Would you like to help send donated medicines around the world to those who do not have access to live-saving medicines? IHP is recruiting a Logistics Officer to become part of our growing logistics team who coordinate the safe and responsible donation of medical products to where the needs are greatest, so that people don’t suffer needlessly from treatable illnesses.
As a Logistics Officer you will play an integral role in IHP’s work arranging the shipping of donated medicines and medical supplies, for example our essential health packs and antibiotics, ensuring their secure transportation to diaster hit and vulnerable communities such as Sudan and Gaza.
Your responsibilites will include:
- Securing cost effective shipping quotes from some of the largest freightforwarders in the UK
- Preparing shipping documentation
- Ensuring shipping files are accurate and kept up to date
- Communicating regularly with our donor companies and receiving NGO partners
- Updating offers on our management system
Who you are:
- You'll have administrative/record keeping experience or demonstable transferable skills
- A dedicated team player who enjoys working well in a small team as well as autonomously
- Adaptable and can meet competing priorities, deadlines and tagets
- Possess strong attention to detail and accuracy and be numerically minded (Intermediate Excel skills desirable)

The role
This important role sits within our Supply Chain and Logistics team, responsible for processing offers of surplus food from our food partners into our network of Regional Centres and the wider community. This role is essential in ensuring that the food we are offered reaches the thousands of charities and community groups we support across the UK.
The role is a combination of customer service provision and supply chain coordination with a strong data focus. You will analyse varied datasets to decide how food is distributed across our Network to ensure optimal and sustainable distribution. You will also be responsible for continuing and championing the high levels of customer service we provide to the food industry and our network of Regional Centres.
You will work closely with FareShare’s food suppliers, transport partners, and our Regional Centres to identify and overcome operational challenges to distribution. The successful candidate will also work closely with our Food Commercial team to ensure our food partners receive excellent operational support and customer service. We are continually evolving our processes and you will work within a culture of continuous improvement to improve operations within the team.

Main areas of responsibility
Food Industry Customer Service
- Deliver excellent customer service, ensuring offers are responded to and processed within agreed service level requirements

Role Purpose

The purpose of this role is to provide high-level general administration for the Quality and Standards team who is responsible for raising standards through the learning lab educator platform, using benchmarking resource products, to empower young people and champion future skills.

- Furniture Making T-Level conference – Working with the Chair of the Education and Training Committee and selected members to plan, organise and implement a one-day conference on the practicalities of overing the Furniture T-Level in an educational setting.
- Organise and attend several regional career fairs and trade shows to promote the education and training initiatives and encourage young people to consider a career in furniture and furnishings.
- Plan and organise the content of an Education and Training slot at the annual Furniture Makers’ HR Conference to highlight key events and programmes.

Grants
- Administer a small annual grants scheme supporting colleges and universities which provide specialist furniture and furnishing education courses.
- Manage a travel bursary scheme to support exhibitors attending the Young Furniture Makers Exhibition.
Website
- Administer the jobs board featured on the My Furniture Career website, screening and approving posted vacancies as well as liaising with those posting jobs to confirm the status of the vacancy, sharing data once the vacancy expires and collecting feedback data from the poster.
- To work with the Digital Officer to agree a schedule of content for the website and its associated social media.
- Work with the Communications Manager and Digital Officer to promote the use of the website by the targeted audience group as well as the HR community to post vacancies to the jobs board.
- Produce a quarterly report detailing the usage and any highlights regarding the website.
- Report any technical issues to the website provider and liaise with them to fix the issue.
Reporting
- Quarterly reporting on activity and budget to the Education and Training Committee.
- Supporting the Committee Chair by setting up Committee meetings and taking minutes.
- Supporting the Committee Chair with any other administration as necessary related to the Committee.
- Assist with any ad hoc administration as necessary related to the FIESTA Committee.
Miscellaneous
- Assisting the Education and Training Committee Chair with any administration in regard to the Masters Certificate Scheme.
- Send quarterly feedback surveys mentoring participants and collect the data for reporting purposes.
- Work with the Communications and Marketing Manager to promote Education and Training events.
- Keep the Education and Training budget up to date and process all invoices in a timely manner.
- Report back to all event sponsors after any Education and Training sponsored event to keep sponsors updated and aware of the events successes.

Specific responsibilities
An applicant appointed to the role will be expected to:
- Work effectively with others to develop funding proposals for CSE projects.
- Lead the response to competitive Invitations to Tender, which require a specific and timely response to a client’s brief and the ability to highlight and sell relevant CSE strengths and expertise.
