Job description
Job Purpose
Your role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant managing of our premises, IT systems and some HR functions.
You will play a key role in delivering and maintaining our offices and facilities, and the IT services for the whole organisation alongside our retained IT consultants.
By providing high quality operational and administrative support you will play a critical role in ensuring the smooth operation of our organisation. You will do this by:
- Supporting the Director of Finance and Operations in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Insurance, Premises, Facilities, Vehicle Management, IT and CRM system services.
- Improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively.
- Coordinating and implementing efficient HR processes and record-keeping, including recruitment, onboarding and training of staff.
- Being the key contact for staff and volunteers for all IT and premises matters including induction and training.
- Providing management for the maintenance and smooth running of the physical premises of the workplace ensuring they are safe and equipment is available and in good order.
Key Tasks
Coordinate and implement processes that relate to our staff
- Support the coordination of recruitment, pre-employment checks, onboarding, induction and training processes for new staff.
- Maintain accurate records of staff annual leave, mandatory training, DBS renewal, appraisals, and probation reviews and liaise with staff/managers as appropriate.
- Carry out workstation assessments as needed
Premises
- Act as the first line of support for premises and facilities across all our locations.
- Maintain secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.
- Serve as the first point of contact for all health & safety matters.
- Help establish and maintain safe working practices and policies and undertake basic risk assessment
- Act as the first point of contact for equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required.
- Managing relationships with facilities and other providers such as utilities, fire safety access, and cleaning
- Support the Director of Finance and Operations in developing and implementing a new premises strategy.

IT and systems
- Act as the first point of contact for IT and other technical support to staff, trustees and volunteers within the organisation
- Manage the relationship with our IT consultants to deliver contractual SLAs and policy updates.
- Coordinate IT stock purchases and monitor asset use across the organisation.
- Work effectively and efficiently with the outsourced ICT provider, Penelope
- Implement processes that maintain effective IT security.
- Assist in the onboarding and offboarding of employees, including software licences, logins, user processes, induction and IT systems training, and internal IT communication.

General
- To meet regularly with line manager for support, supervision and appraisal.

Health & Safety Officer
An exciting opportunity has arisen for a Health & Safety Officer to join our Estates Team. In your role as the Health & Safety Officer will be to provide support on an operational basis to the health & safety function.
Role Requirements
- Promote good stakeholder involvement and good safety culture
- Prepare and issue monthly health and safety briefing documents / toolbox talks
- Keep health and safety information up to date, including all fire safety documentation (fire emergency plans, fire safety manuals etc.), the health and safety section of the intranet and shared documents
- Carry out regular walkabouts, including at retail stores, keeping in touch with staff on their safety arrangements and ensuring control measures are in place and effective
- Provide health and safety training and coaching on topics such as, but not limited to, general health & safety (induction and refresher training), fire safety, COSHH, risk assessing and manual handling
- Develop and refresh internal online training to support staff learning experiences
- Carry out general risk assessment, as required, with particular emphasis on retail, regulatory requirements, outings and the clinical environment.
- Update fire risk assessments for low to medium-risk buildings, tracking completion of actions and updating compliance software
- Manage COSHH risk assessments and the COSHH risk register, checking on suitable PPE and storage
- Manage compliance with workstation assessments, including homeworking, using the external management system

- Influence the decision-making of the Church by sharing the opinions and priorities of children and young people

In this role, you’ll be responsible for:
The Lead Coach is primarily responsible for overseeing the training room and group sessions with young people. You will help shape the training environment and will confidently adapt and deliver materials and sessions to work within the group’s development towards work readiness.
Delivery of Spear Programme - Group and 1:1 coaching [60%]
- Preparing and coaching Spear Foundation sessions and 1-1s, ensuring that young people are engaged, retained and work-ready by the end of this initial phase of the programme.

- Adapting the Spear coaching material according to the needs of the Trainees and managing behaviour effectively.

Training the Asssistant Coach [10%]

The ideal candidate will be highly literate and numerate, with excellent communication skills, both written and verbal. They will bring proven experience in building and managing relationships with high-value donors, successfully stewarding individuals to secure five- and six-figure gifts. They will have a strong track record in developing and delivering individual giving and donor stewardship campaigns, as well as managing complex, cross-team projects and leading people, whether through formal line management or working with volunteers.
The candidate will be organised, detail-oriented, and able to work effectively under pressure to meet deadlines. They will have strong digital skills, including confident use of CRM and email marketing systems, along with MS Office tools such as Word, Excel, and PowerPoint. With a creative and innovative approach to fundraising, they will also have a solid understanding of data protection legislation (GDPR) and safeguarding principles. Importantly, they will demonstrate empathy and alignment with Hestia's mission, supporting individuals affected by domestic abuse, modern slavery, and mental health challenges.

Deliver individual strategic projects/business plan objectives for the team
Work with debt advice providers on an individual basis to improve the provision of consistent and high-quality debt advice, by supporting suppliers to implement improvement activities, and to assess and monitor the performance of their advisers and debt advice service overall to ensure that the quality of debt advice is improved where required, maintained and provided in accordance with regulation, project requirements, best practice, and agreed standards. This includes:

As our Fundraising Officer, you’ll be instrumental in supporting our expanding fundraising strategy. Working closely with our Senior Fundraising Officer and Head of Income and Development you’ll help identify new funding opportunities, manage donor relationships, craft compelling proposals, and support campaigns and events.
Key Responsibilities:
- Research new funding opportunities and potential donors
- Create persuasive fundraising proposals and communications for trusts, foundations, corporates, and individuals
- Manage donor records and ensure timely acknowledgment of donations
- Support fundraising campaigns, including online and in-person events
- Assist in preparing grant applications and ensuring reporting compliance
- Generate fundraising reports and support strategic planning
- Provide administrative and operational support to the fundraising function
What We’re Looking For:
We’re looking for someone with excellent people skills, attention to detail, and a proactive approach. You’ll be a strong communicator, an analytical thinker, and someone who thrives in a fast-paced environment with a purpose with proven experience in the fundraising, research and bid writing.
Essential Skills & Experience:
- Proven experience in fundraising, research, and bid writing
- Exceptional written and verbal communication skills
- Excellent organisation and time management skills
- Strong attention to detail and ability to manage multiple priorities
- Experience with CRM databases and Microsoft Office
- A collaborative team player with a positive, solution-focused attitude
- Understanding of the UK charity sector and fundraising regulations (preferred but not essential)
