Job description

Excellent part-time opportunity as Senior Administrator within a dynamic team focusing on social action, justice and transformation. 

Deadline is 20th August 2020.  Shortlisted candidates will be informed by the 21st August 2020.  Interviews to be held August 27th 2020 in central London within COVID safe premises as per the Government’s Covid secure guidance for work places. 

The role will be home-based for the forseeable future with an expectation of 2-3 days per month to be in attendance in the London office once it reopens for team buildings and strategy meetings.

With an initial 1 year contract, there is every expectation that this will be continued.

Overview

Capital Mass works across the Diocese of London’s 400 parishes, supporting, equipping and serving all aspects of Community Transformation and Social Action.  There are six pillars within the Diocesan strategy for ‘Compassionate Communities’, they are:-

  • Mental Health, Loneliness and Wellbeing
  • Modern Day Slavery
  • Climate Crisis/caring for God’s creation
  • Debt & Financial Wellbeing
  • Major Youth Violence
  • Homelessness and Housing

 

The Capital Mass team supports the Diocesan work in these six areas through 1-2-1 consultancy; training and events; strategic planning; networking and signposting; development of partnership affiliations; and impact reporting.

 

Job summary

To provide administrative support to the Capital Mass CEO and team to ensure that we can provide a comprehensive service to the London Diocesan Fund, including its clergy, lay employees, volunteers and parishes.

 

This role would suit someone with a flair for detail, intuitive organising abilities and being a completer-finisher.  Likewise, the role would be interesting for an individual who is, whilst presently looking for a part-time opportunity, be looking down the line to progress in a career focused on faith-based  Community Transformation/Social Action - as growth of work and team is a longer term probability, leading to both fulltime and/or broader employment opportunities. There will be scope to be involved and trained in all aspects of our work.

Principal Duties and Accountabilities of the role

General

Overseeing all aspects of administration within the organisation.  This will include but not be limited to:-

  • managing the registered charity’s (Capital Mass) administration such as filing accounts with Companies House and Charity Commission as well as supporting the CEO in managing Board logistics
  • curating the bi-monthly electronic Newsletter, researching for new and invigorating content, drafting ‘copy’ for team comment and sending via MailChimp
  • organising multi-stakeholder meetings via Zoom, Google Meets and Microsoft Team, plus physical room bookings and diary management
  • maintaining electronic filing systems and effectively managing the Shared Drive
  • co-ordinating IT support where required, including web-hosting, hardware, software and mobile phone contracts
  • managing payroll and pension administration with Stewardship (for 2 staff only)
  • crafting Powerpoint presentations as required for training and events
  • monitoring four email inboxes, responding or forwarding requests as appropriate.

 

Website and Social Media

Pro-actively overseeing the content management of the website, ensuring that it is:-

  • an up-to-date accurate representation of the work we do
  • showcasing all our on-line resources
  • advertising all training and events
  • encouraging feedback and interaction

 

Events Management

In conjunction with the Pillar Lead, plan and execute training and events as required, both on-line and physically (from 2021) using and maximising the benefits of EventBrite

  • advertising the event/training session
  • recording, editing and storing
  • maintaining a record of those who have attended training
  • preparing course materials
  • supporting the trainer where required
  • collating feedback

 

Finances and Fundraising Administration

Support the CEO in managing the charities finances, budget and fundraising endeavours.

  • keep a log/spreadsheet of company expenditure and retaining of receipts
  • work alongside the CEO, Finance Trustee and Book-keeper in regards to management accounts and yearly budget formation
  • using Donorfy, enter in all donations received
  • manage GiftAid reclamation, where individuals donate
  • contribute to writing bids under guidance by the CEO when applying to Grants and Trusts
  • log all bid applications and keep a database of when to re-apply and/or provide KPI’s to Grants and Trusts in regards to monies awarded

 

The Senior Administrator may be required to undertake any other duties that are commensurate with the role.

Person Specification

Experience, knowledge, training and qualifications

  • Must have the right to work in the UK.
  • Educated to A-level or equivalent standard.

 

Aptitudes and abilities

  • Administratively efficient with strong attention to detail.
  • A desire to follow a career path in faith-based Community Transformation/Social Action and a willingness to learn.
  • IT literate (MS Office Suite used) with competency on Apple products useful.
  • Excellent people skills and evidenced emotional intelligence.
  • Fluency in spoken English and ability to write clearly in English.
