Miraculously they were all empty at the time of the disaster. Due to the extraordinary generosity of donors, EFA has substantial funds to support an extensive program of rebuilding

As Finance & Operations Administrator you will have a key role to play working closely with the trustees and Head of Fundraising & Communications to co-ordinate activities,  to ensure day to day operations in the UK run smoothly.  

The role as advertised covers a broad range of activities. However there will be peaks and troughs of workload. 

This job is for you if you are:

-  A qualified accountant or bookkeeper with experience of Xero ideal (training can be provided).

- Confident working with Microsoft Office (Excel & Word) & Shared drive (eg, GoogleDocs).

- Comfortable working with a variety of IT packages, or learning how to do so 

- Very organised, able to take the initiative, able to work independently.

- Experienced working in a small but ambitious organisation, or are confident you can adapt to such an environment

- Able to be flexible in terms of work load.

In a typical month you’ll:

-  Support the Chair of Finance; preparing monthly accounts. Processing receipts and payments for bank reconciliation; invoices and expense claims.   Filing finance documentation. Maintian the restricted v unrestricted donation records, Gift Aid schedules, HMRC returns.

-  Support  the Head of Fund Raising and Communications, liaising with donors (sending receipts, requests for information), researching potential donors, preparing grant applications, ordering brochures and marketing information. Acting as a day to day point of contact. 

- Support the Chair and Vice Chair of Trustees;  helping to prepare and distribute monthly meeting agendas, supporting papers, co-ordinating virtual meeting schedule, drafting and distributing minutes, .- 

-  Support the Chair of Governance ensuring Trustee and Staff Handbooks (policies and protocols), risk register, are uptodate and accessible via the website portal. Lead the administration process for the recruitment of trustees and staff, including the preparation of candidate packs, advertising, induction. Oversight of the EFA Partnership Agreements.

- Support the Chair of Educaton re liaison with relevant external auditors (safeguarding, health and safety, risk). Linking with Moroccan partners to agree on timing and arrangements for audit visits. Ensuring reports are available to trustees as agreed. 

- General ad hoc support to trustees, staff and external stakeholders as required.

Prior to the Al Haouz earthquake in September 2023 EFA funded six boarding houses, enabling young women to access senior school education. Five boarding houses were destroyed. Astonishingly, no girls or staff were in them at the time.

We are unashamedly ambitious to build on EFAs transformational work over the last two decades. Our Covid Recovery Strategy focussed on widening our impact, and the earthquake has just made us even more determined to deliver on our promise, because we have never been more relevant.

Due to the extraordinary generosity of donors, we have funding in place to support a major rebuilding programme. However we don't want to simply rebuild. Due to covid and the earthquake there is a lot of catching up to do.

As Head of Fundraising & Communications you will work with the trustees to deliver the strategic vision, by developing and implementing a  successful fundraising and communications strategy.  A new website is under construction and the successful applicant will play a leading role in determining its fundraising functionality, content, and messaging.

-Liaise with Moroccan partners, co-ordinate marketing, and fundraising activities.

-Work with donors, developing a range of benefits, events, and engagement opportunities.

-Working with trustees, prepare a monthly update report.

-Manage administrative and compliance tasks including a budget, logging donor communications into the database etc. 

-Evaluate the impact and update policies and procedures.

Position: Head of Fundraising & Communications

Responsible: to Deputy Chair Finance Committee

Location:  remote, withoccasional meetings in London. An annual strategy weekend in Marrakech in November. 

Hours: 35 hrs per week (compressed).

Salary: £40,000 £42,000 per annum.

Job Purpose

The purpose of the Programme Coordinator is co-ordinate with all parties (Community Engagement Manager, the Programme Manager, LMK Leaders and the host organisations) to enable LMK to deliver high quality workshops for young people/youth work professionals/workplaces. 

Acting as the lynchpin of the organisation’s delivery team, the Programme Coordinator takes the workshop brief from the LMK Community Engagement Manager and then works with the Programme Manager to secure facilitators (LMK leaders), ensures the host organisation receives all supporting information, and provides LMK Leaders with the resources they need to deliver the workshop effectively. This role is also responsible for regular reporting about workshop bookings and delivery. 

Reporting to our CEO, the successful candidate will be part of LMK’s core staff team. You will work with LMK staff, LMK Leaders, members of our Youth Advisory Board, trustees and key stakeholders to develop and implement our long-term strategy. 

Key responsibilities: 

• Provide excellent customer service to organisations who are hosting LMK workshops, ensuring that all communication is timely and accurate, and any questions are responded to in full.

• Liaise with the Programme Manager and LMK Leaders to ensure there is clear understanding around their areas of expertise, availability and any specific considerations that need to be taken into account when delivering workshops.

• Open up opportunities to deliver workshops to any Leader applicable, ensuring the allocation of workshops is done fairly and consistently.

• Ensure LMK leaders have the information and resources required to deliver their workshop.

• Work closely with the Research and Evaluation Manager to ensure that the correct evaluation surveys are made available to workshop participants. 

• Work with our Head of Fundraising to track workshop delivery against funder commitments.

• Keep the CRM system data up to date in a timely way.

• Produce regular reports for the CEO on the booking and delivery of workshops, as well as any ad-hoc reports requested. 

• Share Leader evaluation feedback from workshops with Leaders.

• Check invoices submitted by LMK leaders, and work with the Programme Manager to get them approved. 

• Support the Programme Manager to organise LMK Leader Huddles and training events.

• Comply with our policies and procedures relating to safeguarding, confidentiality, complaints and data protection.

Person specification

• At least 2 years’ experience in an event management/admin management/executive assistant/operations role where there was a strong requirement to work with multiple stakeholders internally and externally.

• Excellent communication and interpersonal skills, with an excellent track record of customer service.

• Proven ability to work well within a team.

• Highly organised to manage a diverse workload with excellent time management and ability to pay attention to detail.

• Excellent organisational skills, with a keen attention to detail.

• Creative thinker with the ability to problem-solve and adapt in a fast-paced environment.

The Branch Manager will manage the business activities associated with the Branch, per the Society’s rules and on behalf of the Branch Trustees. The Branch Manager will work alongside the Animal Care Coordinator in maintaining RSPCA Welfare standards and recruiting fosterers.

General Management

• Undertake all admin duties as defined by the Trustees.
• Responsible for the recruitment of animal fosterers and volunteers, alongside the Animal Care Coordinator.
• Create and implement an animal welfare awareness programme for children under 10.
• Attend Branch Trustee meetings and present relevant information (1 evening a month).

Role Information

The Finance Manager is a key strategic role within the organization and will be part of the Senior Leadership Team.  The post holder will work at a strategic level and attend and be answerable to the Board of Trustees in the areas of Finance, Compliance and Risk and undertake the position of GDPR lead on behalf of the organization working within the wider Senior Leadership Team that includes a CEO, Business Development Manager, Training and Development Manager and Operations Manager.

As Family Gateway enters into year 2 of its 3-year strategic plan, this is an exciting time in which the Board of Trustees, Senior Leadership team, staff and volunteers will shape the future of service delivery for the community that it serves in Howdon and Wallsend and as it reaches beyond and across the North East with its Barefoot Professional Model of service delivery with steady growth in mind.  The post holder therefore will be required to have a good understanding of the political and funding landscape and be able to form good stakeholder relationships.

The post holder will manage a small core staff team and will oversee the day-to-day financial operations within the company, including Payroll, Debtors, Creditors, and Banking. The post holder will be responsible for Budgets, Management Accounts, Taxation, and all income streams including Grant Funding. In addition, the postholder will ensure all statutory and regulatory requirements are met, Companies House and the Charity Commission. The post holder will also be the key contact for auditing, and other financial needs as necessary and will track the company’s financial status and performance to identify areas for potential improvement. 

The post holder will also seek out methods for minimizing financial risk to the company and research and analyze financial reports and market trends.  The post holder will also be responsible for the management of Family Gateways assets, IT and quality assurance systems and will ensure Family Gateway is complaint in all areas of risk, governance and business.

Key Accountabilities:

• To be responsible for the oversight of all Financial Services including risk management systems and processes within Family Gateway reporting directly to the CEO.

• The post holder will stay up to date with technological advances and accounting software to be used for financial purposes and oversee all IT and data functions within the organization

• Establish and maintain financial policies and procedures for the company

• Understand and adhere to Statutory and Regulatory financial regulations and legislation, including Companies House and The Charity Commissioners.

• To oversee the day-to-day management of the organizational risk register ensuring it is up to date and prepared for sub committee

• To write and/or contribute to the writing of tenders and grant applications and where appropriate collate information to aid the reporting requirements of funders

• To manage a small core function team as directed by the CEO providing regular supervision, performance management and annual appraisals.

• Be responsible for the maintenance and management of the Contracts Database ensuring all information is uploaded or removed as appropriate and that regular monitoring of this information provides information to the CEO and other managers in order to inform sound project management delivering projects to scale, to time and within budget

• To work in partnership with operations staff and The Senior Leadership Team (SLT) supporting the maintenance of an effective IT and CRM system which in turn will measure project data and produce KPI’s.

• Liaise with IT provider to ensure Cyber Security integrity measures are in place and working effectively. Control and Monitor IT access via Role Permissions and Passwords.

• To Control and Monitor as the GDPR Lead for the organization, keeping up to date with ICO registration and guidance and overseeing a robust Data Breach Register, ensuring all staff are trained annually in line with company policy

• Produce accurate and timely financial management information on a monthly basis to support decision-making and to present information to the Board of Trustees, attending Board meetings as required

• Establish and maintain appropriate, robust and secure financial recording processes for purchasing and payment of items and management of petty cash, including Cash Floats, Fixed Asset Register, Banking, and Taxation including VAT.

• To produce and prepare annual budgets and cost scenarios for the Board of Trustees, CEO and SLT and to host monthly finance reviews with SLT

• To ensure timely payroll data is prepared, checked and processed prior to submission to third party provider and thereafter import to Finance system via journal entry. To oversee appropriate pension and insurance provision is in place on behalf of the company and that legal compliance is followed.

• Prepare ad hoc financial and activity information to support new project development plans as required

• To engage fully in management meetings, supervision and appraisals

• Demonstrate professionalism, tenacity and empathy in their work

• To undertake any reasonable task as requested in line with the senior nature of this role

The Role  

This is a fantastic opportunity for a professional with up to 3 years of experience in administration which includes administering and monitoring databases. The post will provide the Team with accurate, timely and comprehensive data, reports and minutes to support and enable effective grant making and decision making. The post plays a crucial role in supporting the whole Team in the UK and in Africa with the potential for visiting Egmont Partners and projects in southern & eastern Africa. 

The successful candidate will be highly IT competent, possess good written communication skills and have a positive attitude and strong desire to help meet the objectives of this small but very effective international development charity. A keen eye to detail, a methodical and analytical mind are critical requirements of the role. The ideal candidate will be young self-motivated, capable of working as part of a team and under their own initiative. Strong IT knowledge and experience in MS Office and data administration are essential requirements of the role. 

Flexibility will also be a key attribute. They will be part of a small team who have overlapping responsibilities and support each other in the delivery of Egmont’s strategy. We are delighted to be partnering with The Leche Trust in the search for an experienced, highly organised Grants Director.

Established in 1950 through the endowment of its founder, Angus Acworth, The Leche Trust is an independent funder dedicated to supporting charities in the performing arts and heritage conservation sectors across the UK. With an annual distribution of approx. £240,000 in small grants, the Trust plays a vital role in nurturing cultural heritage and artistic endeavours. As part of its ongoing commitment to excellence, the Trust is transitioning to become a Charitable Incorporated Organisation in 2024.

As the sole employee of The Leche Trust, the Grants Director will spearhead the Trust's operations and day to day management, providing invaluable support to the Trustees while managing relationships with external stakeholders and funding networks. The successful candidate will play a pivotal role in administering grants, overseeing governance and secretarial duties, managing financial administration, and facilitating effective communication both internally and externally.

Example of responsibilities:

• Manage the grant programme and smaller funds for conservation bursaries and research projects.
• Review and process grant applications, compile final grant recommendations for board review and notify applicants of decisions.
• Oversee grant contracts, payments and ongoing communications with grantees.
• Conduct light touch monitoring of funded projects and share insights with trustees to inform future strategy.
• Prepare meeting agenda and papers in consultation with the Chair of Trustees.
• Record accurate minutes of meetings and manage administrative tasks related to governance.
• Develop annual budgets, monitor expenditure, liase with auditors and investment managers to facilitate financial reporting and management.
• Respond to all enquires as required.
• Maintain the Trusts' online presence, ensuring website is kept up to date.
• Collaborate with other grant-making charities on ad hoc projects.

The Grants Director requires an ability to work independently, self-direct and prioritise.

We're looking for someone who's experienced in grant making process and systems, who also has knowledge of good practice in charity administration and governance. They will require excellent communication skills and have some experience working directly with a board of trustees. We're also looking for someone who has a good understanding of either the UK performing arts sector or the UK heritage conservation sector.

You will be expected to maintain all existing relationships with grantees, as well as manage funding calls, applications, legal and financial elements, and reporting.  You will have a strong understanding of research, a can-do attitude, and the appetite to work in a small, dynamic organisation.

You will be educated to degree level or above in health sciences, life sciences or with equivalent relevant experience. With experience of developing, monitoring, reporting and delivering multiple projects simultaneously, you will also be able to communicate complex scientific concepts in a clear and accessible way and be able to plan, budget and monitor grant award expenditure and be comfortable taking decisions and responsibility.

Safeguarding Manager

Salary Range: £44,000 pro rata equivalent

In2scienceUK’s aim is to promote social mobility and diversity in science, technology, engineering and maths. We do this by leveraging the skills and passion of researchers and STEM professionals to support young people (16+) from low socio-economic backgrounds to achieve their potential and progress to degrees and careers in STEM.

The successful applicant will be joining In2scienceUK at an exciting point in its mission having recently launched a number of new initiatives, both in-person and online, to support young people build the skills, knowledge and confidence to build successful careers in STEM.

Role Summary:

We are looking for an experienced Safeguarding Manager to join our growing team and own our safeguarding processes end to end. This is a crucial role to ensure the safety of the young people we work with and that In2scienceUK provides a safe environment for all.

This role is part time and contract based and would be ideal for someone who has significant experience of safeguarding and child protection law, as well as experience

in carrying out safeguarding audits, implementing safeguarding processes for both in person and online offers, as well as internal and external safeguarding training.

Duties and Responsibilities:

• Review and audit existing safeguarding practices and procedures throughout the organisation.

• Manage and deliver a plan to improve practices and ensure compliance with all relevant legislation and guidance.

• Produce safeguarding policies, codes of conduct, and any other documentation needed to meet our commitment to safeguarding.

• Design and deliver effective in-person and online safeguarding training and guidance for trustees, staff, volunteers, partners and beneficiaries.

• Provide safeguarding support and guidance for our volunteers and partners, particularly concerning work experience placements and mentoring.

• Manage safeguarding concerns and disclosures as they arise, and escalate concerns in line with our safeguarding policies including making external referrals. 

• Ensure that our safeguarding records and processes are in compliance with Child Protection Law and GDPR regarding the processing of data and acting as a data controller.

• Responsible for fostering a culture of ‘safeguarding first’ across the organisation and with our volunteers, ensuring that our activities are designed with safeguarding embedded. 

• Stay up to date with all legislation and guidance on Safeguarding, child protection and protecting Adults at Risk within locations In2scienceUK operates and provides a single point of contact for this support - currently England, Wales and Scotland with ambition for future expansion.

• Support with the development of any policy, guidance and practice that relates to safeguarding our stakeholders, e.g. the legal status of work experience hosts, health and safety, DBS checks.

Knowledge and Experience:

Essential:

• Level 4 safeguarding accreditation.

• Strong existing knowledge of safeguarding and child protection laws in England, Wales and Scotland.

• Experience of implementing safeguarding processes to online, in-person and residential programme delivery designed for young people 16+.

• Experience of designing and delivering relevant training appropriately tailored to different audiences.

• Experience of working across departments and with trustees to produce appropriate processes and policies.

• Experience of dealing with being the first point of contact for complex cases for both children and adults at risk and making necessary referrals.

• Existing knowledge of Data Protection and how it applies to Safeguarding.

Desirable:

• Previous experience working with work placement and/or mentoring programmes and legal requirements for carrying these out.

• Previous wellbeing, counselling or similar training.

• Mental Health First Aid training
