Inter Mediate

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Director will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. You will be familiar with the fast and sometimes unpredictable pace of an international operating environment, and confident in handling challenges as they arise. You will be comfortable working collaboratively within a small team and engaging credibly with a wide range of people from senior government officials to project interlocutors in the field.

Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.
• Manage day-to-day HR functions and queries, including leave recording systems.
• Conduct staff remuneration and salary benchmarking exercises with the Deputy CEO.
• Update and maintain the employment handbook policies and procedures.
• Oversee office operations, equipment and facilities management.

C) IT, Security and Risk Management

• Ensure that the IT and communications systems are optimally configured for effectiveness and security, and that staff can operate them as necessary.
• Ensure Inter Mediate has robust risk mitigation systems and training for staff.
• Ensure Risk Assessments and security plans are completed by staff prior to staff travel.
• Ensure Inter Mediate has a viable business continuity plan.
• Maintain and review the Risk Register for the organisation with the Deputy CEO.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

• Excellent business planning and decision skills, and a sound understanding of operational and financial management in charities.
• Proven commitment to designing effective and enabling systems for organisation management in support of effective delivery

• Other language skills are desirable

Working at Inter Mediate

A normal working week consists of 35 hours (or pro rata for part-time). Our office operates between 8am and 6.30pm with core hours from 9.00am to 5.00pm. Inter Mediate operates a hybrid working model, with at least 2 set days per week in the office in London.

Senior Project Manager - Minsmere Mitigation

This is a fixed-term, full-time contract for 36 months for 37.5 hours per week.  The RSPB reserves the right to extend or make this role permanent without further advertising dependent on business needs at the end of the contract term.

We are looking for an energetic, insightful and organised person to help us deliver a resilience project to mitigate the impacts of the Sizewell C development on the visitor experience at RSPB Minsmere.

What’s the role about?

This is a stimulating role which represents an important opportunity to make a significant and direct contribution to enhancing the visitor infrastructure at a flagship RSPB reserve and a key visitor destination on the Suffolk Coast. We’re looking for someone with an understanding of how to prioritise, plan and deliver visitor infrastructure projects.

We need someone who is highly organised and has a good attention to detail. This role requires a collaborative approach, which combines the ability to adapt to changing priorities and work under pressure, while working under your own initiative to achieve results to tight deadlines.

Minsmere is one of the most famous bird reserves in the UK and one of RSPB’s most popular reserves. The reserve borders the Sizewell Estate where SZC Co plans to build a new nuclear power station, Sizewell C. The RSPB led a campaign against the potential threats of the Sizewell C development called LoveMinsmere, bringing people together to demonstrate the value of and concern for the reserve and its wildlife.

In July 2022, the UK government approved the application to build Sizewell C, after a lengthy planning process and Examination. As part of the approval, a Resilience Fund was set up for mitigation of the impacts on visitors to RSPB Minsmere.

These impacts will begin as soon as works commence and last for the construction period (currently estimated to last 12 years). This project will enable RSPB Minsmere to maintain a great visitor experience despite these changes. 

The Senior Project Manager will manage a series of infrastructure projects funded by the Resilience Fund. Initially, they will work with the Minsmere team to develop a costed programme of works with agreed priority projects. They’ll then manage consultants and contractors to deliver that plan on the ground.

About the project

Vision: RSPB Minsmere offers an exceptional visitor experience despite the Sizewell C construction works.
Objectives: By Feb 2027, RSPB Minsmere has improved infrastructure that enhances the visitor experience and mitigates the impacts of Sizewell C on the visitor experience.
Outcomes: Maintained quality of visitor experience, retaining the reserve’s income levels.
Outputs (To be kept under review as the project develops):

New visitor infrastructure, likely to include a redeveloped toilet block, car park improvements and play area among other items. Including all designs and consents. 

Consolidation and improved interpretation of Leiston Abbey (first site) as outlined in the Deed of Obligation and improvements to physical access to the site.

Infrastructure enhanced to allow enhanced reserve events programme.

What we need from you

The Senior Project Manager will lead on the following activities:

• Convening groups of stakeholders and leading sessions to develop the mitigation programme of works.
• Communicating with RSPB colleagues and key stakeholders regularly to report on project progress.
• Managing risks, issues and change as required.
• Producing of a costed programme of works, supported by quotes and/or evidence from similar projects.
• Procuring and managing consultants and contractors to design and deliver the chosen projects.
• Ensuring that consents are in place for all works within the programme
• Working with colleagues to ensure the project programme is reviewed for other opportunities to seek potential funders – to maximise delivery.
• Working to the Resilience Fund budget, including expenditure reporting as required
• Ensuring that all financial records are kept to enable annual financial statements to be produced and to satisfy external audit requirements.

Our client's vision is to build new affordable homes to help more people who cannot otherwise buy or rent on the open market.  The Development Directorate has a programme of between 400 and 500 homes a year with S106, land-led, package deals and joint venture projects. They are looking for a Head of Project Delivery who will be instrumental in helping them achieve this delivery and their wider vision.

Overall purpose

• To ensure budget holders receive up to date timely and accurate management accounts and information in order to maintain day to day control of the expenditure budget.

• Identifying and responding to long-term strategic risks, challenges and opportunities to enable Baca achieving its Strategic Goals.

Leadership and Organisational Responsibilities

Financial Systems, Control and Accounting

• Oversee the integrity of all financial systems: Develop, monitor and manage the organisation’s financial systems, policies, procedures and internal controls and the development of a consistent approach across Baca.
• To lead the preparation of the organisation’s accounts for audit in accordance with current accounting good practice and Charity Commission’s Standards of Recommended Practice (SORP), liaising with the auditors and present the final accounts to the Finance and Fundraising sub-group and Board for approval.
• To be responsible for adhering to financial delegated authorities as agreed with the Chief Executive and Board.
• To implement, oversee and review Baca’s systems of financial risk management and controls assurance.
• To ensure the purchasing system operates effectively, ensuring sufficient supplies and services by working closely with the Operations Director.
• To lead the payroll provision and ensure that salary and related payments are made accurately and timely.
• To ensure that an appropriate register of assets are maintained accurately.
• To ensure that Baca has adequate cash holdings and cash is moved to interest bearing accounts as appropriate in line with Baca’s ethical asset management policy.

Team and People Management:

• Create, lead, manage, inspire and develop the finance team promoting Baca’s values by being visible, participative and encouraging cross team working

The senior member of staff is responsible for ensuring the decisions of the Board are acted upon and the charity meets the legal and regulatory requirements of a CIO. The key focus will be on development of new income streams as we navigate challegnes across the site. The General Manager will oversee the implementation of the new Buisness Development Plan. Baird and Co Recruitment, a specialist Social Housing recruitment firm, have been retained by The Yardley Great Trust Group and Sir Josiah Mason Trust in their acquisition of a Finance Director.

The role will work across both businesses following their partnership agreement in January 2023. Both businesses are steeped in the history of Birmingham, with the origins of The Yardley Great Trust Group going back to the 14th Century and SJMT’s beginnings in 1868. Their work in the Alms House arena is also highly individual, an area of support found in the heritage of SJMT.

The Finance Director role would ideally start swiftly and will take on a largely strategic direction whilst still requiring operational input.

Based in Olton, candidates with experience in a senior leadership role in finance whilst holding an understanding of how charities, housing providers or public sector organisations work will be highly advantageous.

The Finance Director post will cover many facets including, but not limited to:

Executive Leadership

• Working with the executive team to develop and manage the delivery of robust corporate, strategic and financial business plans
• Demonstrating positive leadership behaviours and bringing values to life within the organisational culture
• Effectively planning and providing for the resources required to action strategic and operational plans
• Undertaking quarterly reviews of the Charity's Risk Registers, reporting on major risks and mitigations at each Board meeting.

Financial Strategy and Control

• Leading on the delivery of strategic and annual financial business plans, ensuring viability is regularly tested through scenario modelling, appraisals, and stress tests
• Taking responsibility for annual budget and management accounts processes and preparation of statutory accounts
• Maintaining up-to-date reserves policies that meet the requirements of both the Charity SORP and RSL SORP
• Managing relationships with investment managers, ensuring regular review of performance and satisfaction
• Developing and maintaining effective systems of financial control that ensure that business plans are continually reviewed and reported on
• Maintaining overall responsibility for the computerised accounting system, including sales ledger, purchase ledger, cash book and nominal ledger

Treasury

• Being responsible for each Trust’s Treasury Management strategy and policy to ensure the availability of and flexibility of funding to support the achievement of strategic objectives and reduce exposure

Risk Management

• Leading on the development of risk management strategies and registers, audit frameworks, procedures and appraisal systems for capital projects and all other significant areas of risk.   

Growth and Innovation

• To support the Chief Executive in the development of the Strategic Business Plans in a way that supports innovation and growth in services

ICT / HR

• Leading on the development and delivery of an effective ICT and Telecoms Strategy which supports mobile and agile working and customer relationship management that underpins our drive for excellent business
• Supporting with the development, implementation and review of an effective People Strategy which supports the vision and values of each Trust
• Reviewing the administration of all statutory returns and sector-relevant returns/surveys
• Leading on the annual remuneration review to approve or decline and make recommendations for salary increases
• Taking responsibility for the outsourced payroll and workplace pension scheme
• Overseeing the relationship with the outsourced IT support provider, ensuring optimal support to staff and monitoring performance against contract
• Working with and developing the use of financial accounting software to meet the operational and strategic development needs of the business

To secure the Finance Director post, the Trusts are seeking the below:

• Proven experience at a senior leadership level in a finance environment
• Experience preparing financial business plans, modelling scenarios and sensitivity analysis
• A track record of delivering on a range of other corporate support services such as IT or HR and Governance
• A relevant Professional Qualification i.e. CCAB or equivalent and membership of a recognised UK body desirable
• Up-to-date knowledge of all regulatory requirements including Finance, People, IT & Governance
• Experience developing services to achieve and support strategic organisational objectives.

We will need you to take a lead on evaluating the impact of each phase and use that information to shape the next. The campaign will have both online and offline activity and lots of moving parts, so you’ll need to be comfortable working in a fast paced environment.

• Work collaboratively across Scope to deliver our general election campaign, and help us make sure disabled people’s voices are heard by Government and politicians.
• Work closely with our National Campaigns Officer, and manage our Campaigns Assistant
• Play a key role in the delivery of the campaign, from developing assets to determining the best tactics for each phase.
