The role
This role plays a vital part in ensuring the efficiency of our HR operations and the smooth running of our office. You will provide administrative support across the full spectrum of the HR employee life cycle, from recruitment through to retirement, and ensure our office is a professional and welcoming space for staff and visitors.
Key responsibilities of the role include:
- Administration duties related to day to day operations of the HR function; including recruitment, new starter onboarding, staff development support and training coordination.

About the role

As a Programme Co-ordinator, you will be responsible for managing the logistics of a range of different courses and programmes. You will work closely with the Programme Directors, who design and deliver the course and programme content.

MAIN PURPOSE OF JOB:
To assist with handling all incoming requests for help, both by telephone and email, to listen to and record the needs of older and/or terminally ill people and their pets.
To identify individuals outside our charitable remit and refer them to other organisations that can offer assistance and always seek advice in the case of doubt.

MAIN DUTIES AND RESPONSIBILITIES:
i. To listen to the needs of each Owner and accurately record information for each Owner and their pet by completion of a computerised case.
ii. To ensure you record all of your communications onto the database in an accurate and timely fashion by way of comments on each Owner case at the end of each conversation and appropriately refer to Management about urgent cases.
iii. To help maintain up-to-date records and mailing lists for Owners, Owners’ contacts and volunteers throughout the course of your work.
iv. To have a good working knowledge of other roles and tasks within the team and provide ad hoc support as required including inputting information.

v. To liaise with all other members of The Trust to help maintain a quality service.

About the Role
As a Volunteering Administrator, you will be essential to the coordination of the Volunteering Team’s work in developing a consistent, inclusive and high-quality volunteering offer. You’ll be delivering administrative support across the team, enabling smooth delivery of the service. This will include managing our busy Mailboxes, processing elements of volunteer recruitment and administrating our volunteer database, Better Impact. Working on the database forms a large part of this role; as well as routine tasks such as data reporting, you’ll be working on more in-depth database development. OFFICE OPERATIONS AND EVENTS

Act as a first point of contact for enquiries coming into both general and programme specific inboxes, via the website and phone.

Brain Tumour Research is looking for a Supporter Care Administrator to provide support, and to help our donors and supporters fundraise, in turn building connections to ensure a lifetime relationship between the charity and individual.
Supporter Care Administrator
Location: Head Office, Milton Keynes
Salary: Circa £23,000 per annum
Hours: Monday to Friday, Full Time, 35 hours per week

As Supporter Care Administrator, you will be a key part of the thanking process, writing letters to donors and supporters as well as providing help with fundraising. The purpose of this is to build a lifetime relationship with our supporters, from start to finish and beyond.

Main duties and responsibilities:
IT
· Ensure all staff have IT equipment from their first day of work, ensuring that they are able to access the IT support they need with minimal interruption to daily tasks.
· Keep a record of all IT equipment, key information and renewals due.
· Be the first point of contact for IT provider, leading on Cyber essentials & annual IT audit.
· Lead on the implementation of strategic IT goals.
· Support the Continuous Improvement Officer to find new ways of working and ensure we stay up to date with emerging IT trends.
Data
· Maintain organisational databases, ensuring all data is accurate, meaningful, and compliant with the requirements of current and potential funders, as well as Upbeat’s policies and procedures for data.
· Liaise with Data consultants to manage workflow of data requests.
· Present data in a useful manner for stakeholders.
· Play a key role in the organisation around GDPR and Data Protection.
· Be responsible for the confidential maintenance of service user records and other relevant documents in line with Data Protection legislation (e.g. data protection impact assessments).
Facilities
· Support with office management processes (ordering stationery and equipment).
· Support in the efficient use of premises (organise key holder rota, complete regular checklists).
· Support with risk management and Health and Safety compliance (risk assessments, checklists, PAT checks).
Administration
· Provide administrative support to the charity’s projects (topping up payment cards, phone lines, donation admin).
· Assist with organising and monitoring staff training.
· Assist with the review and writing of policies and the staff handbook.
· Assist with process mapping across the organisation.
Other
· Make an active contribution to the overall work of Upbeat Communities through team meetings, staff training, awareness and fundraising events, and any other appropriate activities.
· Be committed to, and work in accordance with Upbeat Communities’ values and ethos, as well as adhering to all organisational policies and procedures.
· Participate in relevant networks and forums to assist in the work of this role as part of individual and professional development.

We are looking for a part time Membership Officer to work 3 days a week, alongside our existing part time Membership Officer. Together, they will lead on administrative support of our membership functions.
