises). Members of the project can access a Community Shop, a Community Café and Kitchen, and holistic support in the form of Advice casework and workshops. The objective of the project is to deliver food aid alongside wraparound holistic support in way that improves the financial, physical and mental wellbeing of its members, who are struggling with the cost of living.

This collaborative project has been made possible due to the support of multiple partners and has already proven highly successful. It is likely to form the basis of a new model of support for people experiencing vulnerabilities that will be replicated across Brent and possibly elsewhere in London.

The Project Coordinator will oversee the delivery of the project, ensuring both the shop and the café operate effectively and in accordance with agreed standards and procedures. The successful candidate will help shape the project in the months ahead, whilst supporting guests, collecting data, and monitoring and evaluating the project. The ideal candidate will have experience working in a busy and varied environment, managing multiple priorities at the same time. They will have experience in a customer-facing role, dealing with the general public and managing volunteers. It would be beneficial for the post holder to have experience supporting vulnerable people with complex needs from a wide variety of backgrounds. The successful candidate will be the first point of contact for members that sign onto the pilot project, and will be representing the organisation to external partners. Rahab Project UK is a small charity which is part of a wider global organisation that works towards seeing the lives of at risk and vulnerable women affected by prostitution and trafficking transformed. We support those who are sexually exploited with unconditional acceptance, compassion and dignity to rebuild their lives and achieve their own identity and freedom. We provide learning and development opportunities for women to engage in and offer a supportive and on-judgemental environment as they explore ways and takes steps forward in self-determining their futures.

We are a dedicated team of professionals, facilitating casework support, counselling, wellbeing and learning. As a Rahab team member you will play an essential role in developing and steering our continued growth, but more importantly you will be play a part in the transformative journeys of our beneficiaries and their recovery from exploitation and abuse.

Overall Purpose: The Project Coordinator is responsible for overseeing the planning, execution, and monitoring of Rahab's projects. 
 

RESPONSIBILITIES AND DUTIES
 

Service delivery

• Ensure that all aspects of Rahab’s project activities are planned, organized and undertaken to fulfil their objectives within their required timelines.

• Develop, organize, and maintain project documentation, plans, reports, and other project-related documents to monitor and track overall progress, outputs and achievement of milestones.

• Identify, troubleshoot, and communicate project risks, delays and issues to the Project Manager and relevant stakeholders.

• Monitor project progress with team members and task as required. 

• Contribute to the development of funding applications in coordination with Rahab’s Fundraiser. 

• Support Rahab team with volunteer recruitment and training. 

• Undertake project tasks as required including supporting the team with outreach when necessary. 

• Provide administrative support such as minuting weekly team update meetings and setting up relevant meetings with external organisations. 

Data collection, record keeping, monitoring & reporting. 

• Maintain accurate data and records that capture and analyse information to (i) inform planning and delivery of casework support; (ii) monitor and evaluate wider project outcomes, (iii) to contribute data for future long-term evaluation of casework approach efficacy. 

• Produce accurate quarterly management reports. 

• Produce timely donor reports for funders within respective deadlines. 

• Facilitate a review of project progress for Rahab team at monthly update team meetings, to support project monitoring and tasking. 
   

Service development

Priority stakeholder relationships 

• Participate in and contribute to collaborative working arrangements, alongside Rahab Manager, in key stakeholder work - SI MARAC (Sex Industry Multi-Agency Risk Assessment Conference) - with Local Authority, Metropolitan Police and Voluntary and Community sector.

• Participation at monthly SI MARAC meetings, ensuring that the work of the group is effectively joined up with wider groups and meetings focussed on addressing risk and harm.

• Support Rahab’s Senior Caseworker where necessary to ensure SI MARAC outcomes are effectively linked up with Rahab's outreach activities, and work-with Rahab’s Project Manager to ensure team members are kept informed about SI MARAC developments. 

• Work with the team to identify and engage in new professional relationships with key organisations across different sectors, and maintain our existing networks of contacts, to (i) develop and expand Rahab’s activities and reach, and (ii) foster collaboration. 

• Represent Rahab in multi-agency working groups, meetings, and forums, sharing knowledge and learning, publicising services available and how to access support. 

Beneficiary co-production 

• Work with Manager to start developing a framework and mechanism for gathering feedback from beneficiaries to evaluate the support they are receiving. 

• Work with the team to identify opportunities for our beneficiaries’ active participation in the project in ways that are safe and empowering. 

Shared learning 

• Participate in team development and learning in relation to best practice interventions and our casework delivery for beneficiaries. 
   

Continued professional development 

• Maintain an up-to-date working knowledge of relevant legislation, regulations, guidance, and best practice. 

• Within budgetary constraints, attend training and other events to help maintain proficiency and build a network of support amongst peers. 
   

Variation clause 

Rahab reserves the right, following full and reasonable consultation with the post holder, to vary, add or alter the terms and conditions of employment. 
 

Flexibility clause 

To deliver services effectively a degree of flexibility is required, and the post holder may be required to perform work not specifically outlined above and/or outside of specified working hours. Overtime will not be paid; however, TOIL will be accrued for hours worked and staff supported to take that time. This post includes occasional evening work.

Service Development and Management 

• To work with the Head of Integration & Employment (I & E), Business Development and Fundraising departments to create opportunities for the Integration Service to grow in line with our Integration Service Model.

Staff & Volunteer Management 

• To support the recruitment of all new staff required within Refugee Council working on the Integration projects.

As Projects Officer: Neighbourhood Food Model you will lead on specific projects within the wider Neighbourhood Food Model. Your role will be to grow collaborations, facilitate groups and workshops, and coordinate action. You will be building alliances with local food growers, chefs, researchers, council officers and residents to build a better local food system in Walworth.

The Walworth Neighbourhood Food Model is an ambitious, long-term approach to tackling the root causes of food insecurity in our neighbourhood. It offers a vision for a network of complementary spaces and initiatives, to build social connection through food, develop local supply chains, and transform the local food economy. This is a key role with a significant level of responsibility, working in a small dynamic team, at a crucial time in the development of this ambitious programme.

Responsible for: Planning, organising, recruiting, facilitating and documenting a range of groups and collaborations that aim to transform Walworth’s food system.

You will need to be dedicated and passionate about neighbourhood food, and able to inspire others. You will need to be adaptable and relish uncertainty, and you will be creative and enjoy problem solving. You will also enjoy bringing some order to things by finding the right level of detail at which to project plan, and find personal satisfaction in being organised with good record keeping.

Contract length: 12 months
Salary: £29,903.50 per year.
