This is a key role at Southwark Cathedral supporting the Dean and the Sub-Dean. This secretarial role will primarily feature management of a busy personal diary, correspondence and broader administrative support for the Dean in his capacity as Dean of Southwark, Chair of Chapter and CEO of the Cathedral. The role holder will also support the Cathedral team as the Office Administrator – responsible for a range of office duties relating to staff wellbeing & socials, office equipment & spaces and the Cathedral’s general enquiries email address.
Start date: Immediate
Salary: £32,250
Hours of work: 35 hours per week (excluding lunch breaks). Some flexibility will be required to allow attendance at early morning or evening meetings and events.

Main Duties and Responsibilities
For the Dean
- Manage the Dean’s diary: including making appointments, arranging meetings, scheduling preaching and other liturgical arrangements, programming annual schedules (such as Bishops Staff Meetings, chaplaincy and wider public commitments) - keeping Outlook diaries up to date with any changes and making travel arrangements;
- Prepare the Dean’s weekly diary file, including the preparation of any meeting papers or briefs for the week ahead;
- Provide administrative support for the Dean in relation to their attendance at meetings associated with the governance of the Cathedral, including Chapter, Finance Committee, Fabric Advisory Committee and Board of Enterprises. This will include liaising with colleagues on the Dean’s availability for upcoming meetings, any research the Dean requires and preparation of paper packs for such meetings. Minute taking will not usually be required, but may be requested from time to time in liaison with members of staff usually responsible for the minutes;
- Draft, file and send outgoing correspondence on the Dean’s behalf and process incoming correspondence;
- Support the Dean in all their working relationships including building and maintaining excellent relationships with Chapter Members and Committee Members, the Bishop’s staff and with the wider Diocese, as well as with congregation members, neighbours, commercial partners, professional advisers and other third-party organisations relating to the Dean’s work;
- Set up meetings including room set up and refreshment provision as required;
- Assist the Dean with the processing of their expenses;
- Work with the Governance & Committees Manager on Gifts Registry declarations for the Dean;
- Provide administrative support to bodies the Dean chairs, e.g. Southwark Cathedral Development Trust, the Deans Fund and other Cathedral-associated bodies;
- Update the Cathedral database in support of the Dean’s work.
- Provide administrative and practical support for Dean’s events e.g. lectures, receptions and breakfasts with local stakeholders
For the Sub-Dean
- Supporting the Sub-Dean with diary management: making appointments, arranging meetings, and scheduling preaching and other liturgical arrangements;
- Assist with inducting new parishioners: management of database, organising Welcome Evenings etc.;
- Assist with administration relating to the Cathedral’s schools: preparing the liturgical rota, filing and distribution of school clergy admissions forms;
- Other administrative support on an as needed basis
Office Administration
- Receiving, distributing and responding to emails sent to the Cathedral’s general information email address;
- Ordering stationery, office equipment and consumables in line with the Cathedral’s approach to sustainability and ethical buying;
- Ensuring the Cathedral’s printing and franking equipment is kept fully functional, and liaising with our contractors when issues arise;
- Ensuring that the staff keep offices, reception area, print room, stationery area, staff kitchen and facilities clean, tidy and supplied;
- Co-ordinating Staff Meetings, including booking suitable space and organising refreshments for the meeting;
- Organising staff social events, outings and meals;
- Providing administrative support on Cathedral projects as and when they arise.
- Ensuring the Cathedral’s First-Aid kits are kept supplied and in date.
General Duties and Expectations
- Provide general administrative assistance in the context of a busy office;
- Support other teams on an ad hoc basis when required;
- Promote the mission, purpose and values of the Cathedral;
- Ensure that the highest standards of professional performance are maintained & ensure professional skills are regularly updated through participation in training and development activities.

Purpose of role
Stories and impact sit at the heart of what we do at Horatio’s Garden.
This pivotal new role will help us maximise these pillars to support the ambitious fundraising and brand growth in our five-year plan to complete gardens at all NHS spinal injury centres so we can be there for everyone who needs us.
The Stories and Impact Assistant will be responsible for how we create and manage the best processes to amplify powerful stories of people with spinal injuries, their families and NHS staff across our fundraising and communications work.
The role will create a new stories and impact evidence hub that will support how our impact and data gathering evidence is best used for funders, supporters and other key stakeholders to understand what life is like after a spinal injury and the transformative effect of our gardens.

The role includes mandatory training days held by the Rank Foundation that will require travel and possible overnight stays.

Main duties
- Liaise with organisational teams across fundraising and communications to best understand how stories, impact data and published evidence are needed and used across the organisation.

About the Role
The Events & Community Fundraising Manager is an integral part of our ambitious and forward-thinking Fundraising & Communications team.
This postholder will deliver The Connection at St Martin’s Events and Community Fundraising activity. They will line manage the Events & Community Fundraising Assistant, with a particular focus on their work on our annual Pilgrimage event. They will work in conjunction with the Director of Fundraising & Communications to develop and implement an action plan for these important functions.
This role will develop, manage and grow an enthusiastic and motivated team of challenge event participants, pioneer our involvement in the collaborative London Walk event, lead on our emerging Special Events programme, and identify new opportunities and networks for our Community Fundraising remit.
This role requires someone with a strong track record in Events and Community Fundraising, with a solutions-focussed mindset. They will need experience in translating sector best practice into action, and to be excited at the prospect of innovating and pursuing new Events and Community Fundraising opportunities for the organisation.
Salary: £41,599 - £45,097 (scale points 26-30)

Job Purpose

Job Profile

The post holder will contribute to ensuring the Supporter Donations Team (SDT) manage and administer supporter donation activity on behalf of CAFOD, providing a high level of supporter care while delivering within agreed service levels and Key Performance Indicators. SDT has the overall responsibility for managing and thanking all supporter donations to CAFOD made through a variety of channels and schemes. SDT works within the Finance and infrastructure group, liaises across all teams in CAFOD, and external service providers to ensure donations are processed within agreed service levels and quality standards. Due to the nature of SDT’s role, SDT has particularly close ties to CAFOD Fundraising activities and actively engages in our fundraising programmes and schemes.
Key Responsibilities
Supporter Care:
- Handle telephone, email and postal enquiries from supporters; identifying and resolving queries in a prompt, warm and sensitive way.
- Provide phone cover to the Supporter Care team as required.
- Provide reception cover to the Supporter Care team as required.
Donations:
- Accurately code donations received, ensuring agreed departmental procedures are followed.
- Process, set up and administer instructions and payments through a variety of donations channels and schemes such as Online, Direct Debit, standing orders, BACs, Payroll giving schemes and online giving platforms.
- Input and maintain data on CAFOD’s supporter database, ensuring high degrees of accuracy on our donor records.
- File and archive financial data, while adhering to strict audit controls.
Gift Aid:
- Understand Gift Aid and its application within CAFOD.
- Assist with all aspects of tax effective giving, in accordance with agreed procedures and priorities, including preparation of regular tax claims for submission to HMRC.
Thanking:
- Produce and dispatch letters to thank and acknowledge donations received.
- Write bespoke letters of thanks to supporters to respond to exceptional donations and provide a personal touch.
- Contribute to ongoing enhancement and improvement of supporter thanking
Post/banking:
- Assist with all incoming and outgoing postal duties held by SDT to maximise effectiveness of processes and delivery of key service levels.
- Preparation of daily banking, cash handling and initial reconciliation of all monies received daily.
All SDT staff are expected to:
- Attend and contribute to regular team, section, divisional and CAFOD-wide meetings and briefings.
- Work as a supportive member of the team, providing cover for and training of the section staff and volunteers as required.
- Participate in training and other activities as requested by the line manager
- Assist with the rapid set up of projects and work packages in response to major emergency and disaster appeals.
- Rotate through all key tasks within the team / section.
