We are looking for a Head of Resources to join our team.

Emmaus Bristol is a local charity, working to help people out of homelessness. The work we do here changes lives.

This is a new role for Emmaus Bristol. Through our five-year-planning process we identified a new staffing
structure that will allow our charity to thrive and to grow. The Head of Resources is needed so that the core organisation runs smoothly, and policies, processes and systems allow the team to do their jobs efficiently and effectively. This will be crucial as we develop new streams of work, and help more people out of homelessness or into work.

The Head of Resources therefore, will have a key role to play in making Emmaus Bristol an effective charity.

This is a senior leadership role, but as we are a small charity, all roles are somewhat hands-on. You’ll need to be as confident discussing our reserves policy with trustees, as you would be resolving a cash discrepancy with a retail team member, and just as good at strategy as you are at detail.

You will be joining a friendly and enthusiastic team who are passionate about what they do, and you will be making a huge difference to people’s lives.

Main responsibilities will include:

Administration

• Be responsible for securing contracts by confirming booking information and working with the Head of Budgets, Contracts & Policy to ensure freelance trainer contracts and Service Agreements are in place

• Oversee the general administration of all APD functions including responding to customer queries and feedback

•  Process course bookings made via Thinkific and other platforms, ensuring all requirements are noted and passed on appropriately

• Ensure effective contribution of accurate and timely data required by Artswork and its funders / stakeholders

Finance

• Be responsible for APD budgets including raising sales invoices, reconciling payments and managing deferred income

• Follow anti-money laundering procedures to ensure APD sales are compliant with legislation

• Ensure all finance and operations processes and procedures are rigorously implemented in collaboration with the Finance & Operations team

• Produce budget forecasts for APD and provide monthly updates on current financial position to the Deputy CEO and Head of Budgets, Contracts & Policy

• Chase debtors and regularly report any overdue payments to the Finance team

Strategy

• Contribute to the APD growth strategy through ideas and practical solutions

• Work with the APD team and Deputy CEO in the development of new programmes, routes to market and audience development

Communications

• Help to maintain strong communication channels with all partner organisations and customers

• Provide administrative support in developing regional networks, contacts and partners

• Assist with the engagement of employers and partners for projects and programmes

Administration and Legal Compliance

• Maintain positive professional relationships with our participants, partners and stakeholders •

• Adhere to Artswork’s values and its policies and procedures, i.e. Equalities, Health and Safety, Data Protection, Safeguarding and Environmental policies

Job Summary

To take the lead in ensuring that appropriate arrangements for keeping children, young people and adults at risk of harm safe are actioned at MHI as part of a Designated Safeguarding team covering the Shout platform 24/7. The role is responsible for promoting the safety and welfare of children and young people on our platform, being a consistent and reliable presence on the Shout platform, and advising Shout Supervisors on safeguarding actions and practise while raising and recording safeguarding issues as they arise. 

Key Responsibilities

• To act as an MHI Deputy Designated Safeguarding Officer.
• Contribute to developing and reviewing MHI’s safeguarding and child protection policies and procedures.
• Alongside the DSL/Safeguarding Manager, contribute to ensuring that everyone working or volunteering with or for children and young people at MHI, including the board of trustees, understands the safeguarding and child protection policy and procedures and knows what to do if they have concerns about a child’s welfare
• Take a lead role in implementing MHI’s safeguarding and child protection policies and procedures: ensuring all safeguarding and child protection issues concerning children and young people who take part in MHI’s activities are responded to appropriately
• Take the lead on responding to information that may constitute a child protection concern, including a concern that an adult involved with MHI may present a risk to children or young people. This includes:
  • assessing and clarifying the information
  • calling in and recording all safeguarding issues as they arise.
  • supporting and responding to staff who raise internal concerns as well as supporting those who make external safeguarding referrals to police or Adult / Children's Services
  • making referrals to statutory organisations as appropriate
  • consulting with and informing the relevant members of the organisation’s management
  • following the organisation’s safeguarding policy and procedures

• Immediately referring cases to the Safeguarding Panel where there is a radicalisation concern

• Liaise with, pass on information to and receive information from statutory child protection agencies such as:
  • the local authority child protection services
  • the police
  • this includes making formal referrals to agencies when necessary.
• Record and retain child protection records according to legal requirements and the organisation’s safeguarding and child protection policy and procedures.
• Work closely with the management committee/board of trustees and Designated Safeguarding Lead to ensure they are kept up to date with safeguarding issues and are fully informed of any concerns about organisational safeguarding and child protection practice.
• Contribute to regular reports to MHI’s board of trustees on issues relating to safeguarding and child protection, to ensure that child protection is seen as an ongoing priority issue and that safeguarding and child protection requirements are being followed at all levels of the organisation.
• Be familiar with and work within inter-agency child protection procedures developed by child protection agencies working in partnership with MHI.
• Be familiar with issues relating to child protection and abuse, and keep up to date with new developments in this area.
• Attend regular training in issues relevant to child protection and share knowledge from that training with everyone who works or volunteers with or for children and young people at MHI.
• Attend team meetings, supervision sessions and management meetings as arranged.
• Hold safeguarding workshops and drop-in consultations for the ongoing training and support of MHI clinical and volunteer support staff.
• Work flexibly as may be required and carry out any other reasonable duties.
• Child protection leads must have received relevant safeguarding and child protection training that MHI require and that is specific to their role. This training should be refreshed regularly and they should keep up to date with any changes in safeguarding and child protection legislation and guidance.

Roots to Wellbeing project aims:

• Provide a safe and inclusive space for participants to receive weekly support.
• Help participants to connect with nature and socialise with others to feel happier, less anxious and less isolated.
• Support participants to access other beneficial services, where appropriate, including health, social and financial.
• Support participants to move onto outdoor work or volunteering with friends of groups where appropriate.
• Facilitate a positive journey through the service for participants to ensure as many people as possible can access the service.

The role 

The roles has four main areas of work:

1. Leadership and management:

• Lead the Roots to Wellbeing team to reach its goals. 
• Line manage and support three Mental Health Officers, each delivering Roots to Wellbeing on one site.
• Work with local communities and other team members to explore new opportunities for the project and develop solutions.
• Work with CEO and Head of Fundraising to secure funding for project development.

2. Project management: 

• Oversee the delivery and development of the project to meet key KPIs.
• Collate qualitative and quantitative data and produce impact reports for funders. 
• Support team to ensure administrative records are kept up to date, including but not limited to: maintaining accurate participant records, work programme, incident reporting, risk management, external outreach, website.
• Develop a thorough communications strategy and build on current local referral relationships to further embed the programme within the VCSE & Health sector.
• Ensure service standard and quality is consistent across sites and policies and procedures are followed. 
• Recruit and induct volunteers to support session delivery.
• Work in partnership with stakeholders within and across the organisation to deliver project goals.
• Attend networking meetings and community events to raise awareness of the project and demonstrate its impact. 

3. Session delivery at Hartcliffe Millennium Green: 

• Continually build and maintain relationships with local referral partners to achieve a consistent referral rate into the project. 
• Deliver weekly Roots to Wellbeing sessions by; planning and facilitating delivery of sessions and activities in line with 5 pathways to nature connectedness and that are accessible to all participants, organising logistics of sessions such as travel, food and equipment, acting as safeguarding lead during sessions, liaising with co-facilitator, leading peer-support style check in at the beginning of the sessions and the grounding and meditation at the end.
• Lead on all direct communication with participants at Hartcliffe Millennium Green. Support them to create personalised development plans, signposting and referrals where needed. 

4. Other: 

• Support the work of the wider charity and specifically the South Bristol team as required. 
• Representing the charity externally through media work and presentation where necessary.

Email marketing

• Develop and deliver a schedule of email marketing for the organisation, including for fundraising and political engagement campaigns.

• Use audience segmentation in support of campaigns, drawing on data from our CRM.
   

Website content & maintenance

• Work with the Content Manager and other team members to create new and updated web content in line with the Content Strategy, that is engaging, accurate and on-brand.

• Ensure web content is optimised for SEO and usability, advising and training staff on best practice.

• Contribute to team efforts to enhance the website as an engagement tool, including liaising with agencies where relevant. 

Other

• Track, monitor and report on digital activity to prove impact and maximise effectiveness.

Experience

• At least three years' experience in a digital management role in a comparable organisation, overseeing digital communications to further organisational objectives. 

• Proven experience in managing social media channels in a professional role.

• Experience in producing and optimising email marketing (ideally using Mailchimp).

• Experience in managing and optimising website content.

• Familiarity with Google Analytics and digital monitoring tools.

• In-depth experience and understanding of current social and digital communications tools, landscape and trends.

Skills

Terms and conditions and staff benefits

This role is as maternity cover (9 months with possibility of extension).

This is a full time 5 day (35 hour) a week position, but we are open to a conversation with candidates who are seeking a role of 28-35 hours a week.

There will be some freedom for the person to determine their own working arrangements each week, within limitations, providing the work is delivered.

Key Responsibilities

Recruitment & Retention

• Administer the recruitment process by placing job adverts into the template on Canva, removing expired job adverts from the THET website; downloading applications; setting up interviews
• Update staff induction materials
• Update the Organisational Organogram on a monthly basis

Development & Performance

About the opportunity
As our Digital Marketing Officer, you will play a pivotal role in supporting the Marketing Manager and broader team in volunteer and school recruitment efforts, while managing our social media presence. Your primary responsibilities will include managing and curating content for Action Tutoring's social media platforms, including Facebook, Instagram, LinkedIn, X, and TikTok.

In addition to social media management, you will contribute to the creation of diverse content, such as graphics, videos, and photography, with occasional visits to our school programmes and events. You will also monitor and report on the impact of our social media campaigns, staying abreast of industry trends to optimise our digital presence.

Duties and responsibilities
• Responsibility for managing Action Tutoring’s social media channels (Facebook, Instagram, LinkedIn, X, TikTok and YouTube). Plan content (in collaboration with wider Marketing and Communications team) in line with the charity’s wider campaigns, volunteer recruitment rounds and key messages, ensuring regular diverse posting.
• Work with the Marketing Manager to develop engaging content which encourages the recruitment of high quality volunteer tutors, enquiries from potential partner schools and raises awareness of the charity to potential fundraisers, donors and employees.
• Promote the breadth of Action Tutoring’s activities and projects on social media, working across the whole team to gather content to raise brand awareness (including Programme, Philanthropy, Operations, Policy and Impact).
• Contribute to the development of content for social media channels including graphics, video and photography, with the occasional visit to school programmes and other charity events.
• Regularly analyse and report on the impact of Action Tutoring’s social media content through weekly analysis, quarterly reporting and campaign analysis.
• Monitor social media trends and industry developments to ensure we’re maximising content across all channels.
• Lead on blogger, influencer and community outreach (e.g. Facebook community groups, Next Door) to help raise awareness of Action Tutoring's volunteering opportunities and encourage applications.
• Manage our national digital adverts (such as Indeed, CharityJobs, Do-It). Respond to any direct enquiries sent through these and other digital platforms, including the Volunteer Facebook Group and Google business.
• Identify national digital advertising opportunities for volunteer and school marketing, and support with content for regional adverts. Work with the Marketing Manager to analyse impact and decide where our budget is best spent.
• Support the day to day management of Action Tutoring’s website, editing content with updates upon request. Support with creating high quality, engaging content for the Action Tutoring website to ensure it’s optimised.
• Create external marketing materials on request and support with ad-hoc visual design work.
• Support with the attendance at volunteering promotion events, mainly university fairs.
• Any other duties deemed reasonable by the Chief Executive Officer.

Climate Change Adaptation Officer
Salary: £31,000 - £35,000

As the Intergovernmental Panel on Climate Change (IPCC) sixth assessment report laid out in March 2023, we are now on the brink of irrevocable damage from climate change; this is our ‘final warning’ and the time is now for action to address this crisis.

The report highlighted that restoring nature was one of the key actions needed to address this issue. Somerset Wildlife Trust are at the forefront of this work in Somerset and are fully committed to this path through our Wilder Somerset 2030 Strategy and to delivering a vision whereby we reverse biodiversity loss and tackle the climate crisis.

Developing and further embedding the ‘Act to Adapt’ process, through our ‘Adapting Somerset’ and ‘Somerset’s Wilder Coast’ projects to support communities and to develop plans to adapt their local areas to the impacts of climate change.

Responsibility 1: Providing leadership and technical expertise

Being proactive and nurture strong relationships by:

• Providing leadership on SWT Climate Change Nature Adaptation work.
• Working closely with the Local Nature Partnership Coordinator and Advocacy Manager, and wider project team from partner organisations, to develop and deliver a programme of online and in-person communications, meetings and workshops. This is designed to foster climate change adaptation in the county supporting nature’s recovery and community resilience, and therefore involves working closely with farmers and landowners, all layers of local council, infrastructure experts, academics and the general public, including communities already impacted by flooding.
• Providing line management to the Climate Adaptation Assistant.
• Continuing developing the RAD approach for priority habitats, alongside the Landscape Recovery team, which will contribute to managing land within internationally important wetlands.
• Keeping abreast of national and international climate change developments and relate these to Somerset.

Responsibility 2: Engagement with Communities and Creating Robust Partnerships

Lead engagement efforts by:

• Contributing to discussions and workstreams developing climate change adaptation pathways at a county level, and in specific local areas relating to flooding, drought and wildfire.
• Developing information for a lay audience regarding the role of nature in reducing the impacts of climate change, including: sea-level rise; predicted changes in land use; warming, etc. and to help people understand what the future may bring especially in Somerset’s more vulnerable nature habitats.
• Supporting people’s wider understanding of the role of nature to mitigate climate change through carbon sequestration and storage.
• Continuing the rollout of the Act to Adapt process in local communities, organising events and workshops and using the Climate Adaptation Toolkit to explain the process of developing community and nature based solutions to the big issues of climate change.

Responsibility 3: Developing sustainable projects and evaluation

Lead and support projects and reporting by:

• Working with the Somerset Local Nature Recovery Strategy team to incorporate climate adaptation and vulnerability principles to these priorities.
• Assisting with work to share information and project developments with project partners in the UK.
• Developing and implement a communications plan that raises awareness of the project and its impact; garners support; and highlights Somerset as a place at the frontline for climate change. This will include engagement through social media and the production of awareness materials in printed and online formats.
• Managing the budget of the Adapting Somerset project and keep track of time contributions to the ELM’s Landscape Recovery and Somerset’s Wilder Coast projects.
• Monitoring and evaluating progress and impact, meeting project milestones and reporting to funders.
• Representing SWT externally in meetings, in the media and by giving presentations to various audiences.

About the role

As Project Officer you will play a central role in the delivery of INTRAC’s consultancy assignments and grant funded projects. This will involve coordinating short and long term projects, involving staff and consultants through our global network and clients around the world, ensuring effective and quality delivery. We carry out a wide variety of assignments, ranging from project evaluations to bespoke in-house training and learning partner roles for complex, multi-country civil society strengthening programmes.

You will work on a range of activities, such as organising and supporting online learning sessions, meetings or focus groups, coordinating feedback, communicating with team members and clients, administrative tasks, to support the smooth running and success of our work.

You will have an eye for detail, experience providing administrative and coordination support to complex projects and will be comfortable carrying out a number of tasks with competing deadlines at the same time.

We are looking for a versatile and dynamic individual, wanting to use their skills to support civil society around the world and with an interest in current debates concerning decolonisation and movements to shift power.
