The International Water Association (IWA) is seeking a capable and experienced Event Coordinator to support the professional delivery of its global conference portfolio. IWA has established a dedicated event delivery entity, IWA Conferences Limited, to strengthen the quality, consistency, and operational standards of its events worldwide.
The role is responsible for the full operational delivery of IWA conferences, ensuring that all logistical, technical, and supplier elements are planned and executed to a high standard, on time and within budget. The post works under the direction of the Conference Producer and focuses solely on the operational aspects of event delivery. It does not include responsibility for programme design, delegate registration, sponsorship sales, or marketing activities.

KEY RESPONSIBILITIES
1. Event Operations & Logistics
- Lead operational planning for all IWA conferences and events.

- Manage all venue arrangements including room allocations, technical requirements, catering, access, and safety.
- Ensure all events meet required standards in health & safety, insurance, safeguarding (where applicable), and contractual compliance.
- Oversee onsite setup, delivery, and breakdown.
- International travel will be required several times per year.
2. Supplier & Contract Management
- Source, negotiate, and manage suppliers including venues, AV/technical contractors, caterers, staging companies, decorators, and logistics partners.
- Ensure value for money, delivery quality, and adherence to agreed timelines.
- Monitor supplier performance and maintain clear documentation.
3. Onsite Delivery
- Act as the operational lead during live events.
- Coordinate suppliers, onsite staff, volunteers, and support teams.
- Resolve operational issues quickly and maintain a professional delegate environment.
4. Budget & Reporting
- Manage operational budgets and track expenditure.
- Prepare post-event operational reports and lessons learned.
- Support continuous improvement of delivery processes and supplier frameworks.
REQUIRED EXPERIENCE AND SKILLS
- Minimum 3 years’ experience in event operations and logistics, ideally with international or multi-day events.
- Strong organisational and scheduling skills with close attention to detail.
- Experience managing suppliers, contracts, and operational budgets.
- Ability to interpret technical/AV specifications.
- Confident working on site and handling time-critical challenges.
- Clear and precise communication skills.

JOB DESCRIPTION
We are seeking a Head of Partnerships & Events to join our highly successful Philanthropy team. In this role, you will work closely with the Director of Fundraising & Communications to develop and enhance our Corporate and Special Events Programme. This is very much a hands-on role of team leadership and direct account management. This includes six figure partners and our key relationships with Tottenham Hotspur Football Club, The Dorchester Hotel and international insurer Fidelis. Special Events include our Winter Ball which raises over £500k annual and our Golf Day at around £100k. The post-holder has a key role in the management of our Philanthropy & Corporate Board, which bring together industry leader to help move both these programmes forward. There is great freedom to innovate and a healthy pool of local business with an affinity to our cause. The post-holder takes a key leadership role across fundraising and marketing, working with their peers (Heads) and Director to take strategic decisions for wider benefit of the department. Having invested in the team’s capacity, we aim to grow income from c. £1.5m to £2m over the next few years. This in the broader context of a total voluntary income target for the charity of £5m-£6m.
The Head of Partnerships & Events leads a team of two currently, although this may increase. We have a Corporate Manager and Events Manger with support from the Philanthropy Officer. Purpose of Post: The Events Coordinator will help to plan, promote and deliver a diverse programme of online and in-person events that reflect the organisation’s mission to support, empower and amplify the voices of people with lived experience of mental illness. These will include outreach sessions, campaigning events, open forums, creative workshops, community engagement activities, fundraising events, awareness days and partnership events.

Key Duties and Responsibilities
Planning and Coordination
- Develop and maintain an annual events calendar covering outreach, campaigns, creative sessions, open forums, workshops and fundraising (both online and in-person).
- Lead on the end-to-end planning of online and in-person events including aims, audience, format, accessibility needs, timelines, budgets, venues, equipment and staffing.
- Prepare event plans, schedules, risk assessments and checklists to ensure smooth delivery.
- Liaise with venues, suppliers and partners to negotiate costs (ensuring value for money), confirm bookings and arrange logistics.
Promotion and Communications
- Produce accessible event information and promotional materials, working with colleagues to ensure inclusive language, imagery and formats.

- Maintain event booking systems (e.g. Eventbrite, online forms), manage attendee lists and respond promptly to enquiries.
Event Delivery
- Act as point of contact on the day of events, ensuring smooth set-up, running and pack-down (including seating, signage, technology and accessibility adjustments).
- Brief staff, volunteers and facilitators on their roles and responsibilities before and during events, to ensure clarity of roles.
- Greet attendees, speakers and partners; creating a warm, inclusive and trauma-sensitive environment.

Community Engagement and Stakeholder Support

Key Responsibilities and Tasks
Responsibility 1: Leadership & Cross Team Working
- Strategic Planning: Lead the development of the communications delivery plan and annual calendar, involving all areas of the Trust, defining key audiences, messages and channels with the aim of increasing awareness and understanding of the Trust. Provide effective leadership and build strong working relationships with departments across the charity to ensure integrated communications plans and campaigns are developed and implemented to achieve the maximum impact with external audiences.
- Communications Delivery Plan: Effective coordination of both messages and activity – both reactive and proactive throughout the year. Including improvements with revised website navigation and architecture, SEO improvements and content targeted at priority groups, including use of video, and influencers.
- Senior Leadership Team: Be an active member of the Senior Leadership Team taking collective responsibility for decision making, risk and budget management across the Trust. Work with the Senior Leadership Team to ensure all communications effectively contribute to and support all strategic goals of the Trust.
- Brand Marketing: Work with teams to improve our products and services and how these meet the needs of our audiences, including working with focus groups (with co-creation when relevant).
- Building Capability: Coordinate providing support and training for all staff to achieve effective communications, which supports the Trust’s overall brand and positioning, including mentoring the communications team.
- Systems & Processes: Maintain and develop systems for gathering information and communications planning within the Trust and from project partners, RSWT and SWT. Embedding into all teams’ ways of working.
Responsibility 2: Communications Delivery
- Line Management: Manage, support and develop a team of staff and volunteers to deliver the communications work programme, providing effective line management. Including the provision of specialist support and advice for the development of specific communication campaigns or tools across the organisation.
- Budgets: Ensure communication activity elsewhere in the Trust is produced within allocated budgets and timeframes.
- Performance: Set and manage KPIs and budget for communications programmes, monitoring and reporting performance and reforecasting in line with Trust requirements. Continuous improvement.
- Brand: Develop the Trust’s brand, ensuring a clear and distinctive brand proposition and engaging brand identity, which also supports the Trust as part of the Wildlife Trusts movement. Ensure the brand’s consistent use and monitor the link with the Trust strategy and values.
- Public Affairs: Oversee the PR and media relations (press office function), and act as a key charity spokesperson when required. Horizon scanning and being aware of emerging issues to develop opportunistic messages to optimise nature recovery actions.
- Crisis Management: Protect the Trust's reputation by ensuring the effectiveness of robust crisis management plans and the definition of clear policies and position statements.
- Design, Content & Print: Coordinate the Annual Report with teams and Trustees. Editor for the members’ magazine and print products to support membership retention and enable action for nature.
Responsibility 3: Campaigns for Change
- Strategic Campaign Planning: Work with our policy, advocacy and engagement specialists to design campaigns that move people through the engagement funnel, change behaviour, influence policy, and improve supporter retention. Work with the Exec Team to set campaign objectives tied to clear outcomes: acquisition, activation, retention, behaviour change, policy influence, or income generation.
- Supporter Journeys & Segmentation: Map and optimise journeys across channels (email, web, social media, print, events) with named next steps that move people toward deeper engagement and action.
- Marketing Campaign Leadership: Own the strategic design of multi-channel marketing campaigns and provide clear briefs and creative direction to the delivery team. Ensure channel integration so website journeys, email, print content and social media activity are coordinated and measurable. Keep storytelling compelling while optimising for acquisition and action.
- Advocacy & Policy Campaigns: Work across teams to design campaigns to influence systems change by leveraging our data and evidence, combining public voice, stakeholder engagement and targeted advocacy tactics.
- Behaviour Change Campaigns: Work with our engagement specialists to apply social marketing techniques and behavioural frameworks to shift norms and the adoption of actions for nature. Translate data and evidence into interventions that use communication tactics such as prompts, social proof, incentives and nudges to create measurable behaviour change.

Summary and key purpose
This new role will be primarily responsible for developing, marketing and managing our individual giving together with working across other fundraising disciplines. You will be a key member of our fundraising team, producing compelling fundraising communications, stewarding individual donors, including regular donors and gifts in memory. You will ensure that our donors receive excellent care.
Our Individual Giving programme will incorporate one-off donations, regular giving, digital fundraising, appeals and in-memory giving. You will do this, with the support of our recently appointed fundraising agency, who you will manage our relationship with week by week.
A critical element of the role will be how we market ourselves to potential new donors, taking them on an emotional engagement journey in order to solicit regular gifts.
Your expertise and skills:
To excel in this role, you will need prior experience of working in a fundraising setting, with an understanding of good stewardship practices. You should be a self-starter who thrives in a dynamic environment, working across teams and meeting multiple deadlines. Your excellent relationship management skills will enable you to effectively communicate with a diverse range of stakeholders and gather information on new projects. You must have a thorough understanding of individual giving, developing donor journeys and experience of work with agencies.

- Day-to-day management of the regular giving programme, project managing appeals and overseeing the thanking process for individual donors.

About You
Essential
- Degree in a relevant subject (e.g. social sciences, economics, research methods, etc) or equivalent qualifications or experience in a research capacity.
- Experience of writing for external publication e.g. websites, reports, newsletters.
- Experience of undertaking qualitative and/or quantitative data collection and analysis
- Accuracy and attention to detail, and ability to show initiative and work independently.
- Excellent understanding of Microsoft Office suite (in particular, Word, Excel and PowerPoint)
- Ability to work to deadline and manage multiple, competing priorities.
- Experience of working with vulnerable groups
- A commitment to the values of Learning and Work Institute
Desirable
- Understanding of a range of research and evaluation methodologies and methods.
- Understanding and interest in a subject area of relevance to L&W: adult learning, skills and employment policy and/or practice.
