Summary of the role:
This role will provide day-to-day administrative support and project support to the department head and the overall team to ensure the successful delivery of the organisation’s operations in an efficient manner. This role will focus on generating reports, tracking progress, and ensuring all the necessary processes relating to compliance, finance and HR are completed in a timely and accurate manner.
About the Role:
- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.
- Develop, maintain and review administrative systems to achieve maximum efficiency and to have high-level exposure across the organisation including admin, finance, IT, HR, supporter services, IP, comms etc.
- Prepare purchase orders and document payments according to Muslim Aid’s financial procedure and in conjunction with the Finance team to ensure speedy payment of invoices for internal / external stakeholders.
- Assist the Head of Income Generation and Marketing with the preparation of PowerPoint presentations, documents, briefing papers, action points and reports as requested and to track work across all relevant departments to ensure the nominated Manager undertakes action within the agreed timeframe.
- Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.
- Be the gatekeeper and first point of contact to stakeholders, assessing priorities, redirecting calls, enquiries, and face to face meeting appointments.

The MARAC Administrator will support the MARAC Coordinator in the administering the MARAC process. The post holder will be co-located in Brent and will be required to attend MARAC meetings in various locations as required. There will also be a requirement to attend Advance’s Headoffice
The MARAC Administrator will process MARAC referrals and flag to the MARAC Coordinator any referrals that have insufficient information or may not meet the MARAC threshold. An understanding of violence against women and girls with a particular focus on the dynamics of domestic violence (physical, emotional and sexual violence, so-called ‘honour-based violence’, forced marriage, stalking and harassment) and its impact on women, children, families and communities.
Experience of office management and administration roles and experience of maintaining data systems and producing regular monitoring reports

Office Coordinator (Maternity Cover)
The Office Coordinator position is responsible for the general day-to-day operations of the London, UK office. Due to the nature of this position, work must generally be performed within a 30 hours / week timeframe (M-Fri). This role is an in-office role.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, with other duties upon request:

In the Organisational Development team, we have just launched our learning and development framework to align to this goal and create a learning culture for staff and volunteers which is inclusive, flexible and data driven.

The Training Administrator plays a vital part in helping to deliver our goals, ensuring that we have an effective and sustainable learning and development programme.
About the role
The role will be central to coordinating our learning and development journey for staff and volunteers. You will be passionate about creating a learning culture and be the first point of contact for learners, organise online and in-person training workshops, and manage our Learning Management System. You will work closely with the People and Culture teams to build an efficient learning and development service and ensure that learners have access to what they need to engage in our learning and development offer. You will also collate evaluation data and create quarterly reports on our training programmes to share our learnings and successes.
About you
If your knowledge, skills and experience include the following then we’d love to hear from you:
- Attention to detail and ability to produce accurate, succinct reports and data.
- Able to communicate effectively, both verbally and in writing, and with excellent interpersonal and customer relationship skills.
- Experience of supporting learning and development programmes and managing Learner Management Systems such as Moodle.
- Confidence in using Microsoft Excel at a basic or intermediate level
- Able to work effectively within a team, supporting multiple stakeholders including staff, volunteers and managers
- A flexible, solutions-focused and creative approach.

About CleanupUK
We’re a small charity that brings communities together to create cleaner, connected and safer urban and rural neighbourhoods by tackling the litter problems where they live. Litter-picking brings people closer together, enables neighbours to meet one another other and helps create a greater sense of pride and community in local areas.
Historically, we have delivered litter-picking focussed community engagement projects in London and Birmingham. Our current focus is developing partnerships with community organisations across England to expand our reach and increase impact.
Main duties of the role

To provide a pro-active, high-quality administration and support service to the Operational Team, Chief Executive and the Corporate Partnerships team.
Operational Team: Deals with logistics, processes and day to day functions of our work on the ground with community partners and volunteers.

An exciting opportunity has arisen at Mind CHWF to join our Facilities team as a Receptionist and Administrative Assistant.
As a crucial part of the Facilities team, you will be the face of the organisation welcoming clients, visitors and fellow staff members, ensuring that the central reception function, including facilities runs smoothly. We are looking to recruit a Supported Accommodation Administrator to provide a welcoming environment and lead on the administration of systems that enables the Supported Accommodation services to operate effectively including: housing management, referrals, financial management and health and safety. This is an exciting role in our Supported Accommodation team that will be the first point of contact for the hostel and input information on the client database in order to ensure that all staff have timely and accurate information about residents. You will also assist the Registered Manager in recording and reviewing documentation in relation to the Supported Accommodation (England) Regulations 2023 and our registration and regulation under OFSTED. In addition to this, you will process voids (vacant rooms) in line with housing management procedures, ensuring that rooms are cleared and liaising with the Facilities Manager to ensure that rooms are habitable as soon as possible.
