ABOUT THIS OPPORTUNITY

We are seeking a highly organised administrator to support our Fundraising team.

In this role, you will play a key part in supporting the Harris Federation’s impactful fundraising efforts through vital administrative assistance. Working closely with the Head of Fundraising and Partnerships and other team members, you will help celebrate and acknowledge our donors by crafting thoughtful reports and heartfelt communications. Your contributions will ensure donors feel valued through timely updates, expressions of gratitude and meaningful engagement.

You will also establish and maintain an efficient system to manage our donation records, ensuring that every contribution is acknowledged and appreciated.

MAIN AREAS OF RESPONSIBILITY

Your responsibilities will include:

• Providing administrative support to the Fundraising, Partnerships and Alumni department of the Harris Federation
• Supporting the Head of Fundraising and Partnerships and colleagues with donor reporting, including managing invoices, preparing thank-you communications, providing timely updates and sending reports to funders
• Maintaining an accurate database and systems to manage donation records, ensuring data integrity and confidentiality
• Coordinating and tracking fundraising activities, deadlines and events to support the smooth operation of campaigns
• Assisting with scheduling meetings, managing calendars and organising internal and external communications
• Supporting the preparation of fundraising proposals, presentations and other documentation as required
• Handling incoming enquiries related to fundraising and partnership activity professionally and promptly
• Contributing to the evaluation and continuous improvement of fundraising administration processes

Citizens Advice Havering (CAH) and Citizens Advice Redbridge  (CAR)  work in partnership to provide information and advice to the residents of both boroughs. .  CAH and CAR are amongst the smaller local Citizens Advice (LCAs) and as such have to work hard to meet demand with limited resources.  We work in a number of locations across the boroughs, working  together on back office and support functions to maximize cost efficiency. We deliver our services with the help of 34 paid staff across the partnership.  Most of our paid staff provide advice services.  Our staff team is supported by approximately 70 dedicated volunteers supporting advice and administration.

About the role

We are looking for an experienced back-office professional who comfortably works with trustees, staff and volunteer teams, suppliers, clients and external stakeholders.  The successful candidate will need to be able to handle a wide range of tasks – from the mundane to the complex – equally skillfully and diligently.

The Partnership Support Manager will independently manage their own workload, but work with and be part of a wider team who have a range of expertise and a common aim.  There is the opportunity to recruit and train volunteers who can assist with administrative tasks and build up a small team.

Barnardo's are recruiting a Single Point of Access (SPA) Administrator for our exciting innovation research programme Generation PMTO (Parenting Management Training Oregon) service delivered in the UK for the first time.

Barnardo's approved for this 3 Year trial introduction of an innovative parenting programme (Generation PMTO- Parent Management Training Oregon) into the UK. Well tested around the World although this is the first time it is being trialled in the UK. The programme is for parents of children aged 8-14 who may be susceptible to serious youth violence if the parents are not given support. The programme is built on a strength based, solution focused, positive parenting model giving parents the tools to be the change makers in the family.

This is a three-year trial that will require flexibility and energy from the entire team, the project is evolving, and the team are currently in the pilot stage. The partnership is complex, involving three boroughs, the Ending Youth Violence Lab, Barnardo's, and GEN PMTO. A significant amount of time will be dedicated to liaising with various partners and borough stake holders, coordinating meetings, and establishing agreed ways of working.

Working in close partnership with the parents, the GEN PMTO trainers, the funders (Youth Endowment Fund), the evaluators (Ending Youth Violence Lab) and three boroughs chosen to trial the programme (BRENT, Tower Hamlets and Barking and Dagenham), we will focus on building stronger families and improving children and young people's life chances.

The post holder will be an integral part of the team to ensure smooth operational and business underpin. The role will require a good level of the following skills and abilities, do you have?

• Proven office experience with competence at organising meetings and taking minutes as required.

The Holly Lodge Centre is a small charity in the heart of Richmond Park with a mission to ensure outdoor education is accessible for all. 1. About Chance to Shine

We are Chance to Shine: a children’s charity dedicated to harnessing the power of cricket to transform the life prospects of young people in the UK.

It is our mission that all young people have the opportunity to play, learn and develop through cricket. We want them to learn a love of the game and to find a sense of belonging through the sport, developing their wider wellbeing and life skills to help fulfil their potential.

Established in 2005, we have a long-term track record of delivery in state schools and under-served communities, bringing best-in-class cricket programmes to young people aged 5 to 24 who might not otherwise have the opportunity to play. All our programmes are completely free for everyone involved, from schools and community groups to young people and their families.

2. Purpose of the Role

We are looking for a full time (37.5hrs per week) Executive and Office Assistant to support the Finance and Resources team at Chance to Shine. The Finance and Resources team provide day to day support to all departments in the charity and trading subsidiary, Chance to Shine Enterprises Ltd, around finance, office, governance, HR and general administration. The role is expected to be largely in person in our central London office.

3. Key Responsibilities

The Executive and Office Assistant’s responsibilities are in three areas:

Office Administration:

· Act as ‘front of house’ for visitors and guests and be first point of contact for telephone enquiries and ensure the office space is fully operational.

· Monitor the charity inbox and respond to general enquiries.

· Oversee and monitor the Office and Administration budget.

· Liaise with the office landlord, regarding the general office space, car-parking, meeting rooms and staff access. 

· Help manage offsite storage space.

· Administer IT support processes, first point of contact for IT support issues and managing IT supplier contracts; and administering staff IT requirements.

· Maintain up to date shared document area on sharepoint.

· Act as Health and Safety Officer responsible for all Health and Safety matters, and attend training as necessary.

 

Executive Support

· Support the CEO and Senior Management Team (SMT) on organising and following up internal meetings, Board meetings and company wide initiatives.

· Provide governance support to the CEO, Director of Finance and Resources and Trustees.

· Take the minutes/key actions of Board and Committee meetings.

· Support on the onboarding and induction of new Trustees.

· Maintain Trustees’ register of interest.

· Deliver ad hoc administrative support for the CEO and Finance & Resources Department.

· Ad hoc support at Chance to Shine events, such as fundraisers, media events and competitions.

 

HR Support

· Administrative support to the HR Manager for HR processes, including drafting letters, maintaining employee records and recruitment processes.

· Support the induction of new employees to CTS.

· Support the HR Manager with administering staff benefits, organisational training and annual appraisal process.

6. Experience & qualifications

Essential:

• Minimum of one year’s experience in a high volume, fast paced administrative role in a similar sized organisation
• Experience of working in customer facing role
• Experience in working in a small team with demonstrable flexibility and adaptability to support team deliverables

Desirable:

• Experience in an office or executive support role
• Knowledge of Health and Safety regulations or a willingness to train
• Experience working in a charity
• Experience in taking meeting minutes

We are looking to recruit a facilities and office coordinator to provide a high-quality service for the Centre. This is an exciting role in our facilities team that will support the smooth running of the building, including maintaining kitchen supplies, issuing building access passes, supporting with the administration of the planned maintenance cycle and with building maintenance requests.

With your warm, friendly, professional manner, you will provide exemplary office management, from accepting regular deliveries and post for our hostel residents and services, to ensuring we have all the right supplies in the right place.  You’ll be a strong help to the Facilities Manager, providing top-notch administrative support to maintain our requirements under health and safety, and hands-on help when needed around the building.

Bringing your experience of office management and willingness and enthusiasm to support with maintenance tasks, you will proactively seek to continually improve yourself and the role, championing a culture of service excellence, as well as taking ownership and accountability of your workload.

First Give is a national charity that empowers young people to make a positive difference to the causes they care about. Team Administrator

We are seeking an enthusiastic, proactive and motivated administrator who would like a varied role.  The successful candidate will provide cross-departmental support and administrative support to the Director and Senior Leadership Team. There is real scope for the candidate to shape the role and gain experience from involvement in various organisational projects. Key responsibilities

Providing support to the First Give team, primarily the SLT

• To be the first point of contact for enquiries to First Give by email and telephone
• Provide administrative support for First Gives Board of Trustees and SLT, including scheduling meetings and meeting minutes
• Supporting with communications to stakeholders e.g. schools, facilitators or funders as needed
• Managing First Gives relationship with external contractors such as printers and Salesforce support

Overseeing and managing financial administration

• Setting up and tracking payments to contractors and charities in our banking system ensuring timely completion
• Processing, reviewing and identifying outstanding invoices (including working closely with school finance departments to ensure timely payment of school contributions)
• Administering expenses and pre-paid card system, ensuring expenses are accurately recorded each month
• Provide regular monthly tracking reports on payments to the Director

Administering First Give’s charity grants

• Carrying out due diligence for winning charities to ensure comply with First Give donation rules
• Liaising with winning charities to arrange payment and ensuring accurate records of payments processed
• Running monthly reports on payments for the Director

Providing support to the Programmes team

• Supporting the Programmes team with recruitment of judges for school finals
• Managing First Give’s programme resources stock, ensuring we have enough programme documents and equipment to resource the programme
• Management of coursebook printing and distribution to schools
