About the Role

Reporting directly to the Director of Global Mission, this focal coordinating role within our Global Mission Team (GMT) will ensure the effective functioning of the GMT by offering:

The main responsibilities of the of Diocesan Housing Surveyor are:

• Inspect Clergy houses and assess repairs and improvements necessary in compliance with Coventry Diocese Clergy Housing Standards.

Training Coordinator

The post-holder will design, deliver, procure, and oversee high-quality training, formation and development programmes to meet the specific needs of the Pastoral Development Department in its support for the local church (parishes and deaneries) and beyond, in line with the new Pastoral Plan.

Finance

· Leading on our Carbon Net Zero journey.

· Business Continuity and Disaster Management Plan reviewing to ensure risk management/mitigation.

Other

· Strategic management of the Saint Paul’s Centre and all business related to it, ensuring we meet our targets and ensuring good working relationships with clients to help secure repeat business from large clients.

· Oversight of the café, helping to improve our offerings and ensure management of the team and operational effectiveness.

Essential Skills, Knowledge and Experience

You will be flexible and able to work dynamically to respond to needs as they arise, whilst keeping a strategic eye on upcoming opportunities and challenges. We are a multi-award-winning, creative, and innovative organisation, and the Database Officer is a role at Al-Khair Foundation, sitting within the Database team and delivering on a range of database tasks and processes utilising our Salesforce database.

We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.

Your Role

Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.

You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.

Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.

Your Responsibilities

• Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
• Supporting the Fundraising teams with their monthly income recording and reconciliation.
• Liaising with external agencies and the Finance team.
• Checking for and correcting inaccuracies and updating supporter records.
• Running reports for the Fundraising and Finance teams.
• Maintaining and carrying out regular database processes, including data cleansing.
• Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
• Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
• Spotting and reporting database glitches and problems.
• Supporting with the ticketing system as a second point of contact in the Database team.
• Contributing to creating a culture committed to the safeguarding of children and adults and compliant with Al-Khair Foundation’s Child Safeguarding and Adults at Risk Policies.

• Someone who has experience using a Salesforce database to carry out day-to-day tasks and who understands their importance for organisations such as Al-Khair Foundation. Charity/NGO experience would be an advantage.

• Able to organise your time and own workload effectively and able to work to deadlines in a busy environment.

Events Officer

Main Responsibilities:

• To assist in the delivery of UKIM’s events programme across the UK and be part of the team that supports the national leadership of the organisation in delivering events (including fundraising and marketing events) as per agreed strategy and plan.

• To assist in securing event funding and ensuring monitoring and evaluation of all events is conducted on a regular basis. 

• To assist in developing event strategies and operational plans, building relationships and liaising with partners and local Branches.

• To be effective member of the Events Department by assisting in development of and following clear procedures and processes for meeting strategic objectives of UKIM.

• To arrange and manage all events within UKIM at a local, regional and national level.

• To assist in creating a professional, end to end approach for all UKIM events, ensuring consistency across the whole event lifecycle, including documentation, feedback and review process.

• To assist the Events manager in agreeing an annual Events schedule with the board of Trustees across all areas of UKIM.

• To assist in implementing, managing and developing Project strategy, operations, risk management strategy, monitoring & evaluation systems and budgets ensuring they are in accordance with UKIM’s global policies, principles and approach.

• To assist the Events Manager in line managing all volunteer or employed event managers and staff in field or regional offices.

• To assist in effective management, support and development of staff and volunteers involved in Event implementation.

• To visit events and branches country-wide to oversee and evaluate events and to encourage, advise and monitor staff.

• To ensure that UKIM’s financial, administrative and HR policies are adhered to in all events and by all staff responsible.

• To proactively seek opportunities for funding through networking and oversee the writing of event proposals. 

• To participate in implementation of donor-funded events, ensuring delivery meets donor requirements and UKIM’s international policies, principles and development approach. 

• To ensure the reports for completed events are received from implementing partners on time and are analysed at the Head Office for evaluating each partner’s performance and to retain appropriate audit trail.

• To ensure event management and operation information is communicated quickly and efficiently to the Executive Director and Board of Trustees.

• To participate in and carry out annual staff appraisals as appropriate.

• To assist in diligently managing an agreed expenditure budget, taking careful measure to report any unexpected costs in good time as and when appropriate.

District Secretary for Administration and Compliance

Do you have the skill, experience and vision to lead in building and maintaining good practice for a newly amalgamated District of the Methodist Church?  We are a collaborative, justice-seeking family of churches, looking for a skilled senior administrator.

This is a senior leadership position in a merged organisation.

1. Collaboration with the District Chair and the District Secretary for Ministries & Vocations in the leadership of the District, and promoting the values of the District in all work practice.
2. Collaboration with the Mission Area Leads to facilitate support of the circuits in relation to the responsibilities of administration and compliance issues.
3. Responsibility for compliance with all relevant legal, financial, and governance matters, including compliance with the relevant parts of The Constitutional Practice and Disicipline of the Methodist Church, including:
   1. budget and accounting, in partnership with the District Treasurer;
   2. data protection;
   3. lay employment processes;
   4. safeguarding.
4. Working with the District Safeguarding Officers, the District Safeguarding Group and others to ensure safeguarding processes for the District are robust and effective.
5. Responsibility, together with relevant District officers and bodies, for strategy for property and finance across the District, and for its implementation.
6. Enabling the District Property Consents group to fulfil their responsibilities regarding property matters within the District.
7. Coordinating the District Grants Policy and its implementation through the District Grants Committee.
8. Ensuring that the District’s responsibilities for Reconciliation and Complaints are fulfilled, including liaising with the other District Leaders and ensuring the appointment and functioning of the District Local Complaints Officer and District Reconciliation and Complaints Support Group(s).
9. Collaboration with the District Chair and others to ensure good practice in internal and external communication, including through the District Communications Officer.
