We are looking for a highly organised and proactive Administrator to join our team in London, working 37.5 hours a week.

This role is to provide vital administrative support, helping to ensure the effective delivery of services and maintain high standards of service provision for victims of crime.

About the role

You will provide a high quality and responsive administrative function for the service. Acting as the first point of contact for enquiries into the service and supporting the wider team and service with general administrative duties.
May also include responsibility for external communication, social media, updating directory records for other services. Updating local websites with relevant information and also taking minutes from team meetings.

Key Responsiblities:

  • Provide high quality administrative support to the team and service.
  • Update and maintain manual and computerised database and case management systems and records in accordance with the service's internal policies/procedures and organisational standards.
  • Manage incoming and outgoing mail, telephone and general queries into the service.
  • Collate and supply information and correspondence to internal and external contacts in accordance with required deadlines.
  • Liaise with referring agencies to improve referral information and the general referral process for victims. May include follow up to secure information included in incoming referrals.
  • Provide general office administration support which could include photocopying, filing, data entry, ordering of office supplies, processing invoices, raising purchase orders and minute taking at meetings.
  • Help to coordinate external communication, management of local social media accounts and preparation of materials to help promote the service.


About You

Ideally, you will have administrative experience of working within a busy environment and an understanding of the impact of crime and working in partnership with external organisations.

You will need:

    • Experience of providing administrative support within a busy environment.
    • Strong written and verbal communication skills.
    • Good customer service skills and a professional telephone manner.
    • Experience of maintaining accurate records and databases.
    • Good IT skills, including Microsoft Office applications and database systems.
    • An understanding of confidentiality, GDPR and information-sharing requirements.
    • The ability to prioritise workload and manage competing demands effectively.
    • The ability to work independently and as part of a team.
    • A commitment to providing high-quality support in a sensitive and professional manner.
