This role is responsible for providing dedicated financial support and advice to the Services and corporate directorates to ensure the continued optimisation of charity resources.

The role holder will deliver accurate forecasts of and insightful explanations of financial performance whilst ensuring the appropriate level of expenditure by each directorate and supporting each directorate in delivering their forecast expenditure.

As well as supporting stakeholders with financial planning, analysis and business cases, the role will provide strong business partnership to stakeholders to develop and implement improved management information and business insight that will enable accurate and timely decision making.

The role is a key link between the various directorates, Finance and the wider Corporate Services directorate.

We are seeking an enthusiastic individual with good understanding and experience of individual giving. The main objective of this role is to drive income to the hospice from individuals, growing and retaining donors through direct mail cash appeals, regular giving, lottery, in-memory giving and legacy promotion.

Role and Responsibilities:

• Developing an individual giving strategy that builds on previous successes and learnings, which looks to significantly grow our contactable community over the next three years and maximise the lifetime value of our donors.
• Project managing a variety of fundraising campaigns and events
• Managing a programme of supporter direct mail appeals
• Developing In Memory giving income
• Managing and developing our lottery income and our relationship with Local Hospice Lottery
• Developing engaging supporter journeys for key audiences to encourage repeat giving
• Managing the development of the income and expenditure budget for our IG programme

This role will be working with internal teams, external suppliers, and third-party providers to develop and test propositions.  The post holder will work to acquire new donors and suppliers, segment our data, and maximise insight into our donors to support our growing individual giving stream.  We have ambitious targets for this programme and lots of opportunities and an appetite to test and learn.

Job Description

Summary of Job Purpose

The Business and Operations Lead plays a vital role in managing and developing the operational business functions of the organisation and supporting its charitable aims; working closely with the CEO to deliver and improve the organisation’s strategic planning, operational delivery, and budgeting/ finance processes. The postholder plays a vital role in ensuring that the day-to-day operations of the iHV run smoothly, with key functions:

• Leading iHV business and financial management, including accounting, budgeting, reporting, strategic planning and risk management.

o Work closely with the CEO, senior leadership team and our accountants to align financial and operational strategies.

o Manage financial controls, procedures, and systems.

o Collaborate with various departments, including external stakeholders, for effective budgeting and operational management.

• Leading iHV operations:

o Senior responsibility for administrative, legal, and compliance functions, ensuring smooth operations. This will include management of our Emsworth Office, IT and risks, supporting business planning and change management.

o Lead the operational change for a new Customer Relationship Management (CRM) system and website. iHV Project Lead working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification.

o Working closely with our part-time Head of HR, supporting the senior management team and line managers with HR matters, including recruitment.

o Line management responsibilities of designated staff in the corporate team, supporting business administration.

o Working with the CEO to ensure good governance of Board-related matters, collating Board papers and attending quarterly Board meetings.

Key areas of responsibility:

Business and financial management:

• Maintain and develop robust quality assurance processes for income and expenditure, working with our CEO and accountants, to ensure all financial and reputational risks are effectively managed.
• Ensure effective financial processes across the iHV, with systems in place for invoicing, managing iHV payments and standing orders, and chasing outstanding payments and debtors.
• Build departmental budgets, supporting leads with forecasting, budget tracking, monthly monitoring (management accounts are produced by our independent accountants) to inform workforce planning.
• Work with department leads to prepare budgets for tenders and project/ research grant applications, including determining when VAT is applicable.
• Process invoices, iHV card payments, direct debits, standing orders, expense claims forms and ordering of office supplies, with support from the Corporate Team Administrator.
• Support leads to manage contracting, invoicing and reporting to external funders in accordance with funder requirements. Ensure all new funding streams and other costs are accurately recorded by the accountants.
• Ensure management of the corporate member joiners to the organisation, including invoicing and setting up a process for re-invoicing.
• Work closely with the external accountants to provide information on monthly suspense, debtors, mis-postings and general queries in relation to iHV finance. Ensure the iHV’s reconciliation and remittance records are updated weekly.
• Ensure all financial documentation is available for scrutiny as required, including support for annual financial audit by independent auditors.
• Make recommendations, provide advice, and prepare strategic reports and briefings as required.

Operational Management and Governance:

• Support the CEO and department leads in managing human resources, risk management, quality assurance, operational change, and board functions.
• Support iHV business planning and the development of key objectives and priorities for the corporate Team (in partnership with the CEO and other leads within the corporate team).
• Oversee the operational needs of the Institute – supporting leads within the organisation with workflow mapping, business continuity and planning to support matrix working across the organisation.
• Recording and monitoring of business risks across the organisation to enable risk management, reporting to the Board and providing support in association with the CEO.
• Support the board, providing secretariat functions to board meetings, including ensuring all papers are provided on time, managing sensitive information, and taking board minutes.
• Work with the CEO to develop, coordinate and implement organisational policies throughout the Institute.
• Support the CEO with reporting to the Charity Commission/ Companies House and ensuring that the organisation’s charitable obligations are met. Work with external auditors to deliver the annual audits; and ensure that the relevant documentation is held in line with requirements, is available for external auditing, and the delivery of audit recommendations are tracked.
• Support Health & Safety risk management, ensuring risk assessments are in place, processes and policies are up to date, and staff are trained and informed with any changes.

Information Technology

• Management of robust administration and business support systems, including negotiation and management of IT agreements, subscriptions, licences and contracts as required, providing recommendations for improvements and efficiencies to the CEO.
• Facilities management of required IT and infrastructure to include details of equipment held and provision of Microsoft/ other required licences.
• Liaise and schedule work to be undertaken under external IT support contract.
• Lead operational change for new Customer Relationship Management (CRM) system and website – working with a dedicated project manager who has scoped our organisational requirements (almost completed), to finalise the invitation to tender (ITT), manage the procurement process, evaluate submissions with a small in-house change team at the iHV, and make recommendations to the board. The postholder will lead the project for the iHV, working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification and is robustly tested before launching.
• Information management and analysis to highlight issues/ risks and support decision making – work with Head of HR to ensure iHV compliance with GDPR.

Human Resources

• Management of our Emsworth office with line management responsibility for a small number of designated staff in the corporate team who support business management (currently the Corporate Team Administrator), supporting the delivery of team objectives within the iHV Business Plan.
• Support, motivate and develop staff, managing direct reports’ annual performance development review (PDR) and performance management, if required.
• Work closely with the Head of HR to make sure that good employment practices are universally embedded operationally within the iHV.
• Support staff recruitment and the induction of new staff; provide advice to staff on corporate policies and procedures and communicate changes.
• Support the Performance Development review process for the iHV, collating 360 feedback for iHV employees where requested, and maintaining records for annual PDR outcomes.
• Maintain oversight of the recording of annual leave with the Corporate Team Administrator, Head of HR, and department leads.
• Provide operational leadership and management for team awayday (leading a small team to plan this each year), to support team building and staff development.

Other:

We are recruiting for a Fundraising Compliance Manager looking to make a difference in how we fundraise and support our fundraising charities: Guy’s & St Thomas’ Charity, Evelina London Children’s Charity and Guy’s Cancer Charity.

The successful candidate will need to be a detail orientated, solution focused, project manager with expert knowledge in fundraising and data protection regulations. We are looking for someone to lead and maintain a culture of compliance across all elements of fundraising and supporter engagement in this stand alone role.

As our Fundraising Compliance Manager, you will be the focal point for compliance, providing guidance and advice to colleagues ensuring that we have sufficient controls and processes in place across all areas of fundraising. In addition, you will provide comprehensive front line and administrative support, to facilitate best practice across Fundraising/Charity regulation and the General Data Protection Regulation and help embed this in our ways of working. You will produce and deliver training and supporting documents to upskill staff and to ensure consistency across the team, as well as identifying areas for improvement and development. You will keep your knowledge up-to-date and will be confident in communicating with staff at all levels and with varying levels of understanding; in an engaging and accessible manner.

Excellent organisation and project management skills will be required to ensure that projects and the day-to-day delivery and reporting of compliance is on track.

Key Responsibilities

Overarching responsibilities

• To oversee and be the main port of call for all compliance, data protection and gift administration queries in respect of fundraising.
• To develop and maintain robust operational frameworks, processes, systems and governance structures for compliance and gift administration that instil confidence and assurance in our fundraising operations and our ability to fulfil our contractual obligations as data processors and controllers.
• To provide guidance to fundraising colleagues and other stakeholders on compliance and data protection queries.
• To develop and maintain a culture of compliance across the Foundation through developing and delivering training and producing guidelines and departmental policies.
• To conduct periodic reviews or audits (to include external suppliers) to ensure that compliance procedures are followed and fit for purpose.

Gift Administration and Implementation

• Support our fundraising colleagues to maximise their income and engage with supporters in a compliant way
• Triage and respond to gift administration and compliance queries and requests within defined service level times
• Produce and keep updated, relevant guidance, tools and resources for colleagues across the fundraising function
• Develop new strategies to provide the best support for our fundraisers and work to build new and lasting relationships with key stakeholders
• Advise senior stakeholders on the benefits and risks of our activities and advise on the best course of action
• Working with the legal team, develop and maintain the appropriate gift agreements and similar documents, supporter communications and online pages, and support fundraising colleagues and supporters to complete the appropriate paperwork ·
• Manage the Fundraising Support email address/enquiry channels
• Ensure policies around philanthropy and gift management are up to date and disseminated appropriately across the Foundation.

Fundraising compliance and data protection

• To evaluate and apply the Data Protection principles to variable and challenging scenarios, supporting colleagues to find solutions to their problems within the limits of the law.
• Ensuring we are aware of and reacting to any fundraising and data protection regulations changes. Regulations include GDPR/UK Data Protection Act 2021, Fundraising Regulator's Code of Fundraising Practice, Charity Commission guidelines, BACS, and PCI DSS Compliance. HMRC Gift aid guidelines.
• Recognise that a change in procedure or legislation external to the Foundation has implications and who needs to be notified of the changes.
• Produce and continually monitor our operational policies; modelling best practices against the Fundraising Regulator's Code of Fundraising Practice
• Responsible for reviewing all fundraising contracts and third-party agreements for data capture to ensure they are in line with all compliance regulations, ensuring our supporter data is adequately protected, any new fundraising processes and procedures are compliant, and fulfilling the operational commitments associated. Suggest and negotiate amendments, and if the necessary compliance clauses cannot be met then decline authorisation to work with that third party.
• Assess data risks and complete Data Protection Impact Assessments where required, being prepared to work with colleagues to pull together the relevant information and present to the data protection lead for sign off. ·

Leadership

• Where necessary, be prepared to make pragmatic decisions on where we should be focusing resources.
• To develop a programme of training and guidelines to cover complicated rules and processes in a concise and accessible manner. To identify and address where the knowledge gaps exist.
• Monitor workflows and procedures identifying and implementing new efficiencies to increase work output and reduce service delivery timeframes

We’re looking for a qualified accountant to join our team and provide operational leadership for the Charity’s Finance function, supporting the Director of Finance & Governance and providing line management for our friendly finance team.

You will be responsible for ensuring The Charity complies with statutory requirements, operates effective controls, provides meaningful insight on financial matters and adapts processes to suit our growing Charity.

You will take a lead on statutory compliance such as audit, tax and Charity Commission submissions. You will work with the Finance Manager to ensure the integrity of finance records and systems, the accurate and timely production of monthly management accounts, making of payments to Team Members and suppliers and ad hoc reporting.

You will take a leading role in budget preparations and forecasting.

Who we’re looking for:

A qualified accountant with at least five years’ experience in a similar role from any sector. You will have experience of and be comfortable with filing VAT returns, preparing statutory accounts, dealing with auditors, and managing a small team.

Global Programme Manager (Nepal & Myanmar)

The Programme Manager is an exciting and influential role at RCPCH Global, a specialist unit within the College, in which you will lead the management of our maternal and child health programmes in Nepal and Myanmar, with some support for our work in Rwanda. Based in our London office, you will oversee the implementation of the programmes, including the delivery of high-quality programme activities.

As Programme Manager, you will monitor and manage all financial and budgetary aspects of the programme in compliance with donor requirements and take the lead on all programme reporting to donors, maintaining and ensuring high-quality programme monitoring and evaluation processes are adhered to.

Crucially, you will be responsible for liaising with local programme counterparts and stakeholders in the field, which may include regular field visits. You will also take the lead on the recruitment and management of long-term programme volunteer clinicians, as well as short-term advisory consultants, for the programme.

In addition to wider donor liaison, you will help develop new programme grant agreements with a preliminary focus on UNICEF and the James Percy Foundation, as well as promoting RCPCH Global activities to external stakeholders.

Suitably qualified in international development, public health, international and global health, health systems strengthening and child health, or with equivalent work experience, you should have excellent project/programme management skills and have a background in a relevant international/development management or implementation role. 

With demonstrable experience of designing, initiating and leading complex programme development processes, including with senior government counterparts, local partner organisations and international and multilateral donor agencies, you should have a significant understanding of budget management and financial reporting, including to bilateral and multilateral donors.

Previous experience of successfully managing large complex programmes, including supporting field-programme teams both remotely and in the field, within the international development and/or health sectors is essential, whilst experience of working in developing countries would be desirable.

Although based in London, this role may include some travel to Nepal. Additional travel to Rwanda as part of support role may be required. 

RCPCH Global is a unit within RCPCH which designs and manages a range of international projects and programmes to improve neonatal, child and adolescent health, primarily in sub-Saharan Africa, Asia and the Middle East. Our programmes use teams of skilled clinicians and other health professionals to work with counterparts in targeted low-income countries to train and mentor doctors, nurses and other health workers, as a means of helping to build the capacity and quality of the health systems in those countries. 

The Royal College of Paediatrics and Child Health sets and maintains standards for the education and training of all doctors working in paediatrics and child health in the UK. We advocate on child health issues at home and internationally. Additionally, through a variety of activities, the College influences the quality of medical practice for children in hospital and in the community.
