We have an exciting opportunity for an experienced Executive Assistant to join the Executive department of Samaritan’s Purse International (SPI) and the Billy Graham Evangelistic Association (BGEA), supporting the Executive Director (ED) and wider Senior Management Team (SMT). The role is part time (21 hours per week) and based from our head office in Coventry.

The post holder will need to have meticulous attention to detail, be highly organised and have excellent administrative skills. A key aspect of the role is building collaborative relationships internally and externally. Proven experience working at Executive Director level is essential.

Duties will include:

• Providing full administrative and secretarial service to the ED and SMT
• Providing administrative support to the Board members of SP and BGEA
• Building of relationships both internally and externally
• Manage and maintain electronic diary accurately, liaise with the ED and SMT to input and manage appointments
• Undertake general administrative duties as requested by the ED and SMT
• Organise meetings/conferences/special events, provide agendas/directions to attendees. This to include all ED meetings and SMT strategic and tactical meetings.

• Organise visits by international visitors, including schedules of appointments

The Role

To work as part of the retail team, in supporting merchandising, processing deliveries, serving customers, and maintaining high levels of presentation and customer service.

We are recruiting for an enthusiastic and proactive individual to join our Finance Team in the role of Finance Assistant.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.

The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.

The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.

They take responsibility for processing the day-to-day transactions of the company across purchase ledger, sales ledger and the cash book, and ensure the smooth operation of the office. They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.

The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.

Fundraising Assistant

Horatio’s Garden charity is looking for an enthusiastic and committed individual, with flair for communicating through the written word, to support our Trusts & Foundations fundraising. This is a fantastic role for a graduate or someone looking to start a career in the charitable sector. You will be given ongoing support, training and mentoring throughout the job. 

Horatio’s Garden is a growing, award winning, national charity improving the lives of people with spinal injuries by creating and nurturing outstanding garden projects in NHS spinal injury centres.

Trusts & Foundations is our largest income stream and we are looking to increase capacity in the team during a growth period for the charity.You will support our experienced Trusts & Foundations team to help meet, and exceed, our income targets and to provide fantastic support to our donors.You will also have the opportunity to spend half a day a week in our Salisbury garden assisting the Head Gardener and spending time with beneficiaries.

Main duties: 

1. Identify and research grant giving trusts and foundations to whom Horatio’s Garden is eligible to submit applications for funding. 
2. Proactively approach relevant trusts and foundations, where possible, to discuss potential applications before submission. 
3. Prepare and submit high quality applications for funding for a range of Horatio’s Garden projects.
4. Prepare and submit high quality, timely progress reports to grant givers, contributing to longer term relationship development with funders. 
5. Maintain the Trusts and Foundations pipeline to maximise supporter retention and income generation.
6. Identify and deliver opportunities to engage grant givers with Horatio’s Garden, through events and garden tours, to increase supporter engagement.

1. Work with the gardens, arts programme and finance teams at Horatio’s Garden to understand the need for funding and the impact of Horatio’s Garden to maintain profitable relationships with supporters.

As a dedicated marketing resource in this small but energetic charity team, the role of marketing assistant is to help elevate Youth Talk’s story and brand awareness amongst its target markets. Overview / purpose of the role

We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.

The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Finance

● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

● Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

● Conducting weekly payment runs via our online banking system

Key responsibilities:

• Developing and maintaining exceptional and credible relationships.
• Dealing with any concerns or complaints.
• Managing all correspondence in/out of the Director's office.
• Responsible for sourcing and co-ordinating briefings and data.
• Responsible for the delivery and coordination of events and development activities for the director's leadership team and the wider directorate.
• Responsible for providing support to the Director on both organisational and directorate-wide projects,
• Responsible for coordinating recruitment for senior roles (Executive Leadership Team, Senior Leadership Team, Head's of, Board)
• Manage the processing of payments of any contracts/services.
• Working in collaboration with Business Managers, other Executive Assistants and Associate Directors, Personal Assistants.
   

What you'll need to succeed
 

• Networking and making contact - The most essential things the EA will do for our Director of People are the… "Can you just find… can you just ask…. Can you just grab x person?" We are looking for a confident person, who's not shy about contacting the people they need, and chasing up actions.
• Some experience of HR - The Director of People gets 60-80+ emails a day, so you need to be able to spot the urgent things they need to see, and - with a bit of guidance - what can be delegated to other people.
• Able to manage EA basics standing on their head! (Not literally) but standard practice like, managing an inbox, perfectly organised diary, travel, expenses, invoices and more!

Development / Fundraising Assistant
Hours: Minimum 30 hours per week, with flexibility to increase to 37 hours per week. (Some evening and weekend work required in line with fundraising events).
Salary: £24,031 - £25,863 per annum FTE (£19,484.59 - £20,970 pro rata for 30 hours per week) dependant on skills, experience and knowledge

What will you do?

This role is a fantastic opportunity for someone looking to learn and grow within the Fundraising sector.

This is an integral part of the development team, providing essential support across various fundraising initiatives and providing excellent supporter stewardship (nurturing our supporters/fundraisers on their journey with us). This is to maximise income and encourage supporters to remain engaged with our charity.

You will represent the charity at various events, meetings and networking opportunities to build opportunities with supporters to help them reach their fundraising potential!

What’s essential?

• Strong administration skills to maintain the Customer Relationship Management system (CRM) and previous experience of CRM systems.
• Excellent customer service and relationship/interpersonal skills.
• Proactive and solutions focused approach to work.

Key responsibilities:

• Supporting Fundraisers throughout their journey with us (stewardship) such as but not limited to; send materials to fundraisers such as t-shirts, and certificates, making calls/thank you calls, sending letters to event supporters.
• Attending events and assisting with activities on the day.
• Responding to supporters’ queries and requests, providing email cover across multiple inboxes.
• Help support content for communications/marketing.
• Help support the team identify fundraising opportunities.
• Maintain, develop and update the Customer Relationship Management system (CRM) system and in turn become the team's champion/subject expert.
