We’re looking for a Vet Admin Assistant to provide assistance to our veterinary team and the clients they support through a number of different schemes.
About this role:
As Vet Admin Assistant, you’ll
- be the first point of contact those contacting our busy Vet team,
- assist with the daily monitoring of a number of inboxes, providing clients with excellent customer service,
- support with the administration of our emergency fund, which supports dog owners in financial need and provide cover in our busy pharmacy, based at our London office
- support with the processing of prescriptions, maintain accurate records and organise relationship building meetings with vet practices for a number of stakeholders to attend.

For this role, you’ll need to be an organised, people person; with excellent communication skills, with confidence across different systems, drawing from either experience or your ability to pick up new processes quickly. You’ll also need to work confidently under pressure, while maintaining the ability to prioritise tasks appropriately and use initiative. About this team:
The Veterinary department is a friendly team of nurses, surgeons and administrative staff working in the London office. The primary responsibility for this team is to provide case guidance and management options for dogs within our care across our network of Rehoming Centres and other veterinary related schemes such as Outreach, Shared Adoption Scheme (SAS), Veterinary Support Fund (VSF) and the Emergency Trust Fund (ETF).

We are seeking an organised, proactive and diligent Membership and Engagement Coordinator to lead on the administrative support for our members and the wider Engagement team. The post holder will be responsible for providing a seamless experience for members wanting to join the ESU or for those renewing their membership. · Act as the first point of contact for current and prospective members and assist with their queries.
· Assist with the production of monthly membership statistics and reports.

· Maintain records of international ESUs and support the Director of Global Engagement with sending communications to this group.

Office Coordinator (Maternity Cover)
The Office Coordinator position is responsible for the general day-to-day operations of the London, UK office. Due to the nature of this position, work must generally be performed within a 30 hours / week timeframe (M-Fri). This role is an in-office role.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, with other duties upon request:
· General administration as required: call handling and forwarding, front door access controls, post management, post requests, staff access, etc.

Purpose of the Post
This role will support the smooth running of all Lewisham Foodbank operations by providing effective and supportive communications to those who contact the main Foodbank phone line and inbox. The candidate must have excellent interpersonal skills and will communicate well with other team members, clients and external organisations to troubleshoot when challenges arise, sometimes being required to provide information and support to people facing complex and distressing situations. The postholder will liaise and work closely with the rest of the team to ensure safeguarding procedures are followed and communication is in line with our policies and values.
Lewisham Foodbank works on a referral system and works with over 500 local organisations who refer people to our services. The postholder will be responsible for setting up new referral agencies on our system and sending out onboarding information and regular updates to these partners. They will also have responsibility for checking requests for home deliveries and coordinating the preparation and administration of these with a small group of delivery volunteers. This may occasionally require phoning clients and packing deliveries themselves if a volunteer has not been able to attend.
Main Duties & Responsibilities
● Respond promptly to enquiries on the main food bank phone and inbox from visitors, referrals organisations, donors and others.
● Either reply to enquiries or forward to the relevant member of staff.
● Sort emails into relevant folders and update records, when necessary, on the data collection system.
● Assess requests for deliveries and co-ordinate with delivery volunteer teams to prepare and deliver to a small group of clients’ homes.
● Liaise with referral agencies when more information or communication about deliveries is required.
● Keep the database updated with delivery requests.
● Set up new partners as referral agencies on the Data Collection System and send them all the relevant onboarding information.
● Contact referrers where clients have exceeded voucher limits and agree ongoing support in collaboration with the Project Manager.
● Create and send thank you certificates to donors at regular intervals.
● Support administrative volunteers to issue e-vouchers on behalf of job centres and other agencies that are not signed up as referrers.
● Deal with enquiries regarding Acts 435 grants and provide relevant information or signposting.
● Participate in relevant training courses and Food Network meetings.
● Keep up to date with local support and signposting information.
● Occasionally take minutes at meetings.
● Occasionally visit foodbank distribution centres and be prepared to step in to help at centres or the warehouse if there is an unexpected shortage of volunteers.
● To use online data systems and ensure all warehouse paperwork is stored securely in line with GDPR.

The Volunteering Team is a collaborative and supportive team sitting within Shelter’s Equity, Inclusion & Culture Directorate. We are passionate about the positive impacts of volunteering for both individuals and causes and believe volunteers are a vital part of Shelter’s Fight for Home.

About the Role
As a Volunteering Administrator, you will be essential to the coordination of the Volunteering Team’s work in developing a consistent, inclusive and high-quality volunteering offer. You’ll be delivering administrative support across the team, enabling smooth delivery of the service. This will include managing our busy Mailboxes, processing elements of volunteer recruitment and administrating our volunteer database, Better Impact. Working on the database forms a large part of this role; as well as routine tasks such as data reporting, you’ll be working on more in-depth database development. This includes leading on a piece of work restructuring the way our database is set up.
You’ll also be supporting volunteer managers through delivering training demonstrations on our database, creating process guides and providing advice. You’ll be a key member of the team with in-depth knowledge and understanding on volunteering processes and policies to promote our volunteering culture across Shelter and Shelter Scotland.
With this role, we can offer the option of completing an apprenticeship in a related subject. This will involve spending approximately 20% of your work time completing education/learning for the duration of the apprenticeship. Having strong administration skills with confident use of databases is essential for this role. We’re looking for someone who is comfortable taking ownership in processes, including introducing and delivering new ideas, methods or processes. We are looking for someone with experience of working in a collaborative way to join the Marketing and Brand team as Project Administrator on a 12-month fixed term contract basis. You'll support the day-to-day running of the team by providing effective administration and project planning.
This role is varied and the successful postholder will be responsible for scheduling external and internal meetings, liaising with key internal and external stakeholders, preparing reports, setting agendas and minute taking for meetings and financial administration.
