Becoming an administration volunteer is just one way you can help improve the lives of cats in your local community. Our administration volunteers help provide vital admin support to our volunteer groups and teams across Cats Protection. They help keep up to date records of the number of cats that have been rehomed, collate supporter details and send out newsletters. What we need from you

You’ll be:

· Recording relevant information related to your volunteer group

Time expectation

Our administration volunteers usually spend 2 to 3 hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.

Solta o Jogo is a vibrant cultural competition and festival celebrating Brazilian heritage through Capoeira, music, dance, acrobatics, and a Brazilian arts & crafts fair. Hosted at Kingston University Townhouse, the event invites the community to participate in free performances, workshops, and exhibitions promoting cross-cultural understanding.

As part of this initiative, we are seeking a dedicated Admin Assistant to support the day-to-day coordination and administrative operations behind this exciting and community-driven programme.

Position Overview:
The Admin Assistant will play a vital role in supporting communication, event coordination, documentation, and volunteer tracking. This position is perfect for someone looking to gain hands-on experience in nonprofit administration, event logistics, and team coordination. The role offers flexibility, skill development opportunities, and the chance to make a meaningful impact within the community.

Key Responsibilities:

Event Coordination Support

• Schedule and manage logistics for project events, workshops, and community showcases.

• Track bookings, rehearsals, and venue use to ensure a smooth timeline.

• Support RSVP management and communication for performances and activities.

Data & Documentation Management

• Maintain and organise project records such as attendance sheets, registration forms, and feedback.

• Ensure digital files are properly stored and accessible for all team members.

• Assist in compiling reports and summaries post-events.

Communication & Liaison

• Serve as a contact point for public and internal queries related to the project.

• Help coordinate communication between departments involved in the project (HR, Marketing, PR, Finance).

• Communicate with facilitators, artists, and partners to confirm details and provide logistical support.

Resource & Inventory Support

• Track inventory of promotional and event materials.

• Assist in coordinating procurement and delivery of materials for activities and performances.

Volunteer Coordination

• Monitor onboarding progress of volunteers engaged in Solta o Jogo.

• Assist with preparing and maintaining volunteer schedules.

• Provide administrative support during volunteer briefings and training.

General Administrative Duties

• Take meeting minutes and circulate action items.

• Help draft internal updates, task lists, and team reminders.

• Provide general clerical support as needed.

Required Qualifications:

Education:
No specific degree required, but experience in administration, event coordination, or office support is desirable.

Skills & Attributes:

Our Challenge 

Brain tumours do not discriminate, and they do not respect boundaries. They can strike anyone, at any age. And they strike quickly. Our Support and Information team offer a wide range of inclusive and accessible peer support services, for anyone affected by a brain tumour. One of our most popular services is our Online Support Groups which offer peer to peer support on Facebook, HealthUnlocked and Instagram. We are looking for volunteers who can manage requests to join our Facebook Support Groups and respond to posts with supportive comments and signposting.

How can you help?

We are looking for volunteers who can manage requests to join our Facebook Support Groups and respond to posts with supportive comments and signposting. This role will continue to facilitate the warm, welcoming and inclusive nature of the support groups by ensuring members are welcomed to the group and posts across our online support groups are responded to by The Charity, where appropriate.

You can get involved in the following:

• Managing Facebook requests
• Creating and maintaining accurate information on our CRM database
• Welcoming new members to the groups and letting them know where they can access support
• Offering peer support by responding to posts Flagging any posts or comments with the group admin if you have any worries or concerns
• Support with additional online tasks that help to deliver the Charity’s Support service

What impact will you have?

We have over 38,000 members of our online support groups and you will play a key role in providing vital support and information signposting to help those affected by a brain tumour diagnosis.

We’re looking for…

• Experience of using social media platforms, in particular Facebook
• Strong IT and computer skills, ideally experience of using databases
• A high degree of empathy and resilience and an ability to separate own experiences from others, offering support and signposting
• Organisation and reliability, with an ability to work autonomously and as part of a team
• Great written communication skills
• Demonstrable understanding of confidential working

Time commitment

We ask volunteers for a regular commitment of at least two hours every a week (during office hours), with the opportunity to offer more time if you would like to. Due to the training involved, we would ask that volunteers are able to commit to a minimum of 6 months volunteering with us.

Practical considerations

This is remote role where you can volunteer from home. You will receive a full induction to The Brain Tumour Charity and any specific training for the role (induction training will take place week commencing 5 January 2026). You will receive ongoing direction from one of the team, who will be your key contact.

We carry out reference checks for all individuals who will be volunteering with us on a regular basis. Volunteers will be required to complete some internal data protection and disclosure documentation before commencing the role. Volunteers must be over 18. We encourage volunteers to claim for any reasonable expenses that are incurred in the course of their volunteering with the Charity. If we receive a high volume of applications, we may close the role early, so we’d encourage you to apply at your earliest opportunity

We’re looking for a motivated finance professional to join our Trustee Board as Treasurer, provide us with financial strategic direction and help us maintain our long-term sustainability

Working closely with our Chair and Chief Officer, your key responsibilities will include:

• Keeping the Board informed about its financial duties and responsibilities

• Guiding and advising the Board in the approval of budgets, accounts and financial statements

• Chairing the Board’s Finance Sub-Committee

• Reviewing the quarterly and year end accounts produced by our Administrator

• Presenting the year end accounts at the Annual General Meeting

• Ensuring that proper financial procedures and controls are in place to safeguard the charity’s resources

• Ensuring that the charity has appropriate reserves and investment policies

You don’t need to have been a trustee before, but you’ll need to:

• have recognised professional financial qualifications or experience

• ideally, have some knowledge or experience of charity finances

• be familiar with Quickbooks accounting systems and spreadsheets

• have the skills to analyse proposals and examine their financial consequences

• be able to explain complex financial information in an accessible way

• be able to exercise good independent judgment and if necessary to make difficult recommendations

• work effectively as part of a team

• have the time and flexibility to respond to the demands of the charity

• be willing to learn about and follow the Citizens Advice aims, principles and policies, including confidentiality, equality and data protection

• represent Citizens Advice professionally at all times

Support, guidance and keeping you safe

At Cats Protection we believe our volunteers should be happy and confident in their roles. We provide support and guidance from our National Cat Centre and through our regional and local volunteer groups and teams. We offer engaging online and face-to-face training, expenses and have policies and processes to help volunteers get the most out of their time with us.

The well being of our people is important and at Cats Protection we are committed to safeguarding children, adults at risk and all those that we encounter as part of our activities.

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising volunteers use their passion for cats and people to raise the vital funds needed to help more cats and kittens in need. As a fundraising volunteer we want to support you to fundraise in whatever way suits you best, whether that’s organising a fundraising event, fundraising online, promoting fundraising activities on social media, completing administration or supporting the development of new fundraising ideas! Whatever your skill set, this could be the role for you!

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

● championing our work. Getting involved with developing new fundraising ideas and increasing community engagement

● photography. Capturing images of cats in care, cats we are helping, events and all things Cats Protection

Our trustees play a vital role in making sure that ESS Education and Support Services achieves its core purpose. They oversee the overall management and administration of the charity. They also ensure that ESS Education and Support Services has a clear strategy and that our work and goals are in line with our vision. Just as importantly, they support and challenge the executive team to enable ESS Education and Support Services to grow and thrive, and through this, achieve our mission.

Board members have a collective responsibility. This means that trustees always act as a group and not as individuals.

Duties:

· Support and provide advice on ESS Education and Support Service’s purpose, vision, goals and activities.

· Approve operational strategies and policies, and monitor and evaluate their implementation.

· Oversee ESS Education and Support Service’s financial plans and budgets and monitor and evaluate progress.

· Ensure the effective and efficient administration of the organisation.

· Ensure that key risks are being identified, monitored and controlled effectively.

· Review and approve ESS Education and Support Services’ financial statements.

· Provide support and challenge to ESS Education and Support Services’ CEO in the exercise of their delegated authority and affairs.

· Keep abreast of changes in ESS Education and Support Services’ operating environment.

· Contribute to regular reviews of ESS Education and Support services’ own governance. Attend Board meetings, adequately prepared to contribute to discussions.

· Use independent judgment, acting legally and in good faith to promote and protect ESS Education and Support Service’s interests, to the exclusion of their own personal and/or any third-party interests.

· Contribute to the broader promotion of ESS Education and Support Services objects, aims and reputation by applying your skills, expertise, knowledge, and contacts.

As a small charity, there will be times when the trustees will need to be actively involved beyond Board meetings. This may involve scrutinising board papers, leading discussions, focusing on key issues, providing advice and guidance on new initiatives, presenting externally, or other issues in which the trustee has special expertise.

ESS Education and Support Service are looking for Trustees from the following backgrounds: Legal, Financial.

Terms of appointment

Terms of office

· Trustees are appointed for a 3 year term of office, renewal for 2 further terms to a maximum of 9 years.

· This is a voluntary position, but reasonable expenses are reimbursed.

Time commitment

· Attending 6 Board meetings annually. Currently meetings are held virtually.

· Attending charity events and other such commitments.
