Time: 2.5 days per week (20 hours). Monday is an essential working day, the rest of the time can be worked flexibly within business hours.

As Scheduler, you’ll help allocate new client referrals to our team of practitioners and coordinate smooth handovers between team members. You’ll work closely with the Scheduling Lead and wider operations team to ensure efficiency and continuity of care.

In the Response Coordinator role, you'll manage all incoming enquiries via phone and email, ensuring timely responses and directing queries to the appropriate team member.

As Volunteer and Placement Coordinator, you’ll oversee the onboarding of volunteers and Music Therapy student placements, matching individuals to suitable settings, and handling DBS checks and references.

You’ll also contribute to ongoing improvements by sharing feedback and insights from your role to support the development of internal systems and processes.

Accountabilities

This role involves a range of duties that may vary week to week. Key responsibilities include:

• Responding promptly to general enquiries from individuals and organisations via phone and email

• Supporting the scheduling team with new referrals, service contracts, and opportunities, including liaising with Music Therapists and Community Musicians

• Maintaining accurate and up-to-date records in our CRM system (Salesforce or similar experience is desirable), including logging communications and key information

• Ensuring clear and consistent communication with clients, referrers, and partner organisations regarding referrals and enquiries

• Creating and managing service agreements using Jotform

• Assisting with assurance and compliance paperwork

• Transferring referral data and supporting team members in keeping client records current

• Coordinating student placements and volunteer onboarding, including DBS and reference checks and matching to appropriate settings

• Signposting individuals to relevant resources where appropriate

• Providing operational support to team members and directing queries to the appropriate colleague

Person specification

We are looking for a highly organised, efficient individual who can work independently and take initiative when needed. The ideal candidate will demonstrate empathy and sensitivity in all communications, with a warm and supportive telephone manner and the ability to write clear, compassionate email responses to clients and referrers.

Strong interpersonal skills and a collaborative approach are essential, as this role involves close interaction with colleagues across the team. An understanding of, or willingness to learn about, music therapy and the experiences of our clients is important.

Confidence using digital tools and systems is essential, as the role involves working with a range of platforms to support service delivery and coordination.

Key Responsibilities:

A leading London-based higher education institution is seeking an Interim Deputy Finance Director to provide short-term leadership and oversight of its core finance operations, financial accounting, and compliance functions.

We require a hands-on, technically strong finance professional who can ensure the smooth running of day-to-day financial processes, team management, and statutory compliance.

The Director of Finance & Governance is a key member of Helen Bamber Foundation’s Management Team and plays a pivotal role in designing and delivering the organisation’s strategy and approach. MAIN DUTIES AND RESPONSIBILITIES 

Strategic leadership and management

Reporting to the CEO, and working closely with the Management Team and the Board, the Director of Finance & Governance will have responsibilities to:

• Work collaboratively with Management Team colleagues to provide operational leadership and development for the whole organisation, building our capacity and capability to deliver our strategy. 
• Work with the CEO to develop robust governance systems and infrastructure that will strengthen accountability, and support growth and deliver impact.
• Lead, manage and develop the Finance Team supported by the Senior Finance Manager.

• Conduct strategic financial planning to support the decision making of the Management team, Board sub-committees and the Board, and report to the Board as appropriate working with the Executive Team Assistant in this regard.

• Oversee and regularly review and update the organisational risk register, including financial and governance risks..
• Act as strategic lead on processes, systems development and internal controls.

Finance oversight and leadership

• Oversee all aspects of finance to enable effective day-to-day running of the Helen Bamber Foundation group and to support the continuous improvement of employee experience.
• Finalise annual financial statements/periodic financial reports (where required), and provide them to the CEO, Board and Board subcommittees for consideration and approval.
• Lead on the Helen Bamber Foundation Group audit process, working with the external auditors.
• Ensuring all statutory and non-statutory reporting requirements are met.
• Lead on budgeting and reforecasting across the organisation, supporting and challenging other teams to predict income and expenditure and make sound financial decisions, presenting to the Board and Board subcommittees.
• Support organisational planning by developing the systems to enable teams to model potential future work - e.g. costs of expansion of an existing programme or modelling potential new programmes and projects.
• Oversee the production of management accounting information, including internal monthly management accounts, quarterly reports for the Board, and financial reports for funders. Develop, maintain and monitor the financial systems of the organisation to ensure the accurate & timely production of these reports.
• Ensure compliance with agreements and contracts in relation to banks and external service providers.
• Monitor and report on the overall funding status, and ensure the timely reporting on grants is well supported.

• Support the preparation of applications for fundraising. Conduct financial analysis and review of existing and proposed strategic programmes, projects, and campaigns, contributing to decision making in this area.

• Oversee staff payroll, handling of petty cash and banking of donations, management of activity fees and credit control process.

Governance

• Work with the CEO and Executive Team Assistant to ensure that governance arrangements are fit-for-purpose, compliant and embody the spirit of partnership which defines the Helen Bamber Foundation Group.
• Support the Board and Board sub-committees, producing papers, and monitoring actions.
• Manage the organisational risk register including updating and monitoring of actions and Board discussions.
• Work with the Board to continue the development of outstanding governance policies and practices.
• Work with the CEO to develop and evolve the induction and training schedules for Trustees.
• Act in the capacity of Company Secretary.

Additional duties

• Act at all times as an ambassador for the Helen Bamber Foundation Group representing us at internal and external events.
• Perform any other task assigned by the CEO or Board.

PERSON SPECIFICATION

 Experience

• A relevant professional qualification in accountancy (CIMA, ACA, ACCA, CIPFA) or substantial relevant finance experience.
• Track record of achievement in a senior strategic-level financial management role.
• Demonstrable financial leadership and a thorough understanding of best practices in setting and managing budgets and oversight of day-to-day financial management.
• Experience of preparing financial statements, consolidated accounts and seeing through the audit process from start to finish, including dealing with external auditors.
• Proven track record of building, developing and managing teams.
• Demonstrable experience in working successfully as part of a senior leadership team.
• Experience of managing change and growth.
• Knowledge and experience of charity finance would be an advantage.

Job Summary
The Finance Business Partner in Volunteering is responsible for providing the first line of support and assistance with the development of financial plans, analysis of the financial performance and forecasts of the Adult Volunteering area, in order to provide high quality business insight to both support and influence strategic decision making by St John’s management teams. They will be a key member of the Financial Planning and Insight team to ensure delivery of the annual three-year budgeting process, that is aligned to strategic operational plans. About You
You are a fully qualified professional accountant (ACA, ACCA or CIMA). Ideally you have gained experience in the charity sector and large complex organisations. You can demonstrate previous experience in a finance business partner role with a track record of supporting the end-to-end processes for in-year forecasts and annual budgets and three-year plans that are aligned to business strategy. The Director role is a new opportunity working across ImpactEd Evaluation. Our partnerships encompass education organisations such as charities, edtech organisations and government, and schools and multi-academy Trusts. Your Role as a Fundraiser for Hope for Southall Street Homeless

You will secure £210,000 p.a. to cover the running costs of HSSH.  This will include the salaries of five staff, grant-funding for emergency/ temporary accommodation for guests who wish to return to their home country (currently covered by a Government grant at 100%) and other running costs (eg insurance) and overheads (eg Third Sector body fees). 

Your responsibilities will include : 

Trusts

• To conduct an initial audit of existing Trust and Foundation donors to maintain and maximise potential income from these donors.
• To carry out prospect research using Fundsonline and other established Trust directories to identify new prospective donors.
• To establish a calendar-based pipeline showing submitted and planned applications, with required updates (including scheduled date, name, projected amount, and next action), to ensure timely and targeted applications and follow-up communications with donors (both existing and prospective).
• To monitor and respond to local and wider appropriate grant opportunities.

Corporates

• To scope local and wider district and borough opportunities for corporate partnerships, starting with warm contacts and existing donor networks.
• To build natural, face-to-face, contact and foster deep relationships with new corporate partners.
• To maintain a pipeline (as above) of corporate donors, prospects, communications, and planned approaches.

Community / Individuals

• To work with local community organisations and individuals, including those already engaged with/interested in HSSH and others, to raise awareness of the service, increase existing support, and generate new forms of support.

Who We Are Hope for Southall Street Homeless (HSSH) is a charity founded in 2015 to provide a permanent night shelter in Southall.  The need for this was identified by the Churches in Southall Leadership Team – at the time part of the wider Ealing Churches Winter Night Shelter initiative – due to the high number of rough sleepers in Southall, at the time, over 31% of all Ealing’s rough sleepers.

HSSH is embedded in the multi-ethnic, multi-faith community of Southall and reflects that diversity in its Board of Trustees.
