Purpose of the post

About Adolescent Health Study
The Adolescent Health Study (AHS) is an ambitious new UKRI-funded initiative to establish a prospective, longitudinal population study that will generate a globally leading open science data platform and research resource. AHS aims to recruit at least 100,000 young people from across the UK and to follow their mental and physical health and wellbeing over at least 10 years. It plans to collect data through questions and measures; to obtain bio-samples for a wide range of genomic and other high-throughput assays; and to capture linked data relevant to health and wellbeing from participants’ health, education and other administrative records. There will be a strong emphasis on engaging with and involving young people, schools, parents and other relevant stakeholders in the design and delivery of the study, as well as on including young people that represent as wide as possible a range of backgrounds, experiences and characteristics. AHS will focus on enabling a wide range of research, including studies of the critical biological and social developments that occur during the transition from childhood to adulthood and the determinants of both mental and physical health and wellbeing in adolescents and young adults.
Main responsibilities

The successful candidate will be central to providing a first class governance service to the IAPB board and it’s committees, whilst working across the organisation to ensure all operations are managed in a timely and efficient manner.
Governance
· Provide administrative support to the Board and sub-committees, including scheduling meetings (including annual AGM), supporting the CEO and Deputy CEO in drafting agendas, preparing, collating and distributing papers, and minuting meetings.
· Acting as the key point of contact for members of the Board.
· With the CEO and Deputy CEO, track key deliverables and action points and follow up on outstanding items.
· Assisting with the election, appointment and reappointment processes for board and committee members.
· Manage trustee onboarding, training, and compliance requirements.
· Maintain board records and listings.
· Supporting the Deputy CEO to ensure compliance with all relevant legal and regulatory requirements.
Operations
· Assist in the daily management of IAPB operations, including correspondence, scheduling and record-keeping.
· Maintaining efficient administration systems and databases.
· Help coordinate internal meetings, prepare agendas and take minutes.
· Office management administration
· Support to IT and HR as needed.
· Compliance with data protection and health and safety policies.
· Provide support to all other departments as necessary.
· Other reasonable duties as required from time to time.
General

Skills & experience
· Previous experience in governance administration is desirable but not essential, however a strong interest in this field is required.
· The ability to maintain confidentiality and handle sensitive information.
· This position requires a tech-savvy person (Microsoft Office etc) with administrative maturity and the ability to operate autonomously.
· Excellent minute-taking skills coupled with excellent organisational and time management skills, with the ability to work flexibly in response to changing priorities.
· Excellent interpersonal skills, including the confidence and ability to deal with senior stakeholders.
· The ability to deal with competing priorities whilst maintaining a high level of attention to detail.

Main Purpose of Role:
The Programme Support and Administrative Officer will play a key role in ensuring the smooth operation of CFAB’s programmes and organisational functions. This role supports executive coordination, training delivery, family support administration, international social work logistics, and general office management. The postholder will work across teams to provide high-quality administrative support, contributing to the efficiency and effectiveness of service delivery.
Key responsibilities:
Programme Support and General Administration
- Monitor shared inboxes and switchboard calls.
- Respond to ad hoc staff queries and manage incoming post.
- Send initial and closure letters for client cases.
- Track inactive cases and follow up on referral forms.
- Prepare duty rotas, upload referrals and update the country information list.
- Support contract preparation and database maintenance for International Social Workers (ISWs).
- Support feedback collection and documentation.
- Assist with Mailchimp campaigns and mailing list research.
- Upload donations into Salesforce.
- Prepare donor thank-you letters and assist with prospect research.
- Provide general support across departments as needed.
Executive Support
- Schedule and coordinate meetings for the CEO and senior leadership, including diary management and events.
- Track meeting actions and follow-ups.
- Support minute-taking using ai and ad hoc research tasks.
Training & Learning Support
- Coordinate training calendars and liaise with teams.
- Update training materials and manage Eventbrite pages.
- Provide limited on-the-day training support and monitor certificates and surveys.
Facilities & Office Management
- Order stationery and maintain office tidiness.
- Support logistical tasks such as PAT testing, IT coordination, and office trackers.

The Operations Officer plays a vital role in keeping STOP THE TRAFFIK’s day-to-day operations running efficiently. Working closely with the Finance & HR Manager and Executive Team, this role supports organisational systems, finance processes, and internal communications — helping our global anti-trafficking work stay coordinated, compliant, and effective.
This position suits a highly organised, proactive individual who enjoys creating structure, improving processes, and supporting others to perform at their best. You’ll be at the heart of the organisation — connecting teams, managing key administrative systems, and ensuring smooth operations across all areas.
This role will be responsible for:
Team & Office Environment
· Monitor STOP THE TRAFFIK’s phone and general ‘info’ inbox, directing messages to the appropriate team members.
· Support the upkeep of the office environment, ensuring facilities are well maintained and team members take shared ownership of the space.
· Coordinate team days and team-building activities, in collaboration with the Team Building Champion.
· Lead onboarding for new staff alongside line managers to ensure a smooth induction experience.
Executive Support Functions
· Provide administrative support to members of the Executive Team.
· Take minutes and capture action points in Senior Leadership Team meetings.
· Prepare briefing notes for key meetings with the Senior Leadership Team.
Finance
· Support the Finance & HR Manager by reconciling transactions on Xero, producing invoices, processing payments, and assisting with monthly and quarterly reporting.
Operations
· Develop and maintain effective internal systems that improve organisational efficiency and automation.
· Maintain key organisational records (e.g. contracts, insurance, supplier information) and handle confidential information appropriately.
· Manage the policy dashboard, ensuring policies are up to date, and notify relevant staff when reviews or updates are required.
The ideal candidate will have:
· Some experience in administration, operations, or office support.
· Excellent organisational skills with great attention to detail.
· Comfortable handling basic finance tasks such as invoices, payments, and record keeping, with an acumen for numbers and data.
