Charity Overview: Black Country Foodbank is a Christian charity that works within the boroughs of Dudley, Sandwell, Walsall, and Wolverhampton supporting a network of Foodbanks provide emergency food and toiletry parcels to those in crisis. As we continue to expand and innovate, we are seeking a highly skilled and motivated individual to join our team in a new role as Deputy CEO/Operations Manager.
BCFB provided over half a million meals in 2023 and continues to address deepening demand. Through a network of Foodbanks our volunteers serve a wide demographic of people who have been affected by food poverty.
BCFB hope to build on the valuable work that began in 2006 and develop sustainable food projects whilst also working with people to become financially resilient. We look forward to a time when food charities are no longer part of our society.
Food poverty is complex with initiatives and ideas evolving at a pace. BCFB is at a pivotal place in its development with opportunities for growth. We need a leader to work closely with the CEO to continue and support the existing model of foodbanks and food projects and have the drive and passion to explore and manage new initiatives.

Position Overview: The Deputy CEO/Operations Manager will play a pivotal role in the day-to-day operations and strategic planning of the charity. The successful candidate will oversee the operational aspects of the charity and functions to ensure efficiency, while also actively expanding the services across the boroughs with new initiatives. This role will enable the charity to break new ground, expand wrap around services whilst expanding and developing our core - distribution of food and toiletries to those who are in crisis.
This is an exciting opportunity to become immersed in the everyday activities of the charity, whilst playing an integral role in the strategic planning and implementation of new initiatives.
Key Responsibilities:
- Operational Leadership: Provide strategic direction and leadership to all, right across the charity, securing the confidence and trust of others, building relationships and a deep understanding of all the stakeholders. Able to manage the business of the charity and deputise for the CEO.
2. Team Management: Lead, mentor, and develop a team of staff and volunteers. Leading on volunteer recruitment, staff and volunteer appraisals/training and general well-being. Ensuring staff and volunteer policies and procedures are kept up to date, reviewed and developed according to current legislation.
3. Strategic Planning: Collaborate with the CEO and team to develop and implement strategic plans and initiatives aligned with the charities mission, vision, and values.
4. Performance Monitoring: Writing reports including data and stories and feeding back, presenting to the staff, volunteers and the Board of Trustees relating to all aspects of the role.
5. Fundraising: Work with the CEO to devise a fundraising strategy that ensures a sustainable income from a variety of donors. From physical donations of food and toiletries to new projects. From Hi Vis jackets to salaries, fundraising will always be on the agenda and at the forefront of this role.
6. Process Optimisation: Identify opportunities for process improvement across all operational areas helping the charity to run as smoothly as possible.
7. Resource Allocation: Manage budgets, resources, funding pots and assets effectively, ensuring optimal utilisation and allocation to support operational objectives and financial targets.
8. Compliance and Risk Management: Working with the staff and vol team to ensure compliance with all relevant regulations, standards, and policies, managing risks and implementing appropriate controls to mitigate potential issues.
9. Stakeholder Engagement: Build and maintain strong relationships with internal and external stakeholders, including foodbanks, volunteers, partners, and statutory agencies, to support charity objectives and build on the established positive reputation. Identify and nurture new collaborations and relationships that deliver on our strategic objectives. Identify and build our corporate partners, encouraging working together for the good of community.
10. Ambassadorial role: represent BCFB to the media, at external events and publicity opportunities.
11. Continuous Learning and Development: Stay informed on strategies and practices in operations management and facilitate ongoing training and development opportunities for the staff and volunteers. Stay at the forefront of food poverty strategy, attending webinars, poverty events, discussion groups and keen to share that learning with the wider team and board.
12. Communication: Confident to speak in public at various events, chair meetings and feel at home in front of an audience. The post holder will be required to represent the charity at a senior level both internally and externally.
Knowledge and Experience
13. Proven experience in a leadership role overseeing operations, preferably within the charity sector.
14. Experience of working with a Board of Trustees.
15. Passionate about eradicating food poverty in our boroughs whilst actively seeking solutions to meet the need.
16. Strong understanding of charity principles, financial management, and strategic planning.
17. Excellent leadership, communication, and interpersonal skills, with the ability to inspire and motivate teams.
18. Strong listening and questioning skills, able to take account of and respond to information from a range of sources when developing plans.
19. Exceptional attention to detail and a demonstrated ability to manage multiple projects and priorities effectively, meeting deadlines and objectives.

Terms of Appointment

The Facilities department manages all Assets and Estates that Family Action own or lease across the whole organisation, overseeing all the services across England.

Main Responsibilities:
· Conduct Health and Safety site audits to a schedule across Family Action’s Central region.
· Support responsible managers with risk assessments across Family Action’s Central region.
· Support and give advice to local management teams regarding their Health & Safety system, through regular meetings and tickets raised within the Facilities helpdesk.
· To work closely with the Head of Facilities to develop corporate services for Family Action’s Central region sites.
· Help develop the Facilities departments’ JWA (SLA) and ensure they are consistently applied and regional measurables are reported to the Head of Facilities.
· Assist local management teams with planning and undertaking repairs and refurbishment as well as the day-to-day maintenance of Family Action assets (properties and equipment) in conjunction with the relevant budget holders and landlords.
· Monitor and respond to tickets raised within the Facilities helpdesk system (SalesForce), as well as all relevant emails sent to the Facilities mailboxes.
· Collaborate with stakeholders and suppliers, including the engagement of new suppliers and nurturing of existing relationships through meetings and KPIs.

· Member of IWFM to at minimum at Affiliate level (or equivalent).
· Trained to IOSH Managing Safely Level.
· Good working knowledge of standards and legislation applicable to Facilities Management.
· Experience of delivering site relocation and mobilisation projects.

· Experience of setting up new properties, developing systems, and manging projects.

DUTIES AND RESPONSIBILITIES
Planning and Coordination

Act as the first point of contact for Tour Managers, Agents and Artists, fielding initial production queries and questions about the venue, schedule etc.

Support the Director, Music Programmer and Technical team in developing and maintaining excellent working relationships and clear communication channels with artists, partners, promoters, producers and other ICA departments.

Be responsible for coordinating and communicating all pre-production and delivery requirements with in-house departments including Finance, Operations and Visitor Services, Technical, Marketing and Communications. Including, but not limited to, FOH staffing requirements, Technician requirements, Security and Cleaners.

Work with the Technical Manager on technical and staging requirements of each event to ensure that rider specifics can be achieved within agreed budgetary parameters. Meet regularly with Technical Manager to ensure good channels of comms with tech team.

Undertake planning and administration for own promotions, including booking hotels and travel in liaison with the artists and providing necessary transport as per contractual agreement.

Complete Certificates of Sponsorship or Letters of Invitation for all non-EEA artists (as required) and supply info to artists who wish to apply for FEU tax exemptions/reductions as necessary.

Order riders and booking event catering within agreed budgets, as required.

In the instance the event is live streamed, ensure that we secure the relevant rights for broadcast.

Liaise with programmers, promoters and internal departments to make the necessary arrangements for performance by high profile artists.

Create Function Sheets, used to brief other internal teams, for every event.

Coordinate and communicate event timings with the ICA Bar team, including requests for late closes and early opening.
Contracts and Budgets

Issue approved and signed off contracts from the Music Programmer based on deal memos agreed and provided by the Music Programmer and ensure that these are confirmed, communicated, and understood by relevant parties before events are put on sale.

Work closely with the Music Programmer to track budgets (which will be initially set by the Music Programmer) and report final figures after each event.

Annual reporting of ticket income to PRS

Reconcile budgets, manage post-concert settlements and ensure invoices are paid following all live events, feeding final budget figures back to the Music Programmer.
Ticket On-Sale Process

Monitor box office sales during pre-production and provide final settlements to the Music Programmer and external promoters as required.

Provide information and communicate arrangements for the sale of merchandise, programmes and any other ancillary commercial activity in conjunction with the Bookshop Manager.
Event Delivery

Attend and manage on-the-day event delivery for approximately 2 shows a week (a rough estimate, although may increase or decrease at different times of the year).

Work with the Executive Producer to produce monthly rotas for Event Supervisors to cover attendance of live events.

When allocated and agreed with the Music Programmer, to attend and oversee rehearsals, soundchecks and performances in the ICA Theatre, acting as the first point of contact on behalf of the ICA.

Any other appropriate duties as required by the Director and Head of Artistic Programmes. This may include occasional event management of dance and live performance projects.

Who: We are looking for an experienced, self-starting Finance Manager for the Central Foundation Schools of London, a charity supporting two state schools in London, with investments and endowments in the region of £40m.
Responsibilities: The Finance Manager will be responsible through the CEO to the Board, for day-to-day management of the charity’s accounts and all financial operations. They will manage the financial record keeping, payroll, pensions, banking and oversee the tracking of Foundation’s investments and income. The postholder will provide accurate financial management information, including quarterly cashflow forecasting and management accounts and co-ordinating the annual budget setting process. They will be responsible for preparing the annual accounts to the required standards and overseeing the annual audit process. They will also provide advice on a range of operational issues to ensure sound asset management, value for money and compliance with statutory requirements relevant to the charity’s financial operations. They will contribute to the shared leadership of the organisation including collaborating on the implementation of the Foundation’s strategy.
Our Work: For over 150 years, the Central Foundation Schools of London has supported two schools in inner London. Between them, the Girls’ School at Bow Road, Tower Hamlets and the Boys’ School is based in Cowper Street, Islington provide places to over 2,500 young people. Today, the Foundation continues to benefit students at these two schools while also supporting the schools to strengthen the opportunities, facilities and educational excellence for current and future students.
Our People: We are a small team with three part time staff managing the day to day work of the Foundation. A Board of 18 trustees/directors volunteer their time and skills and collaborate closely with the small staff team. In 2022 the Board started a process of transformation and modernisation of the charity’s operations and processes. In 2023, alongside refreshing our governance, supporting two major building programmes and updating our financial operations, we established our first strategy addressing how we can best support the Schools over the next decade and more.
The Role: To support the exciting opportunities presented by the new strategy, Central Foundation Schools for London are recruiting a permanent Finance Manager to provide professional management of the charity’s accounts, ensuring the charity’s operational effectiveness and efficiency, accurate financial management information and advice, preparation of the annual budget, management of our investment portfolio as well as compliance with statutory for the production of the Annual Statutory Accounts in compliance with latest SORP and legislation.
Experience: We are looking for a fully qualified accountant with good post-qualification experience with the ability to work independently and lead the charity’s financial operations.
Hours: Working 2 days a week, the appointed candidate will have the flexibility agree their working pattern with the chief executive. Ideally, the new Finance Manager would work Tuesday or Wednesday (or both) on site in the Foundation office when other staff members are also on site.

The Fundraising Officer at the Childhood Eye Cancer Trust (CHECT) supports a wide range of the charity’s activities, including but not limited to, helping to develop and grow income from individual donors with a focus on developing strong relationships with donors and families; as well as assisting with CHECT’s overall admin and operations.

Purpose of the role
The Facilities Manager will be a key member of NAE’s operations team, responsible for overseeing the maintenance and operations of our 4-storey building (including gallery spaces, meeting rooms, performance space, workshop, artist studio, cafébar, plant room and technical storage) is fit for purpose.
Main duties of the role
Oversee planned preventative maintenance (PPM), testing/inspections, and reactive repairs across all building services including but not limited to plumbing, electric wiring, HVAC, lifts, film alarm, emergency lighting, fire extinguishers and suppression systems, intruder alarm, CCTV, access control, pest control, etc, within budget.
Ensure NAE’s building is always well-presented, clean and aesthetically in a good state of repair, ensuring all areas are maintained in a tidy and well organised.
Responsible for the management of the facilities budget, including negotiating the best possible value across utilities, contracts and service level agreements.
Ensure all maintenance and service works take place with agreed SLA’s, is delivered on time and to budget and service reports and other filing is well managed.
Responsible for Health and Safety across the building and organisation including health and safety policy, fire strategy, risk assessments covering all areas of the building and specific RAs for each event, safe systems of work, accident/incident reports and compliant filing.
Responsible for building security systems, keys and fobs, alarm monitoring and keyholding services, and alongside the General Manager oversee emergency procedures & act as a fire warden.
Responsible for premises cleaning (including line management of two part-time cleaners) and associated services such as waste management and sanitary collections.
Support the Executive Director to develop and implement an Environmental Policy to ensure that NAE considers the environment within all new and existing suppliers’ arrangements.Responsible for carbon footprint reporting.

Location
We all work from home, however travel and overnight stays are required as part of the role. You'll attend around three symposia a year, which usually run from Mondays to Thursdays and are currently held in the Lake District. You'll also attend up to three half-day meetings in London a year, which may require overnight stays depending on how far away from London you live. The biennial prizegiving ceremony is also held in London. It would be helpful if you had a full UK driving licence and access to your own car.
