What you do
Main purpose of post
As the Operations Assistant you will be supporting the Operations Manager in delivering and maintaining an effective operational function at the charity. Including but not exclusively, Health & Safety, Premises, Facilities, Vehicle Management, and IT Services.

Key Responsibilities:
Operational Support
· Act as the first point of contact for premises, facilities, IT and Estates issues across all Weston Park Cancer Charity locations.
· Assist the Operations Manager in maintaining a secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.
· Support the Operations Manager in the successful delivery of the Annual Operations plan.
· Provide administrative support to the Operations Manager and Operations Working Group.
· Support with updating operational policies and procedures.
· Act as a Charity Data Protection Officer (DPO), alongside the Operations Manager - following relevant training, to promote a strong GDPR culture.
· Assist in the coordination of the charity car maintenance and safety checks, including keeping auditable records.
· Assist in the control and coordination of the use of charity space and assets, including liaising with contractors and Sheffield Teaching Hospitals (STH) on relevant matters as required.
· Act as a designated keyholder, responsible for the opening and closing procedure.
Health & Safety
· Serve as the first point of contact for all Health & Safety matters, including incidents and accidents, ensuring accurate recording and reporting.
· Provide operational and administrative support on all Health & Safety matters at our sites and external locations (including external events and the Outreach Service, updating COSHH reports)
· Assist in the procurement and delivery of training.
· Help establish and maintain safe working practices and policies and undertake basic risk assessments.
Workwear and equipment
· Act as the first point of contact for workwear and equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required.
Tech Support
· Serve as the first point of contact for general IT enquiries
· Consult with IT consultants to ensure adherence to processes
· Work with the Operations Manager to implement processes that maintain the IT security score.
· Assist in the onboarding and offboarding of employees, including software licenses, logins, and induction training
General Administrative Support & Development
· Handle general enquiries from staff, patients, and volunteers efficiently.
· Manage the operations team telephone, email, and postal enquiries.
· Assist the Operations Manager with the procurement of stationery and consumables.
· Assist the wider team with ad hoc work and undertake small projects that support the charity's work. e.g. Events, Logistical and Tech Support.
Environmental Advocate
· Work with the Operations Manager to promote environmental awareness and encourage the charity adopts a green approach (e.g., recycling, energy use, carbon footprint)
· Identify and implement actions to reduce environmental impacts, costs, and/or increase income under the direction of the Operations Manager.

What you will do:
Support the Fundraising team to uphold a high level of supporter care with a view to retention and increased engagement.
Efficiently and accurately process and reconcile all incoming donation information, received daily, weekly and monthly from multiple digital sources, onto our database and acknowledge these within agreed timescales.
Analyse all online income including but not exclusively from Just Giving, Enthuse, PayPal Giving Fund and Facebook along with all other income.
Ensure that all third party received income is recorded on Raisers Edge and produce accurate reports for internal stakeholders.
Be the first point of contact for challenge event supporters and manage and respond to queries.
Record and update non-financial supporter information such as, communication preferences, research information and other personal information in line with our Data Protection policy.
Distribute all parcels in a timely manner, making sure everything is recorded accurately.
To be successful in this role you will have:
English and Maths GCSE or equivalent grade C or above
Previous experience providing dedicated administration support.

The apprenticeship programme is due to start in September 2024, provided by the Juice Academy - an industry-led apprenticeship provider. They are partnered with Jane Montague Consultancy to deliver the 13-15 month Fundraiser Level 3 programme. Apprentices work on the job within a charity whilst receiving 20% off the job training from current industry experts. The training sessions are a hybrid of face-to-face learning (two optional in-person days) in Manchester, and virtual half-day classrooms via Zoom. About the role
As a Finance Assistant, you will be responsible for administering the Charity sales ledger and supporting both our membership and volunteering communities in their financial management. The key responsibilities include:
· Administration of the Charity Sales ledger including credit control;
· All Direct Debit processing for the collection of membership and course income;
· Supporting our 135 active fundraising branches in their transaction processing;
· Completing the monthly Gift Aid claim and other key balance sheet reconciliations.
We are recruiting for someone with the following:
- Experience of working in a finance role and maintaining financial records including preparing journals and balance sheet reconciliations;
- Strong numerical skills and a high level of accuracy in all aspects of work;
- Excellent attention to detail and accuracy with a problem-solving mindset;
- Good organisational and time management skills with the ability to prioritise tasks to meet deadlines;
- Ability to communicate confidently and effectively with a variety of audiences;
- Ability to use own initiative, and comfortable working independently, and remotely;
- Intermediate Microsoft Office Skills in Excel, Word and Outlook.
This position will be home-based so applicants can be located anywhere in the UK. We have a vacancy for 21 hours per week. These hours should be spread across at least 4 weekdays. Primary Responsibilities and Duties:
- Ensure that all supporter e-mails are handled in a timely, professional, and efficient manner and that responses reflect the organisation’s positions and values and contain up-to-date information
- Assist with handling incoming supporter phone calls by covering for other Membership and Supporter Services staff
- Verify and input donor data, including demographic, membership, and personal information, into the membership database
- Maintain stock of PETA supporter materials and fulfil requests for literature, stickers, and other materials, working with external agencies when necessary
- Process invoices, prepare cheque requests, and liaise with the PETA Foundation US Finance Department
- Liaise with external agencies when necessary and as directed by the International Membership Services Manager in order to resolve supporter issues
- Sort and distribute incoming post and faxes in a prompt manner, responding to or forwarding items as appropriate, including sending signed and returned petitions to campaign targets
- Receive and sort items sent to PETA’s fur amnesty programme and transfer them to PETA’s off-site storage area
- Perform general administrative tasks to support PETA
- Perform any other duties assigned by the supervisor
Requirements:
- Experience with Microsoft Windows and Microsoft Outlook
- Knowledge of animal rights issues and current PETA campaigns
- Must be willing to work from the PETA office 3 days a week
- Excellent verbal and written communication skills
- Proficiency with computers
- Good proofreading skills
- Excellent organisational skills and attention to detail

Working as part of the Finance Team you will contribute to the delivery of an efficient finance department ensuring accurate and timely financial transaction processing including purchase invoice processing, checking and approving expense claims, weekly BACS payment runs and cash book postings all in line with Kew’s financial policies and procedures.
To be successful you will need to be a methodical and proactive employee; working closely with the Finance team, Kew staff and external suppliers as part of the transaction processing team, demonstrating excellent customer service together with strong communication skills both orally and in writing.
Our ideal candidate will have experience in accounts payable and be able to demonstrate a clear understanding of what is required backed up by experience in the role.
Experience with Agresso would be desirable.
This role is based at Kew with the option of regular home working, subject to operational requirements.

Main Duties and responsibilities
Perform the following duties in conjunction with and under the guidance of the Head of Patient Research:
- Plan and conduct assigned research individually or jointly in accordance with project deliverables and department strategy
- Document research output including analysis and interpretation of data, maintaining records and databases, drafting progress reports and publications
- Maintain accurate records of patient data, safeguarding the confidentiality of patients and patient data, as necessary
- Writing for internal / external audiences (including academic journals, lay summaries, and, progress reports)
- Contribute to the dissemination of work including presentations at international and national conferences, internal and external meetings and workshops
- Contribute to the development of proposals to secure funding to support future research
- Engage with patients, families, clinicians, patient organisations and other stakeholders involved in MPE patient evidence projects and other myeloma research
- Represent MPE at internal / external meetings
Other responsibilities
- Undertake any other reasonable duties as required by the Head of Patient evidence
- Support the wider MPE team with research and evidence requests
- Critically appraise and provide advice to MPE wider team on academic research findings
- Build good relations with members, internal and external stakeholders (including doctors, researchers and medical representatives within companies)

- Attend scientific congresses and meetings

About you:
- A good undergraduate degree in a relevant subject area and either postgraduate qualification or equivalent research experience
- Knowledge and experience of qualitative and quantitative research methodologies
- Understanding of principles of Good Clinical Practice in research
- Knowledge and experience of ethical review procedures (desirable)
- Ability to work from home in a virtual setting with a team spread across Europe
- Experience in a related field desirable – preferably working in a non-profit organisation, academic / clinical research, or medical/scientific setting
- Experience in working with patients, researchers, doctors and representatives from the pharmaceutical industry desirable

About MPE
Myeloma Patients Europe (MPE) is a pan-European organisation representing 52 myeloma and amyloidosis patient groups from over 33 European countries. It is registered as an international non-profit organisation under Belgian Law. A Board mainly composed of patients and caregivers is elected by the membership to oversee the strategy and governance of the organisation. A team of 13 staff members runs remotely the day-to-day operations, programmes and services within 4 divisions: Access and Policy, Medical Education and Scientific Engagement, Patient Evidence and Member and Patient Community Programmes.
MPE is dedicated to improving the treatment, care and quality of life of patients with myeloma and AL Amyloidosis. To this end, the main goals of the organisation are:
- Collaborating on projects to the benefit of the myeloma community
- Exchanging information and best practice
- Developing existing patient groups and encouraging and facilitating the setting up of new groups
- Helping to shape appropriate health-related policies and initiatives on a European and national level

About the Patient Evidence department
The MPE Patient Evidence department was established in 2020 to generate evidence important to patients with myeloma and their families and is led by Dr Eilidh Duncan. Our goal is to understand unmet needs in the patient population and design patient-focussed research questions which will support new understandings and knowledge. MPE partners with academia, other patient organisations, industry and regulatory bodies where possible to understand more about what gaps exist within the myeloma landscape and how to best generate evidence on these. We work alongside MPE’s policy and access team to anticipate what questions need to be asked and what the data needs are for upcoming medicines approval processes.

The general objective of the ISSCD is to promote scientific knowledge, education and quality of care in the field of coeliac disease and gluten-mediated human diseases in general and everything related or conducive to this in the broadest sense.

- Processing new ISSCD Membership applications and update the ISSCD membership database
