Across the organisation trustees, staff and volunteers are working hard together to lead Age UK East London to become more professional, more collaborative and more sustainable. We are proud of the progress we have made; 95% of staff say they would recommend us as a place to work.
This new role along with a new Governance and Executive Support Coordinator role has been created to help us make faster progress towards achieving these transformational goals.
This appointment comes at the time of a review of our premises needs.
Job description
Job Purpose
Your role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant managing of our premises, IT systems and some HR functions.
You will play a key role in delivering and maintaining our offices and facilities, and the IT services for the whole organisation alongside our retained IT consultants.
By providing high quality operational and administrative support you will play a critical role in ensuring the smooth operation of our organisation. You will do this by:
- Supporting the Director of Finance and Operations in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Insurance, Premises, Facilities, Vehicle Management, IT and CRM system services.
- Improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively.
- Coordinating and implementing efficient HR processes and record-keeping, including recruitment, onboarding and training of staff.
- Being the key contact for staff and volunteers for all IT and premises matters including induction and training.
- Providing management for the maintenance and smooth running of the physical premises of the workplace ensuring they are safe and equipment is available and in good order.
Key Tasks
Coordinate and implement processes that relate to our staff
- Support the coordination of recruitment, pre-employment checks, onboarding, induction and training processes for new staff.
- Maintain accurate records of staff annual leave, mandatory training, DBS renewal, appraisals, and probation reviews and liaise with staff/managers as appropriate.
- Carry out workstation assessments as needed
Premises
- Act as the first line of support for premises and facilities across all our locations.
- Maintain secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.
- Serve as the first point of contact for all health & safety matters.
- Help establish and maintain safe working practices and policies and undertake basic risk assessment
- Act as the first point of contact for equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required.
- Managing relationships with facilities and other providers such as utilities, fire safety access, and cleaning
- Support the Director of Finance and Operations in developing and implementing a new premises strategy.
- Promote environmental awareness and encourage the charity in its adoption of a greener approach, e.g. recycling, energy use, carbon footprint reduction.
- Manage the two cleaners.
IT and systems
- Act as the first point of contact for IT and other technical support to staff, trustees and volunteers within the organisation
- Manage the relationship with our IT consultants to deliver contractual SLAs and policy updates.
- Coordinate IT stock purchases and monitor asset use across the organisation.
- Work effectively and efficiently with the outsourced ICT provider, Penelope
- Implement processes that maintain effective IT security.
- Assist in the onboarding and offboarding of employees, including software licences, logins, user processes, induction and IT systems training, and internal IT communication.
- Support the Director of Finance and Operations in developing and implementing a new ICT strategy.
General
- To meet regularly with line manager for support, supervision and appraisal.
- To attend team and staff meetings, (and other meetings) as required.
- To undertake any other duties within the competence of the post holder as may be required from time to time for the continued smooth running of Age UK East London.

Principal Research Officer – Ecosystem Health & Social Dimensions

About The Role
WWT has successfully partnered with Richmond Borough and Slough Councils to deliver an innovative, nature-based flood alleviation scheme that is already underway, aiming to future-proof neighbourhoods against the impacts of climate change. A landscape scale network of wetland interventions will help build flood resilient communities in two river catchments and unlock their multiple benefits for people. Key interventions are being developed through an inclusive process of co-production with the diverse communities living in these catchments.
WWT’s Conservation Evidence Department is seeking a scientist to deliver social research that examines the effectiveness of these nature-based solutions in building flood resilience and generating social and health and wellbeing benefits for local communities.
About You
The role will involve working closely with WWT colleagues across the Conservation Directorate, as well as project partners and local communities. Strong communication (written and oral) and coordination skills are essential.
The successful candidate will have:
- strong social research skills, both in quantitative and qualitative data collection and analysis
- an understanding of sound scientific methods as well as excellent paper-writing and data management skills
- will have worked with a diverse range of communities and be aware of cultural sensitivities and what is needed to achieve high ethical standards when working with people
- will be an excellent team worker, hold a PhD in a social science, geography or environmental psychology subject, and be familiar with leading, designing and delivering scientific research projects
The role will sit within the Conservation Evidence department, which is a vibrant, multidisciplinary team of passionate scientists. The Legal Administrator is a key component of the Asylum Aid team, overseeing all of our administrative systems and processes, and providing vital administrative support to our legal casework staff.
The Training Programme Coordinator supports the delivery of Asylum Aid’s two strategic partnerships that aim to help address the continuing fall in availability of immigration advice across England and Wales. The Compass Project and the Migrant Justice Greater London (MJGL) Partnership are designed to increase learning, collaboration and peer support opportunities between advice agencies and ultimately improve the provision of immigration advice to people seeking asylum, refugees, and other vulnerable people in the immigration system. This role provides key administrative support and coordination to ensure the effective delivery of both the Compass and MJGL training projects, working closely with Asylum Aid’s Immigration Supervisors and Director of Legal Casework, as well as external consultants, including the Learning Partner, managers and advisers at partner organisations.
Compass is Asylum Aid’s Advisor Development Programme of training, supervision and peer support for immigration advisers working in advice deserts across England and Wales. It is funded by the Justice Together Initiative. More information about the project can be found on our website here.
The Migrant Justice Greater London (MJGL) project is a partnership between Asylum Aid, Refugee Action and Praxis, designed to deliver legal training and supervision to frontline organisations across London. It is funded by the Greater London Authority.
Key responsibilities
Legal Administrator (approximately 4 days a week)
· To manage incoming and outgoing legal post in line with Asylum Aid’s procedures
· To post, email or arrange the dispatch of legal correspondence to clients, the Home Office, court or tribunal, counsel etc
· To receive and make telephone calls relating to casework activity, as well as covering the receptionist function in answering general incoming calls
· To manage the legal enquiries email inbox, triaging emails as appropriate

The successful candidate will have a relevant degree or equivalent experience with at least 2 years’ experience in a communications/GIS related role. They will be skilled in creating high quality digital communicational outputs and have knowledge of monitoring these outputs for the purposes of report writing. This candidate will also support the Project Manager throughout the project and assist with the final report for the funder at the end of the project.

Nurturing Nature

To support the Natural Heritage Officer in digitising work areas and volunteer recruitment.
Natural Benefits

To oversee delivery of project communications, including events and activities from across the workstreams, providing content creation, maintenance, support and enhancement for the digital assets, including website(s), social media channels and blogs.
Nature Counts

To create targeted Community Science surveys on the project’s Nature Counts Platform pages.

To download, summarise and share ecological date collected as part of the project, as appropriate, and feedback to relevant volunteers.
Nature Network

To create an interactive digital platform which enables and empowers individuals, volunteer groups, organisations and land managers to take action for nature. Includes iterative design approach with community testing.

To launch the Nature Network, Engagement and communications built into Project plans.

Liaise with land managers and provide GIS support for the Nature Network workstream cataloguing landownership parcels around targeted greenspace sites in Cumbernauld.

Collate and share collections of community historic images and map archives to illustrate change in Cumbernauld’s greenspaces over time as ‘Natures Archive’.

Assist with the creation of two virtual (VR), and one augmented reality (AR), videos to inspire public connection with their natural environment. Including VR tree trail, 360-degree interactive nature trails and AR video to show impact of habitat interventions across multiple phases of Cumbernauld Living Landscape
Wider project work

To raise awareness of the projects progress and inspire the local community and stakeholders to take action for nature.

Work with other teams within the trust, including fundraising department to develop appropriate digital campaigns

Support project team with in-person and online events and other communications opportunities

Support the team’s wider communications plan

Contribute to project reporting, including Monitoring & Evaluation findings across the life of the project, including summarising data, creating infographics and reflecting on highlights and challenges.

At an exciting time in JGDR's fundraising, we are looking for volunteering & community fundraising officers to support our communities in North Lincolnshire and East Yorkshire. It is a great opportunity to join a passionate team.
Hours: 35 hours per week (with occasional weekend and evening working as and when the role requires)
Location: This is a hybrid role, with regular travel required across the North Lincolnshire and East Yorkshire regions, including visits to our charity shops and centres. Weekend and evening work will be expected, as and when the role requires. Post holders will be expected to be working flexibly across their community 4 days out of 5 – with at least one day per week from our North Lincolnshire Centre – and attend regular team meetings in an agreed location.
Due to the scope and nature of the role, you will need to live within, or in close proximity to, North Lincolnshire. You will be required to have a valid driving license and access to a car to enable you to travel freely across the area without reliance on public transport.

Job summary
We are looking for a proactive, confident and supporter-focused fundraiser to build and manage relations with JGDR’s local community across North Lincolnshire and East Yorkshire. Working with the Volunteering and Community Fundraising Manager, you will deliver a strategy to grow income and volunteer numbers from the local community. This is a varied role which will cover:
· Stewarding and recruiting supporters undertaking their own fundraising activities, including those taking part in challenge events
· Organising & attending local events to raise awareness and income
· Proactively approaching and working with local &national businesses
· Recruiting and overseeing a network of volunteers who can support income generation in your local area. This role would suit a target-driven, approachable and resourceful fundraiser with ambition and drive – there is plenty of opportunity to make this role your own and drive forward growth in these crucial income streams.
Your role
You will sit in the Volunteering and Community Fundraising team, and report to the Volunteering and Community Fundraising Manager. You will manage your own time to effectively balance both developing and stewarding relationships with individual and corporate supporters in the local area and working through a network of volunteers to deliver fundraising and retail objectives.
You will develop and grow strong relationships with supporters, collaborating with colleagues across the wider organisation to ensure you are offering the best supporter experience you can. You will attend local events with, and through, volunteers, work with colleagues in our retail and operation sites, and spot other opportunities to promote JGDR in your community and drive support for our work.
You will deliver excellent stewardship to supporters and volunteers and develop relationships with key local contacts who can help to further JGDR’s mission. You will champion supporter care and ensure that all relevant supporter information is stored on JGDR’s CRM, Donorflex.
Key responsibilities
Community fundraising
· Identify, engage, and steward DIY and community fundraisers, developing strategies to promote fundraising activities in these groups and grow income from your local area
· Proactively pursue local business partnership opportunities, developing a pipeline of potential corporate support and making applications to secure support
· Provide high quality stewardship of supporters, groups and businesses within the community, responding to enquiries in a timely way and ensuring relationships are developed and maintained at a high standard
· Represent JGDR as the first point of contact within the community, promoting our mission, vision, and values alongside fundraising and volunteer opportunities
· Ensure that Donorflex is up-to-date and develop regular reporting mechanisms to inform the Volunteering and Community Fundraising Manager of outputs and results, and support understanding of the local audiences, including individual supporters, local businesses, and volunteers, and their historical engagement with the charity
Volunteering
· Work with the Volunteering and Community Fundraising Manager and Volunteering Administration Assistant to recruit, induct and train volunteers to support fundraising and other relevant initiatives in the local community
· Via volunteer support, oversee the distribution of collection boxes in your local area, monitoring and reporting on income generated
· Coordinate and attend – supported by a network of volunteers – key local events, e.g. county shows, to raise awareness of JGDR in the local community and drive support for the charity amongst target audience groups.
· Ensure JGDR retail shops, and their volunteers, in your area have relevant and timely information on current fundraising campaigns and other initiatives to share with customers
· Ensure that the Volunteering database, Volunteero, is up to date
Other duties
· Contribute content for social media, fundraising newsletters, publications and local media to support marketing objectives and increase our engagement with adopters, supporters and donors online
· Keep up to date with sector trends and developments in community and regional fundraising, and volunteering
· Ensure all fundraising activities and events operate within best practice and regulatory guidelines and comply with health and safety requirements.
· Act as a champion for fundraising compliance across the organisation, including ensuring adherence to the Fundraising Regulator’s Code of Fundraising Practice, the General Data Protection Act and PECR, and other relevant legislative requirements.
· Manage any complaints from supporters efficiently and sensitively
· Act as a collaborative role model to the wider team, and build strong working relationships with colleagues across the wider charity to be an internal ambassador for Fundraising and Marketing

· Familiar with sector trends and best practice methods of acquiring, retaining and stewarding supporters

· Experienced in using CRM databases to input, monitor, and report on supporter data and to gather insights
· Diligent, organised and respectful of others’ contributions, and keen to work in an environment that encourages constructive feedback and collaboration
· Committed to dog welfare, and representing the values of JGDR both internally and externally
· Prepared and able to travel extensively in your region, including to other JGDR Centres and retail sites. A valid UK driving license and access to a vehicle will be necessary.
· Prepared and able to attend relevant supporter events in the evening and at weekends within the community; a time off in lieu policy for this is in place.
