The Konrad Adenauer Foundation is a German political foundation, with head offices in Berlin and regional offices in over 100 countries around the world. Our London office - registered as Company Limited by Guarantee - covers the UK and also the Republic of Ireland, is looking to hire an Accountant to work as an essential part of our small team. Our annual programme includes a wide range of events such as panel-discussions, workshops and international conferences and requires liaising with a wide range of partner organisations from politics, academia, business, and the media.

The accountant will be responsible for all accounting and financial planning for our London office.

Duties include: 

· Control of office expenditure

· Payment of contractor invoices

· Using KAS internal booking system for accounting and financial administration (training will be provided)

· Prepare monthly accounting reports, quarterly forecasts and annual budgets

· Bank reconciliations in GBP & EUR

· Prepare the statutory accounts for the limited company up to trail balance, including accruals, prepayments, deferred income etc.

· Liaise with external auditors to agree timeframe for the year end statutory audit

· Rolling cash flow management

· Manage company payroll in house, expenses and petty cash claims

· Liaising with German HQ on financial topics as well as with local contractors and HMRC

· Companies House secretarial work

· Office management

Requirements:

· Minimum 2 years’ accountancy experience

· Be familiar with current PAYE and pension regulations

· Must have excellent Microsoft Office experience, in particular MS Excel

· Excellent planning, organisation and prioritisation skills

· Excellent communication skills

· Native level fluency in English, German language skills desirable

Purpose of the Job

This is a key role within a small and busy finance team. The postholder is responsible for a range of transaction processing and finance administration; mostly focused on purchase ledger, sales ledger, assisting with the month-end process, and plays a vital role in upholding HFEH Mind’s financial controls.

Working closely with the Finance Manager, the Finance Officer will also need to communicate effectively with staff across the organisation and a wide range of suppliers to help resolve queries and ensure that the purchase and sales ledger processes are operating efficiently and effectively. Excellent organisational skills, the ability to prioritise to achieve internal reporting deadlines, and meticulous attention to detail, are critical for this role.
 

Job Description

Purchase and payments

• Ensure all invoices, expenses and credit notes received are processed following the agreed systems and controls.
• Process invoices and expenses into the accounting system.
• Creation of twice weekly and ad-hoc pay runs.
• Process and pay file generated into the bank software.
• Produce and send out remittances.
• Aged creditors review monthly
• Oversee that authorisation processes are being followed by staff.
• Process staff expense claims following the agreed systems and controls.
• Organise and process occasional cash floats and petty cash, ensuring unspent cash is accounted for and all transactions evidenced and recorded.

Card purchases

• Oversee day to day administration of card purchases, ensuring cardholders upload receipts and code transactions by the stated month end deadlines.
• Transfer fully evidenced and coded transactions from credit card template to Sage
• Reconcile transactions to the bank statements

Sales

• Raise sales invoices as requested and per income schedule.
• Sending out sales invoices to customers.
• Creation of a debtors report twice a month and distribute.
• Coordinate with operational staff for the recovery of debt; escalating in line with procedures.
• Posting cash receipts and allocate to the relevant invoice.
• Aged debts management

Banking

• Reconcile banking on a timely basis
• Post direct debit payments

Inbox management and other queries

• Daily review of new messages received into the finance email inbox from staff, suppliers and other parties, dealing with queries directly where possible.
• Be especially vigilant about phishing, Malware / spam emails which are common in generically named inboxes and following all data protection guidance given.
• For more involved queries, liaise with and assist other finance team members to resolve them appropriately; maintain responsibility for ensuring they are resolved.
• Excellent organisation and administration of both inboxes, to ensure the status of queries is clear at all times and appropriate records are kept on file.

Other regular tasks

• Support the Finance Manager with weekly payroll administration, for example communications with staff members regarding timesheets and new starter information.
• Pay cheques and cash into the bank account, including accurate completion of banking.
• Withdraw cash from the bank as necessary
• Lead on ensuring the digital filing structure is adhered to and support the rest of the team with scanning and filing as needed.
• Lead on the archiving of paper documents stored in the office.
• Assist with other tasks appropriate to your level of training where needed, to help ensure that the finance function operates effectively, including providing cover where staff are sick or taking annual leave.
• Work to the month end deadlines agreed within the finance team, to ensure timely production of management accounts and internal reports.
• Take responsibility for your continuous professional development, ensuring you maintain up to date knowledge of relevant financial legislation, accounting standards, good practice and new initiatives as relevant to the Mental Health and charity sectors.

Job Purpose

Preparing monthly management accounts and quarterly VAT returns for RCVS (the professional membership organisation or ‘College’) in accordance with relevant RCVS policies and UK legislation including UK GAAP and the Charities SORP.

Key Responsibilities

• To prepare accurate monthly cost centre and college wide management accounts for RCVS to an agreed timetable for varying audiences, including variance analysis, with appropriate relevant commentary.

• To prepare monthly balance sheet reconciliations and review them working with the Transactional Finance Lead.

• Provide support to the wider finance team

Senior Management Accountant

The National Archives are a non-ministerial department, and the official archive and publisher for the UK Government, and for England and Wales. We are the guardians of over 1,000 years of iconic national documents.

Operating within the Management Accounting team, the postholder will act as a Senior Management Accountant for the business area for which they are made responsible. Working directly with budget holders, Heads of Department and Directors, they will manage all aspects of their management accounting and financial planning services providing incisive, value-add financial support and analysis which facilitates effective decision making.

Summary of key duties:

Financial Management and Reporting

• Develop, implement and operate monitoring systems for financial forecasting and re-forecasting to support sound decision making.
• Lead on and co-ordinate the annual budgeting and planning process ensuring that information is collected, compiled and reported in a timely manner to the Leadership Team for review and recommendation to the Finance & Audit Committee.
• Produce quarterly and annual internal finance report and management accounts for reporting to the Leadership Team and Finance & Audit Committee, which summarise budget trends, analyse and report variance.
• Ensure compliance with all financial regulations, through liaisons with the Trust’s external auditors for preparing of the SORP financial statements.

Policy and Procedures

• Lead the development, implementation and monitoring of effective procurement policies, procedures and systems ensuring best value is achieved across all activities.
• Lead on the annual insurance renewal process, ensuring appropriate cover is in place and general administration of the Trust’s insurance policies is enacted.

Payroll

• Maintain payroll processing system and run the monthly payroll.

Facilities Management

• Support the development of a 5 year planned preventative maintenance plan for the Trust’s premises, to support budget and resource planning.
• Oversee the management of the Trust’s premises ensuring contracts are in place and appropriately managed to ensure the smooth running and maintenance of the building and that all health and safety requirements are met.

Line management responsibilities

• Provide line management to the Finance Co-ordinator and Workplace & Facilities Manager, enacting the Trust’s management processes to ensure that all employees are motivated, supported and enabled to give of their best.
• Contribute to Trust-wide people management policies, procedures and team culture as a member of the People Manger Team.

Essential Knowledge and Experience 

• Qualified ACA, ACCA, CIMA or experience to this level (E).
• Practical knowledge and understanding of management accounting principles and techniques.
• In-depth knowledge of budgeting and financial forecasting and preparation of financial reports for senior management and compliance purposes.
• Line management experience to foster a productive and supportive team environment.

Summary of skills

• Strong numerical and analytical skills to effectively analyse financial reports.
• Proactive problem-solver, demonstrating high levels of initiative, organisation and flexibility.
• Ability to work meticulously and methodically, demonstrating attention to detail.
• Strong IT skills (demonstrable proficiency in using MS Office, Word, Excel, PowerPoint and Sage 50 Accounts) and the ability to use technology to achieve work plans and objectives.

About the Role
We’re looking for a motivated and detail-driven Finance Manager to join ESSA’s international team and lead our UK financial operations. This vital role will support both UK and global finance functions, ensuring high-quality financial reporting, audit preparation, budgeting and compliance.

Key responsibilities include:

· Preparing monthly management accounts and variance analysis

· Leading year-end and audit processes for ESSA’s UK operations

· Ensuring compliance with charity accounting standards and SORP

· Managing financial reporting for donor-funded projects, including the African Centre for School Leadership (ACSL)

· Supporting budget development, forecasting and reforecasting

· Strengthening finance systems and controls, and developing financial capacity across the team

About You
We’re looking for a qualified accountant (ACCA, ACA, CIMA or equivalent) with:

· At least 5 years’ experience in a finance role in a UK-registered charity

· Strong knowledge of UK charity accounting regulations and SORP

· Experience managing audits and supporting cross-border operations

· Advanced Excel and financial systems skills (AccountsIQ or QuickBooks an advantage)

· Excellent attention to detail and the ability to communicate financial information clearly

· The confidence to work independently in a remote, international team

Experience working in Africa or the international development or education sectors would be an advantage.

About Finance at Hope into Action 

The Finance function of Hope Into Action is small team comprising the Finance Lead, the Finance Administrator and a volunteer reporting to the Head of Operations. It is largely paperless and supports our 42 staff with accounts payable and receivable functions. It works in conjunction with the other departments to deliver timely, accurate and strategic financial information for both the Executive Team and the Board of Trustees. 

About the role 

The Finance Lead is a key role in enabling Hope into Action fulfil its vision of every church lovingly making a home for those experiencing homelessness.

The role is broad ranging from monitoring the Finance inbox to posting transactions on our Xero accounting system and producing the monthly management accounts within our target of 10 working days from the month end 

In addition, you will support the year end work by producing the schedules required by auditors, take a lead in the annual budgeting process, produce the biannual investor statements and compile the gift aid returns. 

You will be expected to meet regularly with budget holders to help them achieve their targets and/or devise a plan to bring them back on track.

Roughly, 50% of our homes are in our ‘line-managed cities’ (Peterborough, Norwich, Nottingham, Cambridge), the other 50% are found across a further 30+ towns which we franchise into.

The Edge Theatre & Arts Centre welcomes over 700 people through our doors every week and runs a varied programme of theatre, classes and courses and an award-winning participatory programme.

THE ROLE

This is a key role within our small friendly team. As Finance Officer you would be responsible for a range of tasks and activities including:

● Bookkeeping

● Supporting the preparation of the annual accounts

The Edge is a registered charity and a company limited by guarantee. The organisation generates income through a diverse range of revenue streams, including earned income from box office sales, venue hire, classes and courses, and its on-site café/bar. Additional funding is secured through charitable grants from trusts and foundations, as well as support from local government and the National Lottery. Our annual turnover is £500,000.

Experience of using Sage would be an advantage, however it is not a necessity, as long as you are comfortable using new IT systems.

The hours and days of work can be flexible to suit the individual and needs of the organisation and would be discussed at interview.
