Inter Mediate

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Manager will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. You will be familiar with the fast and sometimes unpredictable pace of an international operating environment, and confident in handling challenges as they arise. You will be comfortable working collaboratively within a small team and engaging credibly with a wide range of people from senior government officials to project interlocutors in the field.

Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.
• Manage day-to-day HR functions and queries, including leave recording systems.
• Conduct staff remuneration and salary benchmarking exercises with the Deputy CEO.
• Update and maintain the employment handbook policies and procedures.
• Oversee office operations, equipment and facilities management.

C) IT, Security and Risk Management

• Ensure that the IT and communications systems are optimally configured for effectiveness and security, and that staff can operate them as necessary.
• Ensure Inter Mediate has robust risk mitigation systems and training for staff.
• Ensure Risk Assessments and security plans are completed by staff prior to staff travel.
• Ensure Inter Mediate has a viable business continuity plan.
• Maintain and review the Risk Register for the organisation with the Deputy CEO.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

Working at Inter Mediate

A normal working week consists of 35 hours (or pro rata for part-time). Our office operates between 8am and 6.30pm with core hours from 9.00am to 5.00pm. Inter Mediate operates a hybrid working model, with at least 2 set days per week in the office in London.

About the role

Reporting to the CFO, the Head of Finance is responsible for leading a team of 5 and overseeing the day-to-day financial management of the charity, supporting and developing its financial strategies. In collaboration with the Charity’s Executive Team, the role is responsible for safeguarding the short, medium and long-term financial health of the organisation. This includes all financial reporting requirements, treasury management (overseeing the organisation's cash and liquidity performance) and the management of the annual budget and financial planning processes. Areas of responsibility will include:

Financial Strategy and Policy

• Support the Charity’s Executive Team with ensuring the short, medium and long term financial health of the organisation
• Collaborate with the Charity’s SMT to prepare business cases and financial models to support new business activities and investment proposals
• Review and update the charities financial policies
• Cultivate a support structure across the organisation where the finance department acts as a trusted business partner for operations and management

Reporting

• Oversee all financial reporting processes for the Charity, ensuring that accurate, timely and relevant information is disseminated across the organisation
• Work with the SMT to identify areas to improve the reporting processes

Statutory Reporting, Audit & Risk

• Manage the Charity’s financial statutory compliance for both audit and regulatory matters and oversee the finance risk register
• Lead the year-end audit process, including the preparation of audit schedules, reconciliations and acting as a key point of contact for the auditors
• Prepare the financial disclosures sections of the Charity ‘s annual reports and the accompanying narrative to explain the financial performance of the year
• Support the Charity’s regulatory compliance responsibilities, particularly with the financial elements of ESFA funding guidelines. Prepare financial returns, financial health assessments and other submissions to ensure that ESFA requirements are fulfilled.

Cash Flow Management

• Monitory the Charity’s cash flow, manage the working capital controls and produce cashflow reports and forecasts
• Oversee the Charity’s cash flow management processes and report on cash flow performance against budget and forecast targets.
• Prepare weekly cash flow forecasts which provide a consistently reliable understanding of the organisation’s cash flow position over the financial year.

Finance Department Development

• Design and implement learning and development frameworks for each member of the Finance department.
• Ensure that each member of the Finance department is sufficiently supported to fulfil their performance development goals.

About you

• Qualified Accountant (ACA/CIMA/ACCA or equivalent)
• Experience of audit and preparation of annual financial accounts under UK GAAP and understanding of Charity SORP
• Experience of leading and developing Finance teams
• Experience working within the Charity or Education sectors (experience working with ESFA funding is preferable)

Delphside Limited is entering an exciting phase of change, but is mindful of the challenges the mental health care and charity sector as a whole is facing.

The Director of Finance Business Partnering (Operations) is a critical role within the Financial Strategy, Planning & Performance division that will lead, develop and deliver high quality finance business partnering and decision support to all the central services of the university, including providing financial planning, reporting and insight across revenue and capital funded activity. 

You will support the senior Director of the Financial Strategy, Planning & Performance function in development and improvement projects. Examples include the development of a professional competencies framework to support career progression and performance at all levels, supported by learning and development opportunities, improving key processes, resource allocation and financial planning methodologies, and reporting on financial performance.

As part of the function’s senior management team, this role will lead a team of finance business partners who will provide outstanding partnering services to our central services including large functions such as Estates and Facilities, IT, Students & Education, Research Management and on other crucial ‘head office’ activities. Working closely with the corporate reporting team on the provision of management accounts, you will lead on financial performance support in-year and across our three-year financial planning framework. Job Description: Finance Director (Part Time)

Reporting to: Chief Executive Officer (CEO)

Responsible for: All Financial matters of the National Energy Foundation (NEF)

Summary

Salary: £50-55k

Hours: 22.5 hrs per week

Location: This role can be home based, although weekly travel to head office in Milton Keynes will be required.

NEF Summary:

At the National Energy Foundation, our team is forward thinking in its approach to home energy and uses its influence and projects to make meaningful change. Our primary focus is delivering projects aimed at alleviating fuel poverty and helping residents to feel warmer, healthier and more comfortable in their homes whilst also helping them cut the cost of their fuel bills. In the next five years, we will seek to help more than 170,000 households out of fuel poverty. Beyond this, we seek to encourage homeowners to make improvements to their homes to increase energy efficiency. To enable this, we deliver several projects aimed at encouraging retrofit of energy efficient heating systems into UK homes.

Job Role

The Finance Director will work with the CEO and the Finance team to collaboratively drive the development and delivery of the NEF’s strategic plans and budgets. The Finance Director will be a member of the NEF’s Senior Management Team (SMT) and will attend the quarterly Trustee Meetings.

Not only will the Finance Director take accountability for the day-to-day transaction processing, ably supported by an effective Finance Team of 3 people, they will take the lead on the budgeting, planning and analysis processes, developing a range of processes and reports to enable effective decision making.

The Finance Director will be the key contact for and work with the auditors, HMRC and other professional advisors and regulatory bodies to ensure that the organisation remains compliant and fulfils its legal responsibilities.

Management

o Manage the Finance function, providing leadership and support to the Finance Manager and their team of 2 analysts to ensure they are all able to carry out their responsibilities to the required standard.

o Provide strategic financial guidance to ensure that the NEF meets all its objectives.

o Contribute to the company’s overall business objectives and guide on financial strategy.

o Act as support and “Critical Friend” to the CEO, deputising for them where required.

Audit, Accounting & Reporting

o Take accountability for the production of timely and accurate financial reports, meeting the deadlines set by the CEO and the Trustees.

o Take accountability for all transaction processing including payroll, invoicing customers, and supplier invoice payments.

o Continually develop the reporting output to ensure that it meets the ever-changing requirements of the NEF and its Trustees.

o Be accountable for all finance systems, making recommendations for their development and implementing changes as necessary.

o Maintain relationships with the auditors, the banks, and other professional bodies.

o Work with the CEO and Trustees to compile and submit the Statutory Accounts and associated documentation.

Budgeting Planning & Analysis

o Working with the management team, set, monitor, and manage departmental and project

budgets.

o Develop and maintain a financial risk register to identify and mitigate against any potential financial challenges facing the NEF.

o Work closely with the Finance Manager and the COO in monitoring the financial performance of the projects and NEF central costs.

o Provide insightful analysis of any variances, making recommendations on how to maximise performance.

o Work with the Business Insight Lead to provide appropriate, timely and accurate information, advice and guidance to the CEO, the SMT and the Trustees.

o Agree the policy for reserves with the Trustees and monitor and maintain compliance to ensure the sustainability of the NEF.

o Support the CEO and Business Development Manger in the preparation of bid tenders and responses

You'll be responsible for the Business Partnering of some strategically important areas across the Group, supporting them to deliver their financial targets by developing trusted relationships and working alongside ELT members and budget holders to produce their finance model, annual budget and termly forecasts.

You'll influence and negotiate with senior colleagues and provide technical and strategic insight to ensure AaA reaches its financial targets. You'll lead on the monthly management accounts and reporting process, providing financial advice and support to projects within key departments and ensure that budgetary implications of projects are understood and dealt with appropriately.

The role would suit either a qualified accountant (can be recently qualified) who trained at a top 15 private accountancy firm/equivalent public body (e.g. NAO) or an experienced finance business partner.

We are looking for someone who:

• Has an accountancy qualification (ICAEW/ACCA/CIMA/CIPF);
• Can rapidly build understanding in a complex new environment and who can work independently, exercising judgement while not under close supervision;
• Has knowledge and experience of strategic finance and business planning;
• Has either knowledge of the Charities Statement of Recommended Practice (SORP) (FRS 102) 2019, or knowledge of IFRS or FRS102 and the ability to quickly learn the differences under the SORP (with support from colleagues); and
• Has proven experience of working closely with stakeholders at varying level of seniority.

We’re looking for a qualified accountant to join our team and provide operational leadership for the Charity’s Finance function, supporting the Director of Finance & Governance and providing line management for our friendly finance team.

You will be responsible for ensuring The Charity complies with statutory requirements, operates effective controls, provides meaningful insight on financial matters and adapts processes to suit our growing Charity.

You will take a lead on statutory compliance such as audit, tax and Charity Commission submissions. You will work with the Finance Manager to ensure the integrity of finance records and systems, the accurate and timely production of monthly management accounts, making of payments to Team Members and suppliers and ad hoc reporting.

You will take a leading role in budget preparations and forecasting.

Who we’re looking for:

A qualified accountant with at least five years’ experience in a similar role from any sector. You will have experience of and be comfortable with filing VAT returns, preparing statutory accounts, dealing with auditors, and managing a small team.

· Accurate recording, reporting and use of restricted funds

· Review and commentary on finances and significant variances for Finance Committees

· Cash flow planning and management

· Banking compliance e.g. updating mandates
