Job Description

The IRC UK’s Finance Team seeks to achieve excellence in financial management by providing accurate and timely financial information to IRC management and programs and by adhering to established financial practices and accounting principles. We do this by supporting the UK office; by implementing and monitoring IRC and donor policies and procedures; leading financial forecasting and planning, proactive risk management; consolidating financial results; and ensuring reliable financial reporting (internal and external).

The Finance Assistant – Operations assists the UK Finance team in delivering its objectives and providing effective support to IRC UK. This position works closely with the UK Finance and Operations department, wider UK office and suppliers. Furthermore, the incumbent plays a key role in ensuring that Finance remains a critical organizational business partner delivering accurate, insightful, and timely financial management information.

The role is part of the UK Finance Team and reports to the Finance Manager – Operations.

Major Responsibilities

•  Maintain accurate files for supplier invoices, staff expenses claims, petty cash and credit card expenses

•  Assist in maintaining an up to date – London Finance mailbox, ensuring mails are dealt with in a timely manner.

•Check and prepare invoice journals for all direct debits and ensure supporting invoices and approval are filed.

•  Assist with NATWEST bank income and payment journals and the bank reconciliation.

•  Post invoices and credit notes in Integra (Dynamics 365), ensuring authorization, budget codes and supporting documents have been provided in a timely manner for payment runs.

•  Reconcile supplier statements to creditor accounts in Integra and follow up any queries to ensure they are dealt with in a timely fashion

•  Arrange travel advances for staff, check all staff expense claims for compliance with IRC-UK Travel Policy and reconcile against advances in Integra.

•Reconciliation of credit card expenses in Integra.

•Prepare correction journals and post on Integra

•Prepare the weekly payment run as directed and ensure bank sign off staff are allocated well ahead of the run.

•Participate in the development and delivery of plans, goals, objectives, and priorities for the UK Finance Team and undertake other duties as assigned.

PERSON SPECIFICATION

•Knowledge of accounting demonstrated by an accounting qualification such as AAT or part Qualified Accountant. We would consider an AAT trainee/apprentice for the role as well.

Mid-Level Giving Officer

Position Objective:

The Mid-Level Giving Officer will support PETA’s impact and growth through their work with an exciting portfolio of mid-level donors typically giving £250 - £999 size gifts. They will be responsible for managing all aspects of cultivating, stewarding and soliciting from this pool of valued supporters, including Vanguard Society Members, to provide a first-rate donor experience while deepening members’ engagement and financial support. The Mid-Level Giving Officer will also work collaboratively with other departments to enhance the mid-level donor experience, identify and refer major donor prospects to the appropriate team members, and ensure that efficient processes are in place.

Primary Duties and Responsibilities:

• Manage and maintain a portfolio of Vanguard Society donors and prospects
• Creating engaging donor journeys and presenting opportunities for deeper engagement
• Develop and implement donor-specific plans of strategic communication touches by phone, email and mail. This will include updates on PETA’s progress and victories, messages of gratitude, invitations to events, and asks to donors to increase their financial support. 
• Manage a portfolio of Vanguard Society and mid-level donors, each giving £250 + or with the capacity to make annual gifts at a higher level (at one time as well as cumulatively), including cultivating and stewarding each donor to increase their engagement and giving.
• Solicit and close gifts from assigned mid-level donors.
• Regularly qualify new prospects and donors in their capacity, inclination, affinity, and readiness to give.
• Track and achieve key activity and revenue metrics, while meeting weekly with the manager to report on progress, challenges, and opportunities.
• Ensure that mid-level donors’ database records are updated in a timely fashion. Document pertinent information (meetings, correspondence, notes, etc.) for the purpose of enhancing and developing PETA's donor database.
• Coordinate and collaborate with other teams and colleagues, including legacy, direct response, data, prospect research and communications, to enhance the donor experience and ensure that efficient processes are in place.
• Stay up-to-date on mid-level fundraising techniques and methods used in the nonprofit sector and attend professional-training opportunities as well as weekly coaching and progress reporting meetings
• Conduct oneself in a professional, friendly and truthful manner to donors.
• Perform any other duties requested by the supervisor.
• Acknowledge, thank and recognise donors appropriate to their level of support, and ensure restricted gifts are appropriately allocated
• Work with key PETA staff to find ways to engage donors in our mission, including by meeting supporters face to face or over the phone
• Monitor donors’ motivations and help to contribute to tailor cultivation events
• Maintain a clear understanding of – and the ability to articulate – PETA's objectives as well as details of specific PETA programmes
• Keep all donors in the portfolio up to date on the campaigns and initiatives of PETA and our affiliates

• Monitor the acknowledgment process at Woods, working closely with staff to ensure that acknowledgements and welcome packs are sent out efficiently and that queries are passed to us within the agreed timeframe

GFS is a feminist organisation with a mission to empower girls and young women in England and Wales to live their best lives. Girls as young as 6 tell us that they cannot be themselves. This is an exciting role with an opportunity to lead the charity into the 150th Year of delivery and with a new strategy to address need. The Role 
 
As our Supporter Engagement Assistant, you will join our Fundraising Team to help us build strong and lasting relationships with our charity's supporters and donors.  

Reporting to the Supporter Engagement Officer, you will deliver excellent customer service over the telephone, in written (email and postal) communications and face to face and ensure that supporters' details are accurately recorded on the CRM database. You will be representing the charity, explaining its purpose, and demonstrating our charity values to donors/supporters, showing appropriate empathy to those who may have cancer or a family member/friend who does.  

This role provides a great opportunity to make a real difference to the people of Yorkshire and requires someone with a friendly manner, good team-working skills, great customer service and excellent organisational skills.  
 

Specifically, you will: 

• Ensure supporter communications are accurate, timely and appropriate to the recipient. This includes following the relevant pathways to process donations, record legacy pledges, update key information so that the communication is tailored and relevant to the individual supporter. 

• Update supporter records on our database to reflect changes in marketing permissions, personal details, the charity's relationship with the supporter (e.g. Volunteer/ Donor/ Brand Ambassador etc.) and any communications had between the supporter & the charity. 

• Use the CRM System to run supplied data queries to deliver campaigns (e.g. using Mail Merge) and to create and deliver supporter communications, this includes printing and posting letters and sending emails, making updates to supporter records and fulfilling requests for information. 

• Work alongside the Supporter Engagement Officer & Individual Giving Manager to improve the initial welcome for newly acquired regular donors and the onwards stewardship journey for all supporters. Conducting research and contributing ideas to improve the supporter journeys and implementing these processes independently. 

• Undertake other duties and take on a lead role in supporting projects relevant to the purpose of the role as requested by members of the CRM, Marketing, Fundraising or Research & Services teams. 

• Monitor inbound emails to the charity in the supporter care inbox, forwarding to the relevant colleague (if unable to provide a response) or responding and actioning. 

• Monitor incoming calls to the charity through the supporter engagement number, forwarding to the relevant colleague (if unable to provide a response) or responding and actioning. 

 
About You 

To be considered for this role, you will need: 

• To have a qualification in a relevant discipline and/or proven experience working in a similar role, such as customer service. 

• To have evidence of continued professional development relevant to the role purpose and level. 

• To have customer service experience in a similar or related role (e.g. telephony/ databases/ office). 

• To have high computer literacy with comprehensive knowledge of Microsoft Office applications, especially Word, Excel and Outlook. 

• To have previous experience of working with databases (e.g. Access or Raiser's Edge).

• To be happy to work independently and ask for support where this is needed, but also like to both work with and support colleagues as part of a team working towards a common goal. 

• To have excellent communication skills, both verbal and written, with an ability to use active listening skills, and write professionally and appropriately for a range of diverse audiences. Has a good grasp of grammar, spelling and of the spoken word. 

• To have strong organisational skills and performs their work to an extremely high level of accuracy and professionalism, paying close attention to detail.

The Community Fundraiser plays a vital role in fostering and expanding our network of individual givers and community fundraisers. The position is responsible for:

Bristol Old Vic’s Fundraising and Development Department is responsible for building financial sustainability for BOV through securing external funding from individuals, corporates and trusts and foundations.

The Development Officer: Individuals & Corporates will secure income from individuals, through our giving schemes and major gifts,  and corporate sponsors who support productions, engagement and community work and the newly formed literary department. You will steward existing donors to the highest standard and conduct proactive research into potential individual and corporate supporters as well as preparing presentations and proposals to secure their support. This role is vital to the current Transforming Fundraising Strategy as it will work to cultivate and steward individual support and corporate partnerships and provide accurate, targeted research to help shape our wider campaigns and approaches. As part of this role, you will  also produce, briefing notes and due diligence reports for, the Director of Fundraising and Development (post to be appointed), BOV leadership team and Trustees.

The Development Officer: Trusts & Foundations will research potential Trust and Foundation supporters and work with colleagues to prepare compelling, successful grant applications. You will develop and steward a portfolio of Trusts and Foundations and establish a pipeline to ensure continued, growing support from them for our programming and engagement work. This role is vital to the current Transforming Fundraising Strategy as it will work on Trusts & Foundation fundraising and provide accurate, targeted research to help shape our campaigns and approaches.

Introducing Harington

Harington is an Ofsted registered specialist college based in North London rated good, working with around 52 young people with learning differences aged 16-25. Our mission is to create an inclusive environment, that delivers outstanding personalised education, learning, and support, which leads to further education, employment opportunities, and a fulfilling life for each of our students. 

We specialise in horticulture, retail and general employability. Our students undertake individualised learning programmes and supported internships that lead to vocational qualifications and achieving other aims. We support the wellbeing of our young people through providing mentoring, counselling, enrichment and other one-to-one support.

Our charity has two learning centres in Highgate and Hornsey. We also operate a gardening business and two charity shops, providing income for our charity, work experience placements for our students and employment for 14 young people. We work with local employers and partners to provide work experience and other opportunities for our students.

The Role

This is an exciting time to join the Harington, as we have recently appointed a new Principal/CEO. We want to ensure that the Harington is able to fulfil and secure its mission to benefit our young people, both now and into the future.

In the next year we will consolidate what we do well and seek to strengthen the areas where we could do better. The Interim COO will work with all stakeholders and closely with the Principal/CEO to review, plan and implement the necessary changes. The role is initially for 9 months, but it is anticipated that it will continue after the initial review and planning period.  

This Interim Chief Operating Officer role will:-

1)Support the development and implementation of the strategic plan and through the annual Operations Plan and Budget, and be responsible for measuring and evaluating progress against goals and targets

2)Drive excellence and efficiency across Finance, HR, Governance, Operations, and IT, strengthening and embedding the right policies, systems, processes, technology and infrastructure ensuring seamless execution and robust management of risk.

3)Manage our three commercial businesses (two charity shops and Harington Gardeners) so they meet our social, learning and business aims

4)Oversee Harington’s fundraising so we secure the income we need from trusts and foundations, individual donors and community fundraising

5)Ensure effective management of the buildings and estate of a multi-site organisation, and the support services required to provide a suitable and safe environment for learning and working, that meets the required health and safety standards

6) Ensure that all staff feel valued and supported, with effective management of staff, operations and administration

Working as part of the senior leadership and management team you will ensure that Harington is a safe environment where students can learn, work, thrive and grow. You will ensure our staff team is valued and supported, and our management team and trustees are kept up to date and fully informed.

You are an energetic, organised, and positive team player, similarly comfortable working independently. It is a very varied role and one that needs calm focus as well as spontaneity and initiative.

You are adept at getting to the root of an issue, finding the solution and making things run smoothly and efficiently.

We are open to discussing flexible working arrangements and would consider 4 days a week or compressed hours.

Essential skills

• Successful senior leader within a medium sized organisation for a minimum of three years, with a results-proven track record
• Worked in charity and/or education setting
• Sound understanding of financial management, reporting and accounting systems
• Experience of successfully managing and implementing changes to improve the way things run
• Highly motivated and driven self-starter, able to adapt quickly when priorities change
• Highly proficient in Microsoft Office products and database management systems
• Excellent written and verbal communication skills, including experience in creating high-level reports and presentations

Role purpose

The MEAL Coordinator will travel with the emergency response team to deliver emergency shelter responses, to enhance programme quality and embed a culture of organisational learning and accountability. Sitting within the Programme Quality team, the MEAL Coordinator will play a significant role to strengthen participant voice and accountability, enable data driven decision making and help to identify best practice and innovative shelter solutions allowing people to recover and rebuild their lives.

The MEAL Coordinator will lead/support key processes that enhance programme/project delivery. They liaise with programme managers/emergency coordinators and partner organisations to provide technical support and ensure programmes/projects adhere to agreed processes, namely needs assessments, log frame development, robust and transparent community feedback mechanisms and the development of the MEAL plan. They will also provide technical input on data collection exercises, data analysis for routine monitoring exercises as well as designing/coordinating review /evaluation processes. 

The MEAL Coordinator will play an important role in promoting organisational learning and embedding a culture of reflection, analysis, and learning. Working together with Programme Managers & Emergency field coordinators, they will ensure learning frameworks are in place so that lessons are learned (both positive and negative) are captured, responded to, and shared with peers. They will work closely with the Programme Delivery Team and Technical Specialists to identify and/or support the establishment of Action Research projects that will contribute to improvements and innovations within the shelter sector. 

There is significant travel with this role (up to 50% FTE), and the post holder must be prepared to travel at short notice for up to two months at a time. The MEAL Coordinators may also be asked to contribute to the development of organisational policy papers on mainstreaming or technical areas such as cash programming.

Duties will include but not be limited to:

Project Support (70% FTE):

The MEAL coordinator is a core member of the project team and will work closely with the project lead to ensure project quality and accountability. They will lead processes or liaise with partners (depending on implementation model) to ensure ShelterBox standards are adhered to. Specifically, they will:

• Advise/Carry out needs assessments to inform project design
• Facilitate technical MEAL component of Organizational Capacity Assessments and support with the development of capacity strengthening plans for potential partners
• As relevant, support the delivery of Capacity Building Action Plans, through the development of appropriate resources/ providing in-person and remote training /mentoring on MEAL concepts and practice.  This will also involve reviewing training courses/modules, developing resources, and providing training.
• Collaborate with partners and implementing teams to, support project/log frame development with clear outcomes/outputs and SMART indicators, in line with organizational reporting requirements
• Ensure robust MEAL plans are in place, and that SADD distribution data is robust
• Ensure robust and transparent community feedback mechanisms are functioning and support safeguarding processes
• Provide technical input/Lead data collection exercises (both quantitative and qualitative)
• Liaise with partners and implementing teams to ensure the MEAL Plans are operationalized and that the data/reports provided by partners are robust, verifiable and with the appropriate degree of objectivity.
• Ensure project documentation is up to date
• Support data analysis and the facilitation of learning and reflection based on findings that result in data-led decision making
• Coordinate/Facilitate/carry out end of project evaluation processes in line with DAC criteria.
• Ensure all projects/programmes are contributing to organisational KPI reporting. Develop and populate Information Management systems as appropriate.
• Liaise with the Grant Management team to ensure that all projects MEAL systems and processes are in line with donor requirements, and support programme managers to submit quality narrative reports in a timely fashion.

Knowledge creation and sharing (20% FTE):

• Ensure that each Project logframe, MEAL plan and Learning and Accountability Framework are up-to-date and facilitate continuous and conscious reflection and learning. 
• Utilising M&E data, evaluation findings and wider sector understanding, develop thematic discussions to strengthen understanding within ShelterBox and in relevant Communities of Practice. 

Infrastructure development (10% FTE):

• Contribute to the development of policies, SOPs and processes that strengthen project delivery and accountability.
• Ensure ShelterBox is abreast of new technological developments supporting information gathering and analysis, particularly methodologies that empower affected populations to communicate with ShelterBox and to share their insights enhancing participation.

Working Requirements: This role will support the design and implementation of rapid response emergency project that will demand prolonged travel (up to two months) at very short notice. For remote workers: travel to Truro HQ for collaboration weeks approx. 3 times a year, and additional meetings as requested.
