Job Title: Deputy Service Manager
Location: Based within the residential service in West Ealing. Unfortunately this service does not have step free access.
Salary: £30,000
Shift Pattern: 37.5 hours per week Monday to Sunday on a rota working 09:00 - 17:00, you may also be required to work weekends, evenings, and bank holidays. You will also take part in our out of hours on call rota for managers.
About the role
This is a great opportunity for a Deputy Service Manager to join our team based in Ealing. You will support the Service Manager in leading a service which provides a recovery focused service to adults with long term mental health challenges. You will support the team to deliver person centred support to improve the lives of our residents, for them to gain greater independence to move onto lower support accommodation. You will do this through providing direct leadership and line management to the team so they feel empowered to perform within their roles.
You will ensure a quality service is delivered in line with our contractual requirements, and will encourage the creation of a psychologically informed environment, which provides person centred support. Some of what the role includes:
- Line Management and Leadership, supporting your team providing advice, guidance and support throughout their employment lifecycle
- Support the Service Manager in leading the day to day operational delivery of the service
- Risk Management ownership, ensuring processes and policies are followed
- Property and Housing Management, ensuring the accommodation meets our requirements, and repairs and maintenance are regularly reported and completed
- Financial Management, including petty cash and budget management
- Contract management and Internal auditing, admin, and general other duties as required.
About you
We are seeking a passionate, driven and motivated colleague to help lead our service in a trauma informed and inclusive way. Someone who is knowledgeable in the needs of our residents, particularly around mental health and can support the team in delivering their daily duties. You will be driven with passion for what we do, and be able to work flexibly to meet service needs, providing new ideas and opportunities to develop the service further to continue to achieve excellence!
You will have some knowledge and background in mental health, understanding the different complexities which can arise, and able to support others to support the residents to achieve their goals. You will be adaptable and flexible in your approach, and respect equity, diversity, and inclusion, able to create a compassionate, supportive and empowering environment within the service and in communication with others externally and throughout the organisation.
- Direct experience working in a Health and Social care environment or similar, ideally within mental health
- Understanding of the needs that people who suffer with their mental health have
- Ability to lead a team to achieve service KPI's
- Ability to provide advice, support and guidance to a team on all aspects of the service such as resident related enquiries which can include housing, mental health support, signposting
- Ability to promote the service externally to enhance reputation in the area and with partner organisations
- IT proficiency, with the ability to navigate and learn new case management systems and other types of software
- Ability to work flexibly to meet the demands and needs of the service. For example, Provide an emergency on call service as and when required in case of emergency

- Understanding and/or practical knowledge of the social and societal marginalisation that can be attached to people with mental health issues, addiction, exploitation, homelessness and within the criminal justice system

- Significant fundraising management experience in Asia with demonstrable experience of securing five and six figure, and multi year gifts
- Experience in multiple elements of fundraising including identifying and building supporter bases in new geographies and working with different types of fundraising teams (e.g. philanthropic/HNWIs, trusts and foundations)
- Experience of working in a global team, working across multiple time zones and understanding / experience of working in a matrix style
- Experience of working with senior internal and external stakeholders, to build networks, deliver income and raise organisation profiles

We work to address local barriers to education such as mental health, pathways to citizenship, access to English language provision and issues around employment and fair wages. We do this through our partnership with South London Citizens. This role leads on the development and delivery of community organising initiatives and supports the wider integration of these methods across King’s. Through community organising, the role empowers school leaders, young people and parents to design, launch and sustain impactful campaigns. The post holder will work closely with Citizens UK organisers and colleagues across King’s to build strong partnerships and drive meaningful change, including engagement in broader, high profile local, regional and national initiatives.
The postholder will use community organising methodology to lead and expand our core community organising programmes which are currently, Parent Power South London, Empoderando Familias (in partnership with Citizens UK) and Empower ESOL. A key focus will be driving the strategic growth of our flagship Parent Power programme into new regions in collaboration with The Brilliant Club, where we have a commitment to support the launch of a new chapter each year through to 2028/29. Main duties
Fundraising CRM Project Leadership
- Lead the end-to-end project to replace the current CRM system, including an audit of existing data, research into CRM options, supplier selection and full onboarding and implementation.
- Manage and maintain the current Salesforce system during the review period, ensuring it remains functional, accurate, and fit for purpose while supporting the transition process.
- Act as the day-to-day lead for the CRM system within the Fundraising and Communications team, ensuring it meets team needs and supports strategic goals.
CRM and Data Management
- Maintain and improve the quality of supporter data through regular cleansing, deduplication, and tagging to ensure accuracy and GDPR compliance.
- Working with data flows and setting up integrations, ensuring the system runs smoothly on an ongoing basis, making updates, troubleshooting issues whilst maintaining data consistency.
- Work with the Finance team to support integration between the CRM and finance systems for seamless donation and income reporting.
Data Selections, Segmentation and Campaign Support
- Collaborate with the Fundraising team to perform targeted data selections for appeals, newsletters, stewardship journeys, and events.
- Develop and maintain segmentation structures and logic to support personalised supporter journeys and strategic targeting.
- Work closely with the Marketing and Communications team to provide campaign-ready data for fundraising, advocacy, and engagement activities.
Reporting and Insight
- Design, build, and maintain dashboards and reports that provide real time insight into fundraising performance, donor behaviour and campaign results.
- Create and deliver regular and ad hoc fundraising analysis to inform strategic decisions and performance tracking.
- Proactively identify opportunities to improve donor retention, upgrade journeys and lifetime value through data driven insight.
Key responsibilities
- In conjunction with your Line Manager, continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner which meets the strategic aims and objectives of The Passage.
- Proactively flag any data integrity issues with Line Manager and help develop action plans as required.
- Participate in internal/external meetings as required, and attend training events, conferences and other functions as necessary.
- Participate in regular supervision and annual appraisal and help in identifying your own job-related development and training needs.
- Ensure that all The Passage’s policies and procedures are adhered to and contribute to the effective implementation of The Passage’s Diversity and Equality Policy as it affects both The Passage and its work with vulnerable adults.

About you
You’re a hands-on IT leader with substantial experience in IT management or senior infrastructure roles, a strong track record in Azure migrations, and confident administration of Microsoft 365, SharePoint Online and Teams. You will be a strong researcher and confident communicator who can understand the main environmental and political challenges in the UK. You will take initiative in using that information to propose policy positions to the team that are sensitive to the wider political context. About the role
Your challenge? To act as an external face for the charity and meet agreed annual and long-term financial targets by cultivating high value partnerships with UK and Scottish grant-makers to fund Shelter's work in Scotland.
