Provide administrative and coordination support to the Family Wellbeing Service that support families across Surrey with wellbeing and mental health literacy as well as specific EBSNA and ND support. Work proactively, use their own initiative and work unsupported to achieve tasks. The administrator will provide administrative support to a service that is currently in development, with plans to grow over 4 years, with 8 practitioners as well as liaise with partner agencies and stakeholders to ensure the smooth running of this service
Responsibilities
- Using a variety of software packages, such as Microsoft Office suite, mail chimp, poll daddy and Survey Monkey
- Answering telephone and email queries from partner organisations, external agencies and parents/carers
- Contacting families via the telephone and email, that are referred to Eikon Family Wellbeing Service
- Production and creation of letters, correspondence, leaflets, newsletters and supporting the production of website content
- General administration work including filing, archiving, retrieving information and documents
- Provide, record and report the appropriate data to ensure support programmes can be accurately monitored and evaluated
- Set up and maintain excel spreadsheet that tracks and monitors status of all cases referred to the service
- Support the Service Delivery Manager in the maintenance and monitoring of the service tracker
- Create and maintain processes for receiving service feedback and monitoring and reporting service impact data
- Be responsible for entering Direct Referrals and Mindworks referrals on to organisation database along with any corresponding case allocation administration
- On-boarding of new referrals ensuring are contacted within the agreed contract guidelines. Once initial calls are completed, to ensure these are moved to the correct service pathway
- Monitor the return of consent and registration forms
- Carry out administrative tasks associated with follow-up on all missed sessions, cancellations, queries and case closures
- Create, maintain and monitor a booking system for individual, group and online sessions and all corresponding tasks e.g. room booking, calendar updates and sending meeting links/information to recipients
- Create and support the monitoring of wait lists for the various services and subsequent case allocation to practitioners
- Carry out ‘check in’ communications with families on our waiting list and escalate any new concerns to appropriate staff

Provide full support to the Chair in any administrative activities that relate to her role as Chair, including but not limited to:

Provide governance and administrative support to the Overcoming MS Board of trustees, including:

Purpose of the post
The Business Administrator will play a key role in ensuring the smooth day-to-day running of AHS. This position focuses on the practical delivery and coordination of operations including implementing processes, maintaining systems, and supporting teams to work efficiently to deliver a longitudinal study. Acting as a central point for administration, the postholder will help keep our operations organised, identify and escalate issues as they arise, and ensure that processes and activities run seamlessly across our remote organisation.
About Adolescent Health Study
The Adolescent Health Study (AHS) is an ambitious new UKRI-funded initiative to establish a prospective, longitudinal population study that will generate a globally leading open science data platform and research resource. AHS aims to recruit at least 100,000 young people from across the UK and to follow their mental and physical health and wellbeing over at least 10 years. It plans to collect data through questions and measures; to obtain bio-samples for a wide range of genomic and other high-throughput assays; and to capture linked data relevant to health and wellbeing from participants’ health, education and other administrative records. There will be a strong emphasis on engaging with and involving young people, schools, parents and other relevant stakeholders in the design and delivery of the study, as well as on including young people that represent as wide as possible a range of backgrounds, experiences and characteristics. AHS will focus on enabling a wide range of research, including studies of the critical biological and social developments that occur during the transition from childhood to adulthood and the determinants of both mental and physical health and wellbeing in adolescents and young adults.
Main responsibilities

We are looking for a Legacy and Administration Manager to join our Finance and Operations team on a part-time basis (2 days per week). This role will report to the Director of Finance and Operations.
Job Purpose
Legacies are one of the most vital sources of income for Operation Smile UK, helping us continue our work supporting patients with cleft around the world. We’re now looking for a Legacy Administration Manager to join our dedicated team and ensure that every gift left to the charity is managed with care, professionalism, and in line with the wishes of our supporters.
Key Responsibilities
- Manage a portfolio of residuary, specific, and reversionary legacy cases from initiation to completion, optimising income while upholding all legal, ethical, and organisational standards.
- Communicate with empathy and professionalism with executors, solicitors, and beneficiaries’ families, including handling enquiries and confirming receipt of legacy notifications.
- Review estate documentation and valuations, determine the charity’s entitlement, and verify that all due funds are correctly received.
- Ensure that all relevant charity tax reliefs are properly applied for, including Inheritance Tax, Capital Gains Tax appropriations, and Income Tax (form R185).
- Maintain accurate and up-to-date records of all legacy income and correspondence within OSUK’s CRM system and Finance Tracker.
- Track the status of ongoing cases, pursue outstanding actions, and take prompt steps to address issues or disputes as they arise.
- Collaborate closely with internal teams—such as Finance, Supporter Care, and Partnerships—to promote strong stewardship and compliance.
- Refer or escalate complex or high-impact matters to the Director of Finance and Senior Finance Manager when necessary.
- Contribute to team meetings, process improvements, and the development of best practice.
Person Specification
· Strong interpersonal skills with the ability to build positive relationships and communicate clearly and sensitively, both in writing and verbally.
· Proven experience in legacy administration within the charity sector or in probate and estate law.
· Highly organised, with the capability to prioritise and manage a diverse caseload effectively.
· Exceptional attention to detail, ensuring accuracy in financial transactions, documentation, and data entry.
· Skilled in interpreting wills, estate accounts, and related legal documents.
· Competent in reviewing estate accounts to verify the correct application of Inheritance Tax (IHT) and Capital Gains Tax (CGT) and to ensure estates are properly finalised.
· Proficient user of Microsoft Office and customer relationship management (CRM) systems.
· Review estate accounts, including the allocation of Capital Gains Tax (CGT) and Inheritance Tax (IHT), to confirm estates are correctly administered.
· Certificate in Charity Legacy Administration (ILM) or legal/paralegal qualification.

The Team

The role
We are seeking a proactive and technically skilled IT Systems Administrator.
As the IT System Administrator, you will be responsible for the development, administration and optimisation of Cruse’s Microsoft 365 environment and wider IT cloud infrastructure.
Working closely with the Head of IT, and the wider Digital Services team of 5 staff, you will ensure our systems are secure, reliable, and aligned with the needs of our staff and volunteers.
Cruse operates a cloud IT infrastructure providing IT services to staff and volunteers based across the UK and Northern Ireland. Microsoft 365 is the main IT service, but there will also be other IT systems you will need to become familiar with in this role.
Cruse makes use of a managed services IT support provider and numerous application and service provider support teams; you will be required to work with these teams making sure our issues are resolved quickly and with minimum disruption.
As part of your role, you will be involved in BAU and project work and be comfortable with competing priorities and pressures.
