Location: initially remote working but to be hybrid based in W/NW/SW London.

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Key responsibilities

Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.

Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities. 
Systems management.

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

As CFG's Policy Officer you will make an impactful contribution to CFG's policy and advocacy work. Working with a wide range of stakeholders, including policy-makers, charity members and corporate partners, you will contribute to the smooth running of the Policy Team's work and effectiveness. You will be comfortable using your research and analytical skills to ensure CFG remains at the forefront of its advocacy work on behalf of its members and the wider sector. You will have a passion for getting to grips with complex policy issues and bringing people together to engage with them. As a member of the Policy and Communications Directorate, you'll work alongside the Communications Team and other colleagues to ensure our policy work is shared with a range of external audiences. We have an exciting opportunity for a Programme Manager to help us deliver missional projects aligned with our Refreshed Diocesan Strategy. The role will work across both businesses following their partnership agreement in January 2023. Both businesses are steeped in the history of Birmingham, with the origins of The Yardley Great Trust Group going back to the 14th Century and SJMT’s beginnings in 1868. The Finance Director role would ideally start swiftly and will take on a largely strategic direction whilst still requiring operational input.

The Finance Director post will cover many facets including, but not limited to:

Executive Leadership

• Working with the executive team to develop and manage the delivery of robust corporate, strategic and financial business plans

Financial Strategy and Control

• Taking responsibility for annual budget and management accounts processes and preparation of statutory accounts
• Maintaining up-to-date reserves policies that meet the requirements of both the Charity SORP and RSL SORP
• Managing relationships with investment managers, ensuring regular review of performance and satisfaction
• Developing and maintaining effective systems of financial control that ensure that business plans are continually reviewed and reported on
• Maintaining overall responsibility for the computerised accounting system, including sales ledger, purchase ledger, cash book and nominal ledger

Treasury

• Being responsible for each Trust’s Treasury Management strategy and policy to ensure the availability of and flexibility of funding to support the achievement of strategic objectives and reduce exposure

Risk Management

• Leading on the development of risk management strategies and registers, audit frameworks, procedures and appraisal systems for capital projects and all other significant areas of risk.   

Growth and Innovation

• To support the Chief Executive in the development of the Strategic Business Plans in a way that supports innovation and growth in services

ICT / HR

• Leading on the development and delivery of an effective ICT and Telecoms Strategy which supports mobile and agile working and customer relationship management that underpins our drive for excellent business
• Supporting with the development, implementation and review of an effective People Strategy which supports the vision and values of each Trust
• Reviewing the administration of all statutory returns and sector-relevant returns/surveys
• Leading on the annual remuneration review to approve or decline and make recommendations for salary increases
• Taking responsibility for the outsourced payroll and workplace pension scheme
• Overseeing the relationship with the outsourced IT support provider, ensuring optimal support to staff and monitoring performance against contract
• Working with and developing the use of financial accounting software to meet the operational and strategic development needs of the business

• Proven experience at a senior leadership level in a finance environment

• You will also work with the Big Green Heart team to onboard new partner organisations. You will work with them to understand their needs and secure buy-in. 

• You will collaborate with the trustees, who also contribute to tasks linked with Big Green Heart's development. 

• You will manage the budgeting and financial planning processes, working closely with the Treasurer.

• You will be trained as a Big Green Heart facilitator with an expectation that you may be needed to facilitate a workshop during your time at the organisation.

• You will participate in professional and networking events related to Big Green Heart’s field of intervention.

• You will support staff members, trustees and volunteers, providing guidance and training in the operations of the charity as needed.

About the role:

As an Operations Manager you will:

• support the Deputy Head of Service to maintain the highest standards of service delivery, across a widely geographically dispersed team
• lead a team of Team Leaders to meet VS & Homicide Service standards & contractual requirements
• support staff & volunteers to keep them safe within their role
• working closely with a range of stakeholders

You will need:

To support this mission, we are seeking an experienced Business Development Manager to help drive our new commercial strategy and increase our income from business and commercial activity.

What you will be doing: 

Main Role Responsibilities

• To work with the Head of Commercial and Events on the development of the commercial strategy with the support of Trustees, the senior leadership team, members and other staff and stakeholders as necessary. 
• To be responsible for identifying and delivering key income streams, as outlined in the commercial strategy to meet agreed financial targets and KPIs.
• To manage existing and develop new relationships with customers to ensure customer satisfactions whilst achieving and maximising income opportunities. 
• Measure and evaluate the success of the commercial strategy business development and income generation workstreams.
• To represent the NFCC to corporate audiences and at corporate events, delivering pitches and presentations.
• To continually be researching new business opportunities for specific target markets. 
• To develop new corporate partnerships through relationship building.
• To be responsible for the account management of appropriate partnerships and provide the highest level of relationship management.
• Preparation of reports, briefing papers and other information on various matters, when required.to the senior management team and Trustees including liaison with senior members and officers across the National Fire Chiefs Council, other relevant staff across Fire and Rescue Services.
• Act as liaison and first point of contact for commercial enquiries into the NFCC and  dealing with them as appropriate. Enquiries may be from within the organisation, other fire and rescue services or elsewhere. 
• To create and assist in the drafting of timely and well-informed reports, business cases and provide advice regarding commercial developments.
• Develop an effective network with Fire and Rescue Service sector groups and other internal and external stakeholders. 
• Establish and maintain management processes and systems that provide for clear and understandable management information.
