About this role:
As Head of Finance, you will:

• take day-to-day responsibility for the finance and accounting functions, ensuring systems are working effectively, suppliers are paid, payroll is completed, and ensure the new finance system meets the needs of the organisation,
• line manage and develop a team of finance professionals, ensuring an effective financial service is provided to the organisation through their expertise, championing continuous improvement,
• be accountable for the effectiveness of the charity’s annual budgeting and forecasting, and contribute to the updating of our five-year strategic plan.

About you:
To be successful in this role, you will need to be an experienced, qualified accountant who is comfortable working in large, complex organisations. You’ll need the ability to lead a dynamic team of finance professionals, from day-to-day support to professional development. Stakeholder engagement is a big part of this role, so you should feel comfortable working across the organisation with different teams and ‘breaking down barriers’ to develop key relationships. About this team:
The purpose of the Finance Department is to support the rest of Dogs Trust in achieving the strategic aims of the charity. They work to ensure financial (and non-financial) systems and controls function effectively and limit the exposure of the charity to related risks, providing accurate, timely financial information and of course, paying suppliers in a timely fashion.

The Programme Manager will deliver a personal development journey to young people using snowsports as the hook to engage those who are less likely to engage with mainstream provision. We do this in partnership with youth projects and youth service providers across London, running snowsports youth programmes from The Snow Centre, Hemel Hempstead.

About Rockinghorse Children’s Charity

Rockinghorse Children’s Charity supports children across Sussex. We support babies, children, young people and their families at the Royal Alexandra Children’s Hospital and the Trevor Mann Baby Unit in Brighton and all of the specialist children’s wards and baby units throughout Sussex. 

We deliver and fund projects that enable doctors, nurses and other health professionals to do more. All of projects are led by the needs of children and young people and their families.  This includes lifesaving medical equipment, support for parents and families, toys for children spending time in hospitals across Sussex, the environments and spaces that help children feel more at home when they are in hospital and additional staff to make sure children get the best possible care when they are unwell. 

Originally set up in 1967 by Dr Trevor Mann, we have been supporting children for more than 55 years. In that time, we have supported nearly a million children and their families. As the official fundraising arm of the Royal Alexandra Children’s Hospital, including the Trevor Mann Baby Unit, we work with the NHS, charity partners and the Sussex community to ensure children can be children no matter how unwell they are.

About the role

In 2022 we launched our three-year strategic plan, which prioritised our activities to enable us to support more babies, children and teenagers. As we enter the final year of this strategy the charity continues to expand and develop its projects and services for sick and disabled children all over Sussex: 

We are thrilled to embark on an exciting new project, the Rockinghorse Wellbeing Service, designed to proactively enhance the mental health and well-being of hundreds of children, young people, and families living in Sussex. This innovative service will be situated at the Royal Alexandra Children's Hospital in Brighton.

The Wellbeing Service Manager will be responsible for delivering certain activities based on their skills and experience, collaborating with third-party providers and volunteers for others. This may involve bedside activities to improve the experience of in-patients, as well as group activities within the hospital or out in the community.

Each activity will undergo careful planning and evaluation, incorporating the voices and perspectives of young people. This approach ensures that we provide the most impactful activities to meet their needs.

Our primary goal is to support children and young people managing various illnesses, conditions, and disabilities through activities that alleviate stress and foster connections with others undergoing similar experiences.

We are currently seeking a dedicated and passionate Wellbeing Service Manager to join our team and take the lead on this new service. The ideal candidate will play a pivotal role in elevating the overall wellbeing of our young patients. The position involves coordinating and implementing a diverse range of wellbeing activities and programs focused on fostering a positive and supportive environment within the hospital.

This role is part of the Projects & Operations team, one of three teams within the charity, alongside the Supporter Engagement team and the Communications team.

Duties of the role 

Develop and Implement the Wellbeing Service

· The Wellbeing Service Manager will form part of a steering committee of senior and experienced NHS staff who are helping to develop and shape the service.

· Design and execute engaging wellbeing programs tailored to the unique needs of children, their families, and hospital staff.

· Collaborate closely with healthcare professionals to integrate wellbeing activities into the overall care plan for paediatric patients.

· Demonstrate proficiency in leading consultations, developing comprehensive plans, and monitoring progress against established goals.

· Work collaboratively with Rockinghorse and the hospital's volunteering service to facilitate meaningful engagements for children and young people, as well as provide appropriate signposting to other services when needed.

Coordinate Events and Activities

· Organise and oversee events, workshops, and recreational activities that promote mental, emotional, and physical wellness.

· Ensure activities are inclusive, age-appropriate and delivered in a way that is trauma informed and enhances wellbeing.

· Develop and manage a database of wellbeing activities to support service delivery and to scrutinise the wellbeing value of each activity as part of our impact and evaluation of activities.

· Ensure compliance with appropriate policies and procedures in line with legislative and regulatory requirements, adhering to best practices in all activities, and working within established frameworks related to safeguarding, confidentiality, and professional practice.

Community Engagement

· Foster partnerships with local organisations, volunteers, and community resources to expand the reach and impact of wellbeing initiatives.

· Develop and maintain relationships with external partners to enhance the support network available to children and their families.

Individual Sessions

· Provide support to children, young people, and families managing various illnesses, conditions, and disabilities, utilising activities that alleviate stress and encourage connections with peers.

· Collaborate with healthcare teams to identify and address specific wellbeing needs of individual patients.

· Take the lead on child protection measures.

Training and Education

· Support the continued professional development of your team and lead them in a solution focussed way to identify and shape areas of improvement for the project.

· Conduct training sessions for hospital staff on incorporating wellbeing principles into their roles and interactions with patients.

· Create educational materials and resources to promote wellbeing awareness and practices.

Monitoring and Evaluation

· Support the development of a Theory of Change and an evaluation model/framework for the wellbeing programme.

· Establish metrics (outputs, outcomes and impact) to assess the effectiveness of wellbeing programs and activities (against the TOC and evaluation framework).

· Gather qualitative and qualitative feedback from patients, families, and staff to continuously improve and tailor future initiatives.

Documentation and Reporting

· Maintain accurate records of wellbeing activities, participation, and outcomes.

· Prepare regular reports highlighting the impact and success of wellbeing programs.

· You will assist Rockinghorse colleagues in providing information for marketing purposes, informing funding applications, providing support for funder visits to the service and any other duties appropriate to the role and in line with the needs of the charity.

Person specification 

Essential experience, skills and knowledge for the role: 

1. Qualified in a relevant area (eg youth work, social work, nursing, counselling, mental health) or with equivalent professional experience.

2. Experience of working with children and young people and delivering group sessions and activities for young people, using non-clinical interventions to support positive outcomes.

3. Demonstrable understanding of project management and experience managing multiple, complex projects, including budget development and day to day management, project planning and delivery, and project evaluation (setting, monitoring and managing targets, objectives, KPIs and activity plans).

4. Able to work collaboratively and build productive relationships with colleagues, stakeholders, and third-party agencies.

5. Experience in maintaining accurate records, collect data to evidence impact and prepare reports evaluating and monitoring projects.

6. Able to prioritise own workload effectively, excellent time management skills with strong prioritisation and organisation skills alongside the confidence to work autonomously and ability to enable others to meet challenging deadlines.

7. Brilliant communication and interpersonal abilities – able to engage and support a range of stakeholders.

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.

Job Purpose - Facilities Manager - Projects 

The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.

The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.

This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.

Reporting directly to the Head of Estates, the role holder will: 

• Lead the estates input in the expansion of the existing property footprint.
• Onboard new additions to the estate’s property portfolio efficiently and effectively.
• Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
• Support the wider estates team in the delivery of business-as-usual activities.
• Be visible and on site to ensure the smooth running of projects and the timely resolution of issues. 

Dimensions

Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.

Principal Accountabilities

Estates and Facilities Management 

• Responsibility: Act as the senior estates and facilities professional on project work assigned. 

• Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements. 

• Project Performance: Ensure a robust contract performance management framework is in place for each project. 

• Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements. 

• Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements. 

• Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence). 

• Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint. 

• Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team. 

• Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work. 

Financial Management

• Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time. 

• Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation. 

• Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation. 

• Cost Reduction/Service Improvement: Lead in ensuring we are continually striving to reduce cost/improve service provision. 

• Commercial Acumen: Commercially savvy to drive continuous improvement opportunities (both financial and operational).

• Estates Development: Ensure development activity within the estate takes account of environmental considerations/technological advances in the go-forward design.

As Finance Manager, you will be a key member of the Finance & Operations team. You will hold end-to-end responsibility for the finance function, from reconciliations to budgeting. You will decide where and how our existing processes could be improved, as well as developing new systems that will underpin our work as a larger and more established charity. You will be supported by the Director of People, Finance & Operations, as well as our external auditors.

Areas of Responsibility

The Difference is looking for a Finance Manager to lead our finance function in the following ways:

• Oversee our internal bookkeeping, payment, and accounting processes, and improve these systems ongoingly.

• Lead on the production of management accounting information, including internal monthly management accounts, quarterly reports for Trustees, and financial reports for investors.

Why Work for The Difference?

Schooling isn’t working for the children who need it most. Every week in England 109 children – equivalent to three full classrooms – are permanently excluded. This is just the tip of the iceberg. Since the pandemic, school suspensions have risen significantly, as has persistent absenteeism. 1 in 5 children are missing more than 10% of their time in school. Children who are excluded or persistently absent are much more likely to already be experiencing vulnerability or disadvantage. They are more likely to live in poverty, have additional learning needs, suffer mental health challenges, or experience a lack of safety outside school. Exclusion and high rates of absence can have a dramatic effect on life chances. The Difference believes that children and young people deserve better and that the education system has to change.

Our Organisation 

The Difference is a young education charity, founded to change the story on lost learning.  By 2030, we want rates of exclusion and absence to be falling nationally and for schools to be better equipped to support all children, including those who may be vulnerable. The Difference was born out of a year of research into school exclusions with think-tank IPPR. This research identified a lack of inclusion expertise in schools and proposed a new leadership development programme to fill this gap. In 2018, Difference founder Kiran hired the team who took this idea from concept to reality, beginning work with our first schools.

The Difference is now a 22-strong team delivering multiple school leadership programmes, alongside a growing research and policy arm. The team is supported by our Youth Advisory Board, made up of young people who have experienced exclusion and who provide their expertise and insights on how school inclusion work should be done. This work is needed more than ever. Effects of COVID-19, coupled with the spiralling cost of living, have substantially increased levels of vulnerability. Schools serving excluded pupils face under-funding. The Difference has had excellent early impact but there is work ahead to capture this, share learning with schools and policy-makers, and grow our capacity to lower exclusions across England.
